Hey everyone! Thank you all for attending and making the 2011 gathering awesome! This was my first time running a gathering and I once again apologize for the lack of music (it was out of my hands) and for the confusion regarding the time change. For 2012 I'll do my best to make sure this gathering is even better. <3

I really like Friday too; Saturday just seems to always get jam-packed with stuff, and it's always nice to have things spread out throughout the weekend so there's always something to look forward to. c:
I'd also like to hear everyone's input about time suggestions; it wouldn't be too early in the day because I'm sure a lot of people have school, but I'd hate to have it conflict with things like MusicFest (wasn't there a FLOW concert at the same time as last year's gathering?). I was thinking no earlier than maybe 4 or 4:30ish, but it might be better to hold the gathering around maybe 5 or so? What do you guys think? <3

Anyone have a guesstimate what time MusicFest is? I thought it was 6, but I'm not entirely sure, and I wouldn't want the gathering to conflict with anyone's plans of going. c:
Sorry to double post; but what about the gathering location? The place where our gathering was held last year can only hold about 40 cosplayers. If we end up blocking traffic, we'll have to relocate.
So, any ideas?
Personally I wonder/hope if there's another area we can go that's inside/under shade. I dunno about you guys, but as Miku I always overheat when I'm in the sun for very long. (Darn those black sleeves!)

First question I have..do we want to be indoors or outdoors? I guess that's the first thing to address. I -think- I'm seeing a majority going towards indoor (though there is that one area near the Hilton side of the convention center outside..my husband and I did some shooting over there and there were a lot of trees. As long as nobody else has that area, it could be a good option, but it's a bit less-trafficked.

Indoors would be preferrable, since the majority of the cosplays are probably rather heatstroke-inducing when in the sun for too long. I think I know the place you're talking about; if it's the same one I believe that's where the Zelda gathering was last year and where the Shugo Chara! gathering relocated to. It's basically to the left of the main entrance/fountain area, right?

Check with BSaphire, the Gatherings department head. She should know what the area is called and what other gatherings are addressing it as, so you can use the same name on the thread's first page :)
Relocation can be weird because if someone shows up late they may not necessarily know where to go from the initial meetup point, so it's probably best to get everyone gathered once and not try to move them again. Anyone who has trouble finding the group can get info from the Gatherings desk if all else fails .

Probably. ^^; I know it probably wouldn't be that big of a deal, but it's always better to be safe than sorry. I don't think Wash My Blood is a particularly bad song (I have it on my iPod), and everyone has their own tastes and whatnot. But considering it's a con with kids and parents around as well, I'd rather play it safe.

My school ends a little before three on Friday, and I live up in Marin, a half hour-ish from San Francisco.. I wouldn't be able to probably even get to the con by five, much less drag luggage into the hotel and change into cosplay. Is there any way to change the time until later, say, 6? ;3;~

That might conflict with my plans but I wouldn't mind missing a concert to make some new friends. (^_^)
Update. Our Kaito (Synchronicity) can't make it to the gathering either. D:
Almost all of us are heading straight to Fanime right after something, so a decent chunk of our group probably won't get there until very late in the evening - too late for any reasonable gathering time on Friday.
^ You could always make plans to have a post-gathering gathering. :P

So after some discussion with mah darlin' husband, it looks like we are going to be arriving later on Friday than I anticipated. With that in mind, I voted for the 6PM time change because it might increase my chances of being able to appear, even if it's a wee bit on the late side. I'm already going to miss the Leiji Matsumoto-verse gathering as it is (woez!), I'm hoping to not miss a second one.
Vaguely related, realized I need to upgrade my Snow Miku to reflect the new 2011 design, though I think part of that will require that I look up a scarf and mittens to embroider stuff on before the winter season ends! And find out if the ear things she has are earmuffs or a new type of headset! O.O Bonus points if I can get the correct wire to extend the length of the ones that power my sleeves....

On the subject of a possible time change; sorry guys, but I think it should be left as-is at 5 pm. Thing is with those of you who are traveling from a bit of a distance, keep in mind that it is a holiday weekend and therefore, especially with those of you who won't be leaving until after school, there's a pretty good chance you'll hit traffic. So even if I move the time an hour later, I'm not sure if all of you guys would still be able to make it. ._. And considering you guys probably will have to check in at your hotels and probably go pick up your badges as well... It just seems like either way, you'd be cutting it close if you managed to arrive on time. @_@; I'd also hate to have a time change conflict with anyone else's plans (considering last year there was a FLOW concert around the same time as last year's 6 pm gathering, for example) or cause confusion.

I know I'm coming into this a little late, but I do want to put in- I do think that it should stay the time it is. A lot of people have set their times around the original date (as is with most meetups).
I personally do not have a problem with it being 5 or 6, but I agree with the organizer; it's not really going to help an hour later mainly because of the check-in issue (do keep in mind that the hotels will be booked and things WILL go wrong with the hotels so it will be longer than you expect. Also keep in mind for those who have to change into cosplay and what not as well).
Things can't be set for every individual person, and with there being another convention gathering going on at 6pm that could cause conflict for people who may want to check out both. But that's just my two cents. Further, being an organizer of monthly meetups, it's very troublesome to shift times around.
And one last thing, later the time the darker it gets we aren't at summer yet, and that does mean that the photographers will have a harder time shooting during evening hours if they do not have anything other than kit lenses.

I wouldn't worry about it! I'm personally for variety and showcasing character designs that may not get as much attention. That's what made me pick out the Snow Miku Nenderoid variant over the "regular" one..there's always a "default" Miku present at a gathering, but far less often is there someone in the Snow outfit.

The gathering is actually going to be outside in a shaded area. ^^; This is my first time organizing a gathering so I'm not entirely sure how a performance would work.
Ah outside in a shaded area....well that won't help me with the performance if it's on concrete. ^^;
Well it was an idea that I wanted to perform, because it's not one of the standard Vocaloid dances or songs or anything.

Even if we move to inside afterwards, that would work out for me, but it'll be hard to perform on concrete for me...cause I don't want to ruin my cosplay.

The issue with moving the gathering inside is size; last year's gathering location fits about 40 cosplayers, and we're currently at an estimate of 76. Hence the move to outside. xD;

Yea I know >< I got the time from stage zero staffs so it is not changeable. ;-; Didn't expect it to be at the same time as the gathering though.
For the vocaloid live show, we'll be performing the most famous vocaloid songs from the past 3 years (many v songs will be covered^^)
and I also got something special i hope vocaloid lovers will enjoy it.
As I checked the cosplay list, many songs of the cosplay are covered as well, so if we have vocaloid cosplayers there that will be cool!
At first I was thinking even if the gathering is in the 1st floor lobby it will be great for you guys since you could hear the vocaloid music and do photoshoot with vocaloid songs as bg music. But then my friend told me it has to be outside because there are too many vocaloid cosplayers signed up.
Either way, I hope it will work out. and wish you guys have a great cos gathering time!

Well guys, I suppose this is what we could possibly do, if BSaphire gives us the go ahead and if it's cool with everyone:
Gatherings I went to last year generally lasted roughly about an hour. So in order to be able to see the performance, we would have to push back the gathering time, because a gathering as large as ours will most likely not be ending THAT early. So what I propose is we push the gathering back to 5:30, five minutes after the assumed end of the Vocaloid live performance. Because the location is close to Stage Zero, everyone should hopefully be able to make it, and since people will possibly be late already it's not like waiting another extra five minutes is a big deal if we have to. xD
HOWEVER. Because of the Saiyuki gathering at 6, we would have to switch locations to avoid conflicting with their gathering time, and would thus be at FHS instead of FMS so we would still have shade from the trees, and it would simply be a move to the other side of the main entrance.
The only potential issue I have with this is the possible confusion it may cause. We are at a current estimate of 90 attendees, and I'd imagine it would be difficult to make sure that every one of those 90 people is aware of the time and location change. It's not like everyone checks/will check this thread religiously.

As I mentioned a few posts ago, we have more music than gathering time so I'll be setting the gathering playlist on my iPod to shuffle so that everyone has a fair chance of their song request(s) being played. So I'm not sure what will play and when. ^^;
Also, depending on what time we're all finished taking photos, I'll probably have to dash off to go change and get ready to co-host the Intro to Memes panel at 8 pm. (Cause, ya know, otherwise I'll be stuck co-hosting the panel looking fabulous with my Miku cosplay and various stereotypical diva accessories and glitter LOL.; ) So I won't really be able to leave behind my iPod and my girlfriend's iHome to Go... But hopefully we'll have some extra time if some of you wanted to take some group pictures/some film of you guys doing some of the dances. xD;

Some DJ at Sakura-con this year pretty much did that for their set. Pretty much a copy and paste of the top 7 Vocaloid songs with simple fade transitions. Worst dance ever. :/

So many people! I think I saw a third of these people already at reg line. XD
I arrived at the hotel/con in time, but the gathering started like a half hour early. D: I could have possibly made it but the hotel lost our bags and it took 45 minutes for them to get it up to us. ;3; I'm disappointed that I couldn't make it, but it looked like fun from where I could see from my hotel window (salt to the burn hurrr). ;;
Hi everyone! Thank you guys so much for coming, I hope you all had a fabulous time! <3 I apologize for the lack of music; my friend who was supposed to bring my girlfriend's iHome to Go (although being reminded to pack it at least five times) forgot it at home. I also apologize for the time confusion; I suppose a lot of people didn't get the memo about the gathering being moved from 5 to 5:30. It was my first time as a gathering organizer, and I certainly hope I did a good job at it; I had a blast (that megaphone was pretty cool, haha!) and if nobody has any objections, I'd love to be the organizer for next year! :3

Okay guys; it's super early, but this is now a 2012 thread. <3 Feel free to discuss time and location; though I personally feel that it should be kept relatively the same as it was this year. I feel that Friday is still our best day, though perhaps we can push the time back to six this year. Our location was actually not the intended one (as we were originally meant to be in the shade; but at least the weather was nice!), but it seems like it had worked out pretty well so maybe we should stick with it.
Also, as this is a very large gathering, I'm now required to have an assistant organizer. I'm open to anyone who would like to take the position; there isn't much being asked of you, and you can read the post BSaphire linked for more details. However if nobody feels up to it, my girlfriend and possibly another friend of mine will most likely be able to help me out again next year, so no pressure. <3

I totally feel your pain on that. xD; Miku's always a major hassle for me too, but the number of gatherings on Saturday is being limited next year; additionally, Saturday's generally a pretty packed day, and I like to try and avoid conflicts with other gatherings. Friday just seems to work fairly well. ^^;
But there's still of course plenty of time before Fanime 2012, so we'll see, I suppose. :3

I am referring to the Hilton side. :3 I'm planning for it to be in the same location next year. When you face the convention center and the fountains from the outside with your back to the street (and the protesters, haha), it will be on the right side. I hope that helps! I apologize for the confusion with this year's location; we were actually in the wrong spot, but as everyone seemed to have already congregated there and we weren't clashing with another gathering (and because the weather wasn't as hot as I had anticipated haha) it was left as is. I hadn't even known they were going to give me a megaphone and I was already unsure how I would be directing photos, let alone moving that many people. xD;;
That megaphone was cool, though. I wish I'd gotten to take a picture with it, but I was more focused on making sure things went smoothly. xD;;
I'm hoping to make the time a smidge later though, since I'm leaning towards Friday again and I felt bad that not everyone was able to attend. However, once the time is set I am going to be firm about not changing it this year, because the confusion this year was crazy. @-@;

Even though I am not the organizer, I would have to say that it won't be allowed for this gathering since any character from any form of media can be made available for MMD as long as someone can compose the proper parts and animation of the model of that character. If the character was featured as a part of any particular song made using Vocaloid like "Black Rock Shooter" but is not actually one of the mascots representing any of the Vocaloid programs, then that could potentially work.
@torikkusuta*: I'm not entirely sure of all of the details, but I think they're basically taking out an old library or something that used to be next to/attached to the convention center and expanding it [the con center.]
@azreale: Unfortunately I'm going to go with what Cobalt said. I generally welcome Black Rock Shooter cosplayers to the Vocaloid gathering because I do feel that the BRS franchise does have some roots/affiliation with the Vocaloid fandom, and so there are "Black Rock" versions of the other Vocaloids (and additionally it wouldn't be fair to exclude characters such as Dead Master, Black Gold Saw, and Strength as they are part of the BRS franchise, so I welcome them as well.) But unless it has some clear relationship with Vocaloid aside from a MMD model (since as Cobalt pointed out, any character can be made into an MMD model), I'm going to have to say no. ^^; Sorry!

So, it'd probably be a good idea to start discussing a time and date! I'm thinking of hosting the gathering at 6 pm on Friday. 5/5:30 was a bit too early for some of you guys last year, but I'd really like to go no later than 6 since we need the daylight for photos and Saturday and Sunday are generally really hectic because of the number of gatherings on those days. (And I believe there's also supposed to be a cap on the maximum number of gatherings per day.) Since I know a lot of you are going to want to avoid time conflicts with other gatherings, I feel that Friday would be our best bet. And as gathering organizer, I need to avoid time conflicts with other commitments, such as my panel (if it's approved, of course) and the CLAMP gathering that I'm hoping to attend.
But this year, let me just let you all know that once the gathering time is set, I want to strictly avoid moving it afterward, because I really don't want to deal with the confusion and whatnot that occurred last year after I had to push it back by a half hour. (Imagine having a photo taken and then having that person tell you that you're late for your own gathering, when you are in fact not actually late, and when you're the organizer too! I had quite the mini panic attack.)
So! Thoughts?
I think now is a good time to start that up Armored-Heart.
I think 6pm would be good on Friday.
Last year I was late for even 5:30...well I was with a group too that wanted to get together for the gathering and things didn't work out that well. ^^;
Since it's close to summer, I think the light would be sufficient...and photos taken inside would be also another option if it doesn't work out.
There are a lot of photographer stations I think.
If we also know what the other gatherings are thinking for time as well, there might be more room for negotiation, but unfortunately sometimes other gatherings aren't sure yet of how many people and what time would be good for everyone.
I think that setting a specific time is the best without having any adjustments.
Also I would say give a window of 5 to 10 minutes before and after the designated time for early arrivals and late comers is also a good idea since everyone has a different schedule.
Also of course have to work around your panel time and the CLAMP gathering...I would ask when the CLAMP gathering is and where that is being held.
Also an idea, I would have a sign made saying "Vocaloid/Utau Gathering" and someone can hold it up so people won't miss where it is...it can happen. ^^;
Also you should be strict about the time, so don't allow room for shifting it.
I know this isn't very practical sometimes because people have to get off work, or school or wait for friends or are coming from the airport, or signing in for their hotel rooms.
But it does set the time and that's when it's going to be.
How long would this gathering be?
I would wager an hour or so.

Well, I can almost definitely confirm that the gathering will be too large to be held anywhere indoors, but there should be enough daylight. And I think what happens is our gathering will be assigned a staff photographer. :3 The CLAMP gathering will probably be held Saturday or Sunday, whichever day isn't Masquerade. And to answer your sign proposal, with the large number of Vocaloid cosplayers I highly doubt anyone will have too much difficulty finding the gathering. xD; Not to mention you'd need to sign approved by staff in advance.
And the gathering will most likely last an hour. ^^;

It's actually for that reason that I prefer to host the gathering on Friday; it's BECAUSE those two days are so popular that I wish to avoid potential conflicts with other gatherings. ^^; Noon to 5 pm are also prime-time panel hours, and I'd hate to conflict with any potential GoH panels that some of you might wish to attend. (I also admittedly have my own prior commitments to work around as well, such as the CLAMP gathering that will be on one of those days (whichever one isn't the day of the Masquerade) and somewhere in that timeframe, as well as a personal photoshoot or two.)
If Friday is the agreed day however, I do intend to push the gathering back no earlier and no later than 6 pm. I know some of you have school/travel issues, and keeping that in mind, since 5/5:30 was a smidge too early for some last year, I'd like to push the time back a bit. No later than 6 though, because we do want enough daylight so that our photos look nice! <3

@Angel and Luluu- Yeah, I'd rather not try and compete with the other large gatherings over Saturday and Sunday, especially since we're also a pretty decent-sized gathering (last year we probably had at least 100ish people). Having to change costumes multiple times in a day just to be able to attend different gatherings can be tiresome as well, so I feel avoiding conflicting with most other shoots entirely by choosing a different day and spreading out larger gatherings is beneficial to at least most of us. Glad that works out well for you both! c: (And I hope my rambling made sense, I'm rather tired today. haha)

I'm so sorry to hear that. D: I'd love to host it earlier, but with so many people not being able to arrive until after school, it'd be a problem either way. That's the problem with gatherings; you can never find a good time for everyone, I suppose.

Hello! This'll be my first time at Fanime and I'm planning to wear my default Len and possibly my default Rin and/or Epilogue for Prologue Rin. Not sure what days, but I'll wear them at some point during the weekend. I sadly won't be able to make it to the meet up in cosplay because my flight comes at that time of night, but I may try to stop by and take pictures of everyone if the meet-up is still happening when I get to the convention center.
I'm super excited and I can't wait to meet other Vocaloid enthusiasts!

Last year I had plans to bring my girlfriend's iHome to Go and I had a Vocaloid playlist set up to play at the gathering, but her friend that she had previous loaned it to forgot to bring it so it fell through. D: I'm not sure if she ever got it back, so I can't promise anything, but I'll ask her about it. In previous years though, it's pretty much the gathering lasts for roughly an hour and then we disperse, since there might be another gathering waiting for the location and most of us have panels and the like to attend. Last year as soon as the gathering was over I had to run off and prepare for the panel I was hosting. ^^;

Apologies for the slight inactivity! I've just returned from Sakura Con and the weeks leading up to that con were extremely busy.
Music is unlikely this year, since my girlfriend never had her iHome to Go returned and we don't really have anything else we can use. ^^; Sorry, everyone! And I'm not sure what you mean by a back up person, but I already have a few helpers to aid with I guess what we could refer to as crowd control and whatnot (a helper is now deemed necessary for the larger gatherings this year, so I have a couple of helpers already to be on the safe side.)

Not unless something totally drastic happens, I'm afraid. The Vocaloid gathering is usually Friday evening as far as I can remember, and I already pushed the time back a bit compared to last year because of those who arrive a bit later on Friday due to school/transportation issues/etc. Saturday and Sunday are typically packed with gatherings as well, so I keep the gathering on Friday to assist those who want to avoid time conflicts and the like. ^^; Also, due to the construction at the convention center this year, we're already being moved to a designated 60+ gathering location as space out front is rather limited, and there will definitely be other large gatherings in need of the same spot at various times. So moving the gathering is simply more hassle than it's worth, I'm afraid. ><;

Well, last year I had set up a playlist to play during the gathering just for background music, but my friend forgot to bring her iHome to Go so it unfortunately fell through. I haven't been able to make any such plans this year, so I doubt it, sadly. ^^;

Speaking of which, as the event approaches, I have decided that I will be coming as "Love is War" Miku instead.

There was a random box of Nekomimi that was situated near the construction fencing towards the end of the gathering. I'm assuming those are the ones you are talking about. I didn't take them and I didn't see anyone else take them, but they are most likely gone-gone-gone.

This was the only gathering I was able to attend during Fanime. And I was glad that I could! I really had fun at this one. I cosplayed as the default outfit Meiko. Hi everyone! Sorry for the bit of inactivity- I was super super busy since I was recruited to do artwork for Equestria LA which was just last weekend, so now I have to rush to prepare for Fanime! I'll be updating the list shortly, but I want to confirm that assuming our timeslot is approved, it will be no later than 6 pm on Friday. I cannot budge on the time at all, as I want to avoid clashing with the other large gatherings and I have to check in for my panel (An Intro to Bronies) at 7:30, so I'll have to dash off almost immediately after the gathering ends. I apologize if this causes any inconvenience to you all!
If you need any help organizing the gathering I'm totally down to help :) I basically ran the DRRR gathering for 2011 so yeah :D and I'm free to look after things if you need to go and do your thang at the panel :)
I think I've got it under control, but thank you! I ran this gathering for 2011 and 2012 and I have a couple of people to help at con, so I think I'll be alright. This gathering doesn't usually last more than an hour, so I should be fine. c:

My apologies, I had actually intended for the gathering to be at 6, but this year organizers were asked to provide a time window as opposed to something more specific (at least, that's how I interpreted the instructions). Because of my panel at 8 pm, I couldn't really go earlier than a 5 to 7 window, and I guess we were given 5 pm. ^^;

oh its fine, i dont mind. :) i just wanted you to know. haha. i get off work at 4:45, the take lightrail. it sucks, but ill be there no matter what. :3

I missed the gathering! I was Love is War Mikuo Hatsune this year. I'm sad I missed it but I would love to see the photos from the gathering if anyone would like to share them. :D
I wish the gathering was on Saturday. On Friday I was exhausted from standing in line for 6 hours to get my badge. Maybe next year.
