My group doesn't really have to worry about travel payments. Few of the Officer's parents, including my dad, decided to give a lift to San Jose on the condition that we'll pay for the gas: about $20 per car used (we used only 2 cars holding up to 4 each; only 8 out of 10 people went[my club is small]) And we didn't need to pay for the ride back. Don't forget to say, "Thanks for the ride!" We live in San Leandro so it's only a half hour ride or so. I guess my club is lucky to be so close. It would be better if we we're closer. :P

Getting the school to pay for your badges, however, is usually way easier. If you break it down by person, if you put 4 people to a room that would be 5 rooms. Oh, and if you are in a high school club then chances are the student body definitely WOULD NOT pay for your hotel, unless you had faculty/staff supervision. Think about it: would a high school really pay for a bunch of (possibly) co-ed teenagers to stay in a hotel? lol

(i was thinking that a shrine and maybe that fish market might be too far too)

Actually, depends on what shrine you want to go to. If a small one is good enough for you, you can walk to one. Otherwise, you can take the train for 210 yen from Azabu Juuban to Yoyogi, which has a very large one (Meiji Jingu). The fish market is only 4 stops away from Azabu Juuban, only 170 yen for the train fare. Tokyo Tower is only two train stops away for 170 yen. (Tokyo Tower in addition has an entrance fee which I can't remember the amount of.) Buses cost 200 yen per ride. Fandom at Akihabara is farther away (about 30 minutes), but that train ride is also only 190 yen from Roppongi from what I recall.
If you really don't spend any money and eat cheaply, you probably can live three weeks for $1000. Average wages for new grads out of college here is about $2000 a month, and many of them have rent to pay as well. However, you may want to carry extra for things you want to pick up, but that's up to you. Last I checked though, airfare was more than $1000, due to gas prices.

Basically can you tell me anything of importance about moving a large group of people?
Anyway, If you're going to take 20 people to Fanime, you need at least 5 rooms or 2-3 suites. But you have to wait until the hotel info is posted on the main site to get definite prices. That won't be for a while.
My anime club is large but only 8 people have the "clear" to go. We're still working on getting funds for hotel rooms. I estimated $1500 for the whole weekend for two rooms in the marriott. The hilton I'm not sure of. I tried and got $2300 o_o
