Title: Registration 2016
Post by: fanimefreak on November 02, 2015, 05:06:54 PM
Anyone have any idea when registration for 2016 will open up?

Also anyone know about hotels and if they'll require registration to book a hotel this year?

Hi, Fairly new to the forums but from what I'm reading on other post its possible that they might officially announce it and put up registration this month some time (November). As far as hotels I'm sure its the same as last year specially Hilton since its connected to the convention center lol. I'm sure there's a few others they are working with such as Hyatt, Marriot, Etc. They usually provide Shuttle i believe to these other hotels.

I was hoping to get an early hotel reservation but i don't remember if they have deals and such, such as ordering through Fanime.Com and you get VIP or discount like it was for me at SacAnime. Last year Fanime was my first convention. Although fun I could not enjoy it to its full extent. I didn't have my license at the time and got a hotel about 10 to 15 minutes away or so. So i ended up spending around 20$ dollars back and forth for 3 days. So around 120$ Dollars for taxi alone. The hotel did not have a shuttle. So get your hotel reservation as soon as you can.

This is what I know so far. Most of the info being from last year so don't get your hopes up for anything you see in this section until The actual announcement. Hope this Helped!

Most of the hotels in the San Jose downtown area (including the attached ones) are already reserved for FanimeCon. You'll get a deal, but it's also the only way to get a hotel so they go in about an hour.

Last year was my first year attending fanime and everyone told me the hotels filled up fast but i did not realize how fast they really went. They were almost all gone within the first hour or so. Was lucky enough to get one that had a shuttle with it. But my advice would be to check the site often to make sure you get one the day they announce the hotels are available to book.

So should i make my reservations now since the dates are already up there or should i wait until official announcement? money is not necessarily a factor for me but would it also be possible to get that deal even though i made reservations ahead of time?

The hotels are already reserved by Fanime housing so the only way to get one is through them, and those are the only hotels to offer the Fanime rate. Only book now if you're okay with paying more for a hotel that won't be that close to the con.

Nothing that I've seen yet, but I did see from an unconfirmed source that badges will be a little different this year, so I would imagine if that were the case, they may need more time to put everything together to make sure it all works correctly when they launch the site for badges. It may just be a rumor, though.

I highly recommend using their social media to warn you of when registration will go live. You can "like" their Facebook page (https://www.facebook.com/FanimeCon/), and under the arrow by the "like" button, there is an option to have notifications turned on whenever they make a post. They usually give at least a few day's notice before going live, so you'll have time to see the notification even if you don't check Facebook every day.

Seems like they must be having some kind of issue, I don't remember ever having to wait this long for general registration to open. Anyone hear anything on when it might be opening? Normally at this point I'd be expecting the Hotels to start opening.

Sadly, Last year (2015) is the first year pre reg has been open that early in a long time. I think for Fanime 2014(?) pre reg didn't open until February. I think something like that is gonna happen again. I can't find the exact post anymore(hmmm), but on one of Fanime's social media websites, Fanime replied to someones post and stated that there were issues regarding hotel negotiations and that is why pre reg is late. I did some research directly from a few hotels that Fanime usually uses for housing and realized there were hotels available for Thursday-Monday memorial day weekend, which in the past there was no way you would find available rooms, especially in December. In the past those days were always greyed out.

I find it amusing that they have us agree to the code of conduct when we register, but they appear to be updating the code of conduct atm. So you don't actually know what you are agreeing to. For all I know I've agreed to wear a cthulhu hat the entire time I'm on convention premises. Not that I would mind... #CthulhuHats2016

Anyone know if they fixed the 2-people problem from last year?  When we added a second person before payment, it broke the whole account and prevented payment. The fix required an e-mail to the Admin to make the account a "1 person" account again (and to have the second person register separately).

This year I'm scared to press that "Add New Member" button because it looks almost identical to last year's one.

You should check your spam folder. If you still can't find it you will need to contact CMR (the company that Fanime uses to handle their reg and hotels). Contact info can be found here: http://fanimecon.cmrushelp.com/customer/portal/emails/new?

Whichever convention you want to support, as your registration will count towards that convention's numbers. Either option will get you into both conventions.

I wanted to create a group badge pick up for me and my friends, so I emailed support to do it but I was told it was they couldnt do it at this point. NOWHERE in the reg FAQ stated that there was a deadline for creating a group reg for badge pick up. I was able to create a group reg last year a week before con. I cant login anywhere to add additional members as well

Q: Is there a group maximum for Group Registration?
A: No. If you have single memberships and would like to create a group, please go to your registration account on the website and add additional members.

Q: Is there a deadline for when we can add people into our groups?
A: No, there is not a deadline for adding people in your group.

I also wonder how big of a headache not being able to log back into an existing registration is going to create during badge pickup if someone needs to reprint / resend their QR code.  The way I see it right now, if you don't have your original e-mail then you are SOL.

Cool.  I had thought that I may have found a way in through the old CMR links but sure enough, it's now just a redirect and still no way to login / print / resend the QR code.

This is a pretty enormous oversight, Fanime.

Yeah, I found that too and even emailed CMR asking if they still had access to reg accounts. They responded within 5 mins, but I haven't heard back from the new company besides an automated "we recieved your email" response yet. I'll try calling tomorrow, but their call center hours are much shorter than CMR's so it's a lot more inconvienient.

Nope, just the original e-mail with the QR code from WAY back when I registered.  Glad I print that out and stick it aside right after payment.

Great...  Thanks for looking into this.  Did you request a new barcode be sent or did a new e-mail just show up?

If the registration process has to change a little, that's fine.  However not giving anyone any sort of warning before changing registration handling companies, and then keeping this whole thing under wraps is what irritates me.

Nothing here either, although I do thankfully have my original from back in January.  I've e-mailed Experient as well - absolutely no response.  What a great company.
Title: Re: Registration 2016
Post by: InsaneDavid on May 23, 2016, 08:35:47 AM
Alright, I got a response on Facebook and then poof! a new e-mail with the little barcode arrived.  A comment on Facebook from someone listed as working for Experient (but never directly identified as such) said that the older QR code will not be valid and you must have the new barcode.

"The QR code will no longer be valid. You will be getting a new email this week with your registration details."

I still have yet to hear back from Experient customer support but I've given up on that.

However that this is not being widely communicated to the tens of thousands of registered attendees and then to have the new e-mail delivery not start until three days prior to event pickup is absolutely ridiculous.  Not to mention the only response I've been able to receive was from posting to an unofficial social media group.

There are way too many variables to be doing this last minute without any transparency to attendees.  Some examples: e-mail addresses may have changed with no way to update it, the new unexpected e-mail may be eaten by a spam filter, I noticed the new e-mail requires proper encryption on the receivers end - what if they're using an older e-mail client, database issue that prevents someone from getting the e-mail - not unheard of in a mass e-mailing, error on the new registration from a database integration hiccup, and the biggest problem and change - you can't log in and reprint it yourself or view it on demand.

Not one place on the new e-mail does it say something like, "Any previous proof of registration for 2016, including QR codes or prior receipts, are valid for membership pickup. Only this new barcode will allow you to receive your membership."  And guess what, FanimeCon Registration FAQ still says "Confirmation E-Mail with QR code/barcode that was sent to you after membership payment" - this whole thing is just building confusion for something that can be a stressful enough topic for staff and attendees.  This information should be on the main Fanime homepage as the primary topic for this week.

When customer service is very poor, it takes even longer to resolve issue such as these and registration changes have been locked down for at least two weeks without any warning or information.  The notion of "Santa Claus is going to bring you a new registration in the night - surprise!" isn't how an event company is supposed to run things.
Title: Re: Registration 2016
Post by: Kyra_Maverick on May 23, 2016, 09:24:41 AM
I first emailed Experient on May 16th, I got a response on May 18th and was finally able to have my issue resolved today, May 23rd. That's a long time for an issue I used to be able to handle myself in previous years (I just wanted to update a fan name).

Last minute hiccups are one thing, but I wish this would have been advertised.

...........and now they've sent me that same e-mail like six times.  ???  That's not going to trigger a spam filter or anything.

Wait, wait, it gets better.  Experient also finally replied to my most recent inquiry as to reprinting proof of registration or if the QR code from CMR would be valid.  Didn't answer any questions, just re-sent the previously unsent barcode.

"I resent that to you.

Thank you, and have a great day."

First I thought he was insulting me.  "Resent" and "re-sent" are different words that mean totally different things.  Hilarious.

I'm really glad I read this thread, because now I know to keep an eye out for my new registration email (which I have not gotten yet). I would have never known that there was a switch of systems (and this close to con!) without reading about it here, since like most attendees, I figure that my registration code from when I paid for it is valid and what I need to bring to the con.

This is a bit of a nightmare, and I really hope that my email didn't get caught in a spam filter or anything.

I'm going to bring both the QR code as well as barcode because I have yet to see anything otherwise official from Experient or Fanime.  The only official contact I got from Experient didn't answer a single question, just sent the barcode a half dozen more times.  Again, my information is from an apparent Experient employee, posting with his personal Facebook identity, on the unofficial Fanime Facebook group.  I've loved a lot of places I've worked but I'd never represent them personally outside of work.  I'm probably wrong, as I'm wrong about most things, but this entire ordeal smells to me of a kickback somewhere for someone.
Title: Re: Registration 2016

It does all smell pretty fishy. I don't see why they would switch companies within weeks of con, instead of bringing in the new company for next year, and I really don't see why someone from the company would answer on their personal Facebook account, yet we can't get information from the company itself.

If I don't get my email by the end of the day, I'll have to email them and see if I can also get my barcode sent to me half a dozen times. Better than not at all, I guess. I'll also bring both codes to badge pickup, just in case.

This is really frustrating. :|

I want to stress that there has been no official announcement or OFFICIAL response from Experient or Fanime but this is what many of us have seen...

Registration, under CMR, worked as normal up until a few weeks ago.  You'd get a QR code e-mailed to you after payment and could log in and change your registration information or view / reprint the QR code at your leisure.

The login option for registration disappeared one day and the system was now hosted by Experient and was for new registrations only.

If you had a problem or wanted to view your memberships / badges, the option no longer existed.  If you contacted CMR they would apologize and state that they are no longer handling registration, as this was now being done by Experient.

Experient customer service is extremely slow, unresponsive, and unhelpful.

An Experient employee has posted a couple times on the unofficial Fanime Facebook group that they would be handling registration and the old QR codes would no longer be valid.  Instead Experient would be e-mailing new barcodes over the next few days.  At this time this information should be taken as UNOFFICIAL as it has not come from Fanime or Experient as a company.

Some of us have received new barcodes (not QR codes) from Experient (not CMR) via e-mail for badge / membership pick up.  Although it was assumed at one point that this was a mass e-mailing heading out, it now seems that they've only been e-mailing the barcodes to people who have contacted their "customer service."

The FanimeCon website, under the Registration FAQ, still lists both QR code and barcode as valid for pickup - "Confirmation E-Mail with QR code/barcode that was sent to you after membership payment"  This clashes with what the Experient employee has said in the unofficial Facebook group but we don't know for sure one way or the other until we hear an official word from Fanime.

Personally, I was sent the new Experient barcode six times this morning, along with the non-answer to my registration questions.  Five of those are exactly the same - my two person group.  One of them is a single registration pickup code for the other person in my group.  I say this as if you have been sent multiple e-mails from Experient and are picking up badges / memberships for your group, make sure you have the right e-mail in hand that has everyone listed.

It seems that if there is to be a mass new e-mailing that it has yet to happen.

The biggest gripe many of us have is up until the changeover, and in QR code years previous via CMR, you could always view and reprint your code via the registration website.  Experient's registration site does not allow you to self-service view your barcode if you were registered prior to the handoff from CMR, basically any registration prior to something like three weeks ago.

The second biggest gripe many of us have is that this is something that Fanime fixed two years ago and since then has done better than any other convention.  Why such a change was made so late in the game, with an event management company that to this point has shown nothing but being unresponsive to customer issues, makes no sense.  It just seems like a huge step backwards.

Thank you for posting this!  Another piece of the puzzle drops into place.  However "There will be ways to look up your registration even if you don't have the barcode." sounds to me like the old manual system and we know how slow that could be.  Confirmation that a new e-mail is forthcoming is very helpful.

A friend of mine emailed about the registration issue, and was told that confirmation emails (presumably with the new barcodes) will be sent out tomorrow. That's at least a solid date. Hope for the best here!

I can see if she'll send me a cap of the email, if anyone wants more confirmation than "a friend of a forum member" haha

If you go to this website:

http://www.fanime.com/registration-faq/

It states:

"What to bring if you paid online:
Valid photo ID such as: a student ID, passport, driver’s license, or state issued photo ID card
Confirmation E-Mail with QR code/barcode that was sent to you after membership payment"

So it sounds like they will  take the QR code if you registered under the old system

I've mentioned that above but Experient, who is handling registration now, has stated that the QR code is now no longer valid and the barcode is what they want.

I just want to update everyone that I did email fanime registration to question about the new Barcode and surprisingly got an email back this morning with the Barcode, it was fairly small at the end of the email. So I believe they are starting to send out those emails, if you're really freaking out i suggest that you email them that might make it a little faster. Good luck everyone.

Yup, just received the e-mail you are talking about myself.  It's the same as the one that Experient e-mailed me earlier except it says "Final Confirmation" at the top.  However it only lists me, not the other person in my group the way it did before.

Also confirmed in the new e-mail, "This confirmation E-Mail with Barcode: QR codes from previous email will not work."

Going to be serious problems if people who paid good money for themselves and others, and who do not receive an update, are not provided their badges at the con.   A ripe situation for a class action suit . . . I paid over $200 for group registration and I will be more than a little upset if I'm given ANY hassles about my badges.  This should have been through out well in advance of any change in the registration group.

I just received my "Final Confirmation" emails.  I'm a group leader and they sent me a separate email for each person in my group ... so I'm not sure if that means I'll have to present each barcode separately when I go pick up the badges.

It seems to be smoothing out, late, but smoothing out.  I was just sent the same e-mail again, an hour apart by the timestamp.  Fanime has commented (there's a screen shot in a post above) that even if there is some issue getting you your barcode, they will be able to look up your information and get you your badge.  Of course, that slows things down.

Don't get me wrong, if there are any problems they (Experient staff, NOT Fanime staff / volunteers) will hear about it.  I'm a big Sicilian guy and I'm far beyond not calling people out on their BS these days.

Completely irrational joke:  I was joking with my girlfriend that I picture a three line scenario - Barcode, QR Code, No Code.  Barcode, you walk up, staff checks your ID, scans your barcode, gives you your badges.  No Code, staff looks up your name in the database, matches your ID, and prints your badge or prints a barcode.  QR Code, it's like the freaking NOC List from the first Mission Impossible movie, you have staff trying to match your "code name" (QR code) with your "real name" (barcode) so you can get your badge.

I'm bringing copies of everything I have and if there's an issue with it not flagging both my badges I'll have the "re-send" e-mail from before that shows everything as well as the old QR code e-mail that shows both people.  Of course, we're all talking worst case scenarios now.  New e-mails ARE being sent out, the lack of communication up until this point is the real problem.  I'm glad this thread got people talking about this and helping each other out.

I got that before when they "re-sent" my confirmation yesterday.  One e-mail (five times) with everyone, and then one e-mail with just the other person in my two-person group.  I'm assuming your numbers are all sequential?  My two numbers are.  I'm printing them both out and if there's any issue with the "main" barcode giving me both badges then I'll raise a stink with them.

Yeah, I'm glad I check the forums.  It sucks for the majority of con attendees who don't check the forums and have no idea that this is happening.  I hope Fanime makes an official announcement soon so that people are aware they need to look out for an email with a barcode, otherwise a lot of people are going to show up without it and reg lines are gonna get really backed up with everyone needing to be looked up by name.

I got another email as well. 2 emails, one for each member of my group. My other group member will be there with me, but I wonder how that will work for group leaders of larger groups?

I still have the first barcode I got from my inital email from Experient and that has both my group members on it. I wonder why the new emails broke up the groups?

Hopefully people will pay attention to the new emails and not just ignore them and bring the old barcode.

I've been following this thread but haven't been too concerned.  I figured they'd be able to find my info one way or another.  Just thought I'd chime in though to let people know I just got my final confirmation email with barcode (not QR code), myself.  I haven't reached out to Fanime's reg dept. or to Experient or anything at all, so it does look like everyone should be getting this final confirmation.  I'll leave the how's/why's/no-communication comments and questions for other people.  I'm kinda over all the drama and am just looking forward to unloading a bunch of my stuff at swap meet.

I was a single reg, by the way, so it's not just going out to people with group reg.

Maybe it's their way of covering everyone since this change / mass notification came so late?  I'm going to bring the original e-mail with both people on it myself, as well as the individual one, and present the printout with both of us on it first.  I mean, both names are on there and the numbers are sequential, I don't see why that would be an issue even if "my" code only triggers "my" badge.

I'm kinda over all the drama and am just looking forward to unloading a bunch of my stuff at swap meet.

Pretty much except I'm looking forward to buying a bunch of stuff at Swap Meet.  It's like Fanime is having a midlife crisis this year or something.  ;D

Awesome, thank you for the information.  Amazed they replied so quickly considering how long it took to hear back previously!

Reminds me of the customer service agent for TUK Shoes - I swear it's ONE person who answers all their calls.

I've written up a short PSA about being sure to read the new email and bring that barcode and have it queued up on tumblr, so hopefully the word gets out and too many people don't end up with the old QR codes (and then that causing a mess).

Excellent.  I've done something similar on the unofficial Fanime Facebook group.

An email I just got
Quote
Hi,

The cmr  code will not work to get your information so it is to everyone's benefit to use the new email that was/will be sent with the barcode. Using this barcode the group leader should have no problems picking up their group badges. Please bring your ID as well.

See you soon,

Arianna
