Official Fanime 2009 Gatherings List:

As Fanime 2009 approaches, this post will be updated with the current information on the cosplayer gatherings. Times will not be listed until after January 1, 2009 sometime. I will not be placing any gatherings until the times are listed because many things change around prior to the first of the year.  Please be sure and check your gathering info periodically once it is posted and read this entire post for any changes. I don't want anyone to be left out. ^^) Fanime Programming and events may cause a gathering organizer to change the date/time/location of a gathering.

I also wanted to let you know that I am contacted about gatherings that are being done on other websites such as: Cosplay.com (C.c), Livejournal (LC), Myspace (M_), DeviantArt (DA), Facebook (FB) to name a few. Please be sure to list your URL when posting your gathering info so that I and others may find the conversations on the gathering.

I have listed below some Q & A that may help explain more of what this thread is about. If you have any other questions please post, pm or email me and I will get a reply to you ASAP. Also, be sure and take the poll. I will periodically update in a post what the polls are doing.

What is a gathering?
A "Cosplay Gathering" is where a group of cosplayers from the same group/title/game/subject come together for photographs from the press/media/photographers @ a particular time/location/date during the convention.

Most gatherings are open for other like/similar cosplayers to join in.
For example a Naruto gathering would be open to all Naruto characters being cosplayed from the anime, manga, or game. A Resident Evil character wouldn't be in a Naruto gathering.

Why are there gatherings?
Many cosplayers like to get together with others who are cosplaying from the same thing and have pictures taken.
By doing a gathering it helps to plan out what to cosplay during which time and day during the convention. It helps the photographers to get many of the cosplayers photos with similar characters from a series/game/etc. It is a fun way to meet new cosplayers who are interested in the same thing as you & to meet up with old friends from previous gatherings.

What makes a gathering?
A gathering consists of 4 or more people from the same anime/manga/game/title/organization/subject in costume who would like to be photographed by press/media/photographers/fans.

Do we have to have all the info when we post?
It is best to have a Day, Time, and Location & Where the thread can be located (URL) so that others can find out about the gathering.

You should have at least a day & time for your gathering. With only a Day & Time listed in your post I will place your gathering in the time requested if available, HOWEVER, your gathering will also be listed in the "Unconfirmed Gatherings" section at the bottom of the list. If you DO NOT post again with the missing information and stay on the "UG" list you gathering will not be listed on the FINAL VERSION of the Gatherings List. It is best to check back at the gatherings list to make sure your gathering info is complete and located where you requested.

If you want to meet up in a different location than the location (where you are having the photos) you  need to post that the MP is different than the L, otherwise the MP & L will be listed as the same. If the MP isn't known/determined post that the MP is To Be Announced.

What if our time/date/meeting place/location changes?
You need to re post that information here on this thread so that I can change it on the Official List. If the change can NOT be completed due to conflict then I will post you in my update post.

I requested a time and when I checked the list I saw that it was moved up/down a half an hour from the time I requested. Why was this done?
Sometimes a time requested is full. I will then try to put it in either a half hour before or a half hour after. I will then let you know in my update post.

There have been times where I have updated the list and posted the info incorrectly by accident. It is always good to re check the list periodically to make sure your info is correct.

What does MP mean?
MP = Meeting Place
The meeting place is sometimes done for gatherings that want to meet in one place but move to another location for the gatherings photos.

What does L mean?
L = Location
The location (L) for a gathering is where the cosplayers of that gathering will be located for photographs. Locations vary for gatherings. Also note that some gatherings may list more than one location to do photos. This is normally because of other things the gathering cospeeps wish to do.

For example:
The Naruto gathering may have the official group photos at the fountains in front of the convention center, but later move to a near by park for fun/random photos of their own. Photographers/press/media may choose not to attend the second location and only photograph the official group photo gathering, while other may go to the other location.

If a time is in bold, can I still get my gathering listed at that time?
You can request the time, but most of the time if a location is full then I will not list it. I may move it a half an hour before or after if the time is available, but most of the time I will post that your gathering was not listed when I post that the list has been updated.

The person who started the thread for my gathering has not been on, what do we do?
Many thread starters stick with their threads, however on occasion a thread starter no longer keeps the thread updated. An active person on the thread should take over updating the list and reposting the updates for the others.

What is a unconfirmed gathering?
This is a gathering that has requested a date and time for the gathering but does not have a location/meeting place. If left on this section past the confirmation deadline that gathering will loose the time slot set aside for the gathering

What is a special event by cosplayers?
These are events that the cosplayers are doing and NOT a Fanime con run event. These may include parades, picnics, games, and dancing to name a few. These events are included during a gathering and fall either before or after the official photo time. Events also change locations, and may be required to, especially during peak cosplay gathering times at a particular location.

If an event is to be listed in this section it MUST BE posted on this thread or PM me the info.

first id like to give props to BSaphire for organizing the gatherings list - you're super awesome for taken on the responsibilty
i thought it was really awesome to have the gathering times posted around various spots at the con - i think they definately had an effect on the turnout at the gatherings (my Bleach gathering was HUGE). i definately encourage the use of the boards again for next year

also, since i am leading the Bleach gathering again next year, id like to throw out that the Bleach Gathering for 2008 will be held on Saturday. location is the fountains, time yet to be determined.

Hay there, I'm running the Rurouni Kenshin gathering this year, so in order to make sure more people know about it, I'm starting way early, we rushed the last one.

I'd like to have the gathering on Sunday, but I'm not sure about the time, I'm hoping to have it at a fair time that's away from the bigger gatherings but still gives people time to go to the masquerade if they want to, so most likely it will be in the morning.

I think that the boards were very helpful and I never thought I would hear that a gathering was "Too Big" *LOL but I am glad that the turn out for each gathering was better than expected by the majority.

I was wondering which board actually helped the most? I know that sounds strange, but if you used one... which one did you use?

I had no problems finding the FF ALL gathering, but it was a disaster for anyone who wasn't cosplaying FF7/Advent Children.

My sister was Rinoa and we got there to the FF8 gathering all right.

I heard there was a FFX Gathering too, but I didn't see it on the list and I never found out about it until last month when I was browsing Cosplay.Com.  Was that gathering last-minute?  It would explain why all the FFX/X-2 cosplayers came out of the woodwork on Sunday AFTER the general Final Fantasy shoot.

There will be two One Piece gatherings, one on Saturday and one on Sunday (done in a similar fashion to the FMA gathering at Fanime 2007. Times are currently undecided

Thanks everyone for posting! If you want to have a particular type of gathering I would recommend that you do a search in these cosplay forums &/or the cosplay.com Fanime forums for the gathering you want to have. If no one has started a thread for 2008 or updated a 2007 thread to include 2008 then start one. Be sure and check the first post of any likely threads, because they may have a 2008 list already started there.

I will have a few changes on how the gathering lists have been done in the past.

*The biggest ones right now are that ONLY the Gathering Info boards will be at con. I am looking into 8 - 10 of them.

*Another is that the super gatherings will be given priority. When there are 60+ people at a gathering then the time is best left for that gathering due to the amount of people involved in it. For example: Bleach, Naruto, Shounen Jump, Final Fantasy All, etc.

*Lastly, I do plan on having a MS Word download version for those who want to print the Gatherings List out before con.

If you want to have your gathering at the same time but a different location then it is ok to do so, but realize that many of the photographers that come and photograph at Fanime do not always make it to every gathering listed at a given time, especially if it runs concurrently with a large (60+) gathering.

Another couple points I would like to throw out are:

1. If you start a thread then people will expect you to oversee the thread and to answer their questions. This includes me; if I have questions I normally will contact the thread starter.

2. If the info for your gathering is posted here it should be by the thread starter or who ever is in charge of that gathering. Also, be sure that you have as much info in the post as possible. For example: Shounen Jump gathering: Day=Sunday, Time=1PM, MP=Fountains in Front Convention Entrance, L= Fountains in Front Hilton Side.

If you don't know something for sure then put TBA next to it. For your gathering time to be listed, the Day, Time, and Location are required to be listed in your post. If you are not going to have a meeting place (MP) then put MP=SAL (same as Location).

3. Realize when scheduling your gathering it is highly recommended to have a meeting place (MP) & a location (L) which do not have to be the same, and usually are not if the gathering location will be off site or another area other than the fountains in front, 1st floor convention lobby, or 2nd floor convention lobby.

4. With all that I do I usually do NOT check individual threads for the information. If the info isn't posted on this thread then odds are that it won't show up on the Gathering Info boards around Fanime.

5. It is best to check back to make sure your information is all complete and on the list. I normally post in this thread if the list has been updated so you can tell approximately when I update.

6. If you have any changes to your gathering information, please post or email the info to me by the deadline. After the deadline I can not guarantee that your gathering info will get changed and this may cause great difficulty for your gathering to know when & where.

7. There will NOT be a stage at the foot of the stairs for inside 1st floor gatherings this year.

8. I am not guaranteeing that two day gatherings will be listed on both days so put the most important day FIRST. Saturday & Sunday are crammed full of gatherings. It isn't fair for a smaller (under 60 peeps) gathering to have both days. If you wish to have two days then I would recommend one day be Friday or Monday since these days do not have as many gatherings and that your FIRST GATHERING CHOICE be the Saturday or Sunday.

I will not list ANY gatherings till after the first of the year. Things happen and change way to fast to start the list now. I do appreciate knowing that there will/are new gatherings being looked at and I really hope that this post helps everyone.

I would imagine that there were quite a few at the Naruto gathering on Saturday? Were you able to attend it?
