Title: SWAP MEET Official Information Thread: REGISTRATION IS OPEN
Post by: Zelyhon on March 17, 2015, 11:42:21 PM
Hello, Fanime Forums users.  I am Ben Levy, your head of Swap Meet this year.  As we are getting ever closer to the convention, I wanted to make sure there was/will be a centralized location for everyone to get their Swap Meet information in a timely manner.  Last year, it seemed like distribution of information was a bit of a problem, so hopefully this will be a good centralized place to get some information out.  There will be other places that things are put out, such as official Fanime publications or the Fanime twitter or other places like that, but I'll be working to try and make sure that the info is all reposted here for any who might miss those.

So, Swap Meet preparations are underway.  Let me assure you all that we have heard some of the complaints and feedback from last year and are working to try and alleviate those concerns.  We're still nailing a good number of things down, but here is some information that can be shared right now.  This post will be edited as more details are finalized.

-SWAP MEET REGISTRATION IS NOW OPEN.  PLEASE FOLLOW THE LINK BELOW.

http://apps.fanime.com/2015/swapmeet/

-Fanime Swap Meet 2015 will be held in SOUTH HALL.  That's the big tent-like building behind the convention center.  Go out the East side of the convention center (the Marriott side) and take a right.  Last year, there was a restriction against using South Hall past 10:00 p.m., but that has been dealt with for this year, since we won't be blaring loud music or using megaphones or anything like that.  Thus, the curfew that meant we couldn't use it last year is no longer a factor.  Speaking of hours past 10:00 p.m...

-Swap Meet 2015 will be held on Thursday, May 21 from 7:30 p.m. to 12:00 a.m. and on Friday, May 22 from 8:00 p.m. to 1:00 a.m.
-Check in for Sellers will begin an hour to an hour and a half before Swap Meet.

-Swap Meet spaces will be $40 per day per space.
-Swap Meet spaces will be 14 feet wide by 6 feet deep.
-Swap Meet will have 192 total spaces available.

-The exact number of spots and the dimensions of the spots are all still in the process of being finalized.  What I can say is that, at this point, it looks like there will be more spaces available than last year and that spaces will be larger than last year.  However, since details are still being finalized, this is still tentative.  Considering the size we were working with last year, though, I feel fairly confident that South Hall will allow us to do both of those things.

-The Swap Meet seller's agreement and rules have been finalized and will be available to people after they register online.  The rules are mostly unchanged from last year.  The full text of the guidelines can be found on the Events page for Fanime:
http://www.fanime.com/events/

-Also, with regards to the seller's agreement, please remember to have the agreement filled out and signed by all parties before coming to the convention.  There might, might be copies there, but to ensure an orderly and speedy check-in, it will help you to have your seller's agreement finalized.  If it's not, you may need to go to the back of the line and fill it out so that others who came more prepared can check in smoothly.

-The registration process is in the works.  It is my hope (but, again, not locked down yet) that we will use the same system as last year.  I know that a good number of people had difficulty signing up, and that there was confusion about the date signups were to begin.  We are working on these issues to hopefully have it up earlier and run more smoothly than last year.  When we lock down the process and the date enrollment will open, that information will be posted in this thread and updated on this post.

I believe that is all I have for now.  I will do my best to update this post and to post further in the thread to draw attention to changes.  For now, though, I'd like to throw this thread open to any questions or comments you may have regarding Swap Meet that we can hopefully answer or address prior to enrollment and/or the convention starting.

Edited to include restriction on amplified sound.
Edited to include dimension and number of spots.

I think this may very well be the single most exciting post on the entire forum.  Using the South Hall AND being allowed to stay until 12/1am?  Uh, yes please.

That $40 per spot is rather painful, though.  I guess if the plan is to make each space larger than last year, hopefully back to the 10'x10' we were getting a few years back, we wind up paying the same amount per square foot.

Man, if only swap meet reg was open, and I was able to confirm a spot for myself, and we could request our location in the hall, AND it cost less than $40... well, I think that would just about be the best thing ever.

Agreed wholeheartedly. 40 bucks is exorbitant.

Hello there Swap Meet attendees, just wanted to take the opportunity to peek in and say hello as well.

My name is Jeremy Snow and I'll be co-chairing the Swap Meet division along with Ben. I've been attending fanime for approximately 10 years now and have been a regular at swap meet for the same amount of time. I share Ben's commitment to get information out in a prompt manner and as clear/concise as possible.

I look forward to working with you/seeing you at swap meet!  ;D

I want to know if there is a list of what we can or can not bring? Is non-anime items allowed? I have Funko Pops!, blind boxes/bags, some super hero items, and non-anime related video games with me.

Well, hopefully we'll be able to start ticking things off your list of wishes in the not too distant future.  Unfortunately, the cost is locked in so that one won't be able to be fulfilled from the wish list, but based on my math, you'll still be getting more area for your dollar than last year, even if the final size is not 10' by 10'.

We're still working on the final list of things you can't bring to sell.  Pretty much everything you mentioned should be okay to bring.  The majority of what is probably going to be on the finalized list are things like food, actual weapons, bootlegs, and stuff like that.  Funko things, superhero items, and non-anime video games are all okay and have been sold in previous years.  Blind bags and boxes, though, are an issue.  By their very nature, we wouldn't be able to check them to make sure that there's nothing in there that's on the list of things not to sell.  That presents a pretty huge logistical problem.  My advice would be to leave the blind boxes and bags off the list, but most of the rest should pass muster.

Hoo-boy. $40. I hope those spaces are big!  :P I think this may be the first year I'm not sharing, too. Plus side I get to use all the space to fully show off my goods, downside is I have to eat that cost on my own...

But great news on the location announcement!! Thank you for the update!

Best location ever! I'm so excited that I don't even care about the price increase.

I am happy with the location change. Lots of space for sellers AND buyers. Hopefully no LineCon 2014.

Last year's spaces were 9' x 4' for $30, or 60 cents a square foot. For $40, the space just needs to be 66 square feet for the same cost:space ratio. Of course, that's not the only thing that goes into cost consideration...

This new spot sounds amazing and I love the times! Like many others have said; hopefully no linecon- -but this time I (and a few friends) will be selling instead of buying.

I was wondering if it's possible to put four people on the seller's agreement/seller's permit? That way two of us can work the first night then the other two work the second night.

usually when signing up and filling out the forms, you're filling out for each day anyways, so your situation kind of sorts itself out (unless you're looking to put both reserve spots under a single person's name)

As much as I would love to maybe help out on staff, I kind of need to sell at the swap meet this year to fund myself for the rest of the con.

As Anon mentioned, but I just want to confirm, each day will be a separate application, seller's permit, and seller's agreement.  The way to make your plan work would be to have one person sign up for one day (and put the other seller for the first day on that seller's agreement) and have another person sign up for the second day (and put the fourth person on their seller's agreement).

One slight change to the rules from last year:  Due to the location, amplified sound is not going to be allowed.  That's part of what is letting us go past the curfew.  This means that we staff don't have our megaphone (so sad), but more relevant for all of you is that no speakers or other amplified sound will be allowed during the Swap Meet.  I know that this doesn't affect the vast majority of booths, but it might have a major impact on a few others.  In past years, people have brought speakers or other equipment to play music out loud at Swap Meet, but to avoid confusion and potential problems with that being interpreted by some as "amplified sound", we won't be able to allow that this year.  If you are planning to sell CDs at Swap Meet and were thinking of using speakers to demonstrate what the sound is, your best bet would be to get a set of headphones to still let the customers try before they buy.

Hello staff and fellow sellers, just wanted to say a few things. First off I'm happy that were getting a bigger spot this year around. previous years it felt like our spots were getting smaller depending on location. I hope in future time, swap meet will have a steady spot. Also like a few others that mentioned about the space being 40 a night, its does hurt but we got to work with it. I've been selling 3 years strong at the swap, to me its the best part of the con. Not just the selling but environment wise, like you can easily have a conversation with anyone because we all share the same passion. But that's just me, I cant speak for everyone. The other issue I'm saddened with is not being able to play music. I know this doesn't apply to all the sellers but for the few of us who do play music. I can understand Thursday but Friday as well? I know its mutual for staff as well, being that you cant use the megaphone. At least were in the same boat. Just wanted to share some thoughts out there. So thank you staff for doing your part for us sellers as well as the attendees, I hope everything goes smooth this year for everyone.

It's part of the price for using South Hall, unfortunately.  I know people like playing music, either just for fun or as part of what they're selling, but I hope that the other benefits that come with using South Hall will help to counterbalance that disappointment.

Yes, Swap Meet is Thursday and Friday night, like usual.  However, keep in mind that the hours go quite late, so even if you might have work or might not be at the convention early on those days, it should still be open to check out.

I agree. Swap Meet is great for the money making, but I also just really like it as an experience. Last year was the first time in about 5 years that I didn't participate, and I really missed it.

I have a question about allowed items -- I am considering trying for a swap meet space so I can sell some old handmade lolita clothes. This is all I will be selling. Since the items are primarily handmade (with a couple of storebought pieces thrown in), would it be allowed? I wouldn't be appropriate for the AA, since I'm not making clothes specifically to sell, I'm trying to sell used clothes that I made for myself to wear years ago.

And for those who have previously participated in the swap meet -- would used lolita clothes sell? I'm not sure if there would be any interest in these. Have people successfully sold J-fashion items in the past?

Used cosplay and cosplay-ish items that you made previously are allowed.  You would not be able to make things specifically for Swap Meet, since like you mentioned that falls under Artist's Alley as opposed to Swap Meet.  Crafted items such as that do have to be approved by staff, but the general description doesn't give me any reason to think that there'll be any problems with it.

As for "will they sell," I'll defer on that question to anyone who regularly sells at Swap Meet, since I don't actually know.  XD

I'm planning to selling stuff for the first time , also hoping to find a partner to split the costs. Just a noob question, I was doing my taxes and asked someone who helped me... I still need to get a temporary sellers permit if I'm selling only at Fanime this year, right? I presume we get it after we get our space. And for those who done their taxes, how do you factor in your Swap Meet expenses and profit when filing your taxes?

I haven't sold at Swap in a few years, but they never required a temp sellers permit before. Only Artists Alley needs them, because they make their goods to sell, basically a business. Swap Meet is more like a yard sale, selling used items you've previously paid for. I suppose things could have changed, but that's how it worked before.

This is correct.  You do not need a temporary seller's permit, but when you are filling out the application form, you will need to check a box indicating that you are an occasional seller as opposed to someone who sells regularly and would need a seller's permit.

In other news, Facilities has approved our layout for Swap Meet and has sent it on to the Fire Marshall for final approval.  However, because Facilities has given the thumbs up, I am free to announce that spaces at Swap Meet 2015 will be 14 feet by 6 feet.  Until we get final approval from the Fire Marshal, we won't have a final number of spots available.  However, the plan as submitted has 192 spots available.  However, keep in mind that this is subject to final approval by the Fire Marshal, but I expect that it should be approved.

FYI, there are no tables, just a space lined out on the floor.

Adult material must be in a non-see-through box, labelled 18+, and you're limited to one box.

Both of these are correct.  The size of the box is limited to the size of a standard comic long box.  The exact dimensions will be in the official rules.

The speed at which the spots sell out depend largely on two things: 1) our venue (# of spots we have) and of course 2) demand.

The swap meet is a very popular element of Fanime, so we do sell through the spots quickly, but this year we have 192 spots, a very impressive number considering last year we had maybe half that number? (Correct me if I'm wrong Ben)

That being said, in the past we have had a "wait list" for people who were unable to register due to spots selling out. Every year we have people who don't show for any number of reasons, so our wait-listed sellers would be on standby for 45 minutes-hour after swap meet began and then we would allow you to take their spot.

Registration for this year's swap meet isn't quite ready and so I can't guarantee what this wait list process might look like this year, but I hope that information helps!

The swap meet is a very popular element of Fanime, so we do sell through the spots quickly, but this year we have 192 spots, a very impressive number considering last year we had maybe half that number? (Correct me if I'm wrong Ben)
Well less than half and much smaller in area.  I'd be surprised if we sold out this year, and if it looks like we're heading that way, there are some things we can do without reducing spot size to try and open up more spots.

Is there any chance there will be an option to pick up badges at swap meet Friday? Because of work scheduling, my husband may not be able to get to the con until after 7pm on Friday when badge pick up closes. This really sucks for us since he's my #2 for the swap meet "booth" and we don't have a group reg.

We will not be able to pull and hand out badges to Swap Meet sellers when they check in.  The one year we did that, it seemed to really slow down the registration process.  I'm also unsure whether that'd even work with the system we had for registration last year.  Things were pretty streamlined for general registration and I would be reluctant to do anything that might upset the flow there.  I'll give it some thought and private message you to try and figure out a solution to this particular problem.

I want to raffle one item.

Is this allowed?

I don't mind shipping it to the winner after the con if thats the case (in case they leave early.)

I have a question for seller check-in on Thursday night.
Do we have to get fanime badge in order to checkin swap meet, or we can use our drivers license for checking in?
Knowing the line, I'm worried I might not have time to get my badge before swap meet. and since swapmeet is on Thursday night, there is not a Thursday badge that sells, how is this work?
Thank you

If you have a weekend badge, you can pick up your badge on Thursday starting at 3 PM. While past performance is no guarantee of future results, I can say that last year registration did a legendary job in terms of moving the line quickly to the point that there really was no "line" throughout the con. Assuming they keep this system in place I doubt that getting your badge on Thursday will be an issue.

Additionally, (and this may have changed, correct me if I'm wrong on this Ben), the Thursday night swap meet is not a badged event. This is mainly to welcome in any and all interested buyers to peruse the swap meet, but it's also to help sellers not have to worry about getting their badge beforehand. We will require a photo ID (drivers license, state ID, passport, etc) to check you in of course, but if by chance you have not picked up your badge, that will not bar your entry to swap meet either as a buyer or seller.

Again, this may have changed but I will defer to Ben if there are any corrections to be made.  :)

I checked in yesterday to see if there was any update and at this time we don't have any more information. I promise we'll get it out to you guys as soon as we know!

Take some comfort in the fact that we'll have a LOT of spaces this year, so hopefully we'll be able to accommodate everyone who wants to sell!  ;D

To the best of my information at this time, a seller will not need to pick up their badge prior to check-in on Thursday.  The online registration will check your name against your Fanime registration, so we should be able to make do with a photo ID and the seller's agreement.  Friday, however, badges will be needed.  If this changes, I will make a post about it here.

We're in the process of getting it set up.  I wish I had a more exact answer that I could give than that.  Once things are prepared on the back-end, we'll put notice out through all the channels.

As Jeremy stated, there's plenty of spots, so everyone should be able to get in, judging by previous years.  We know that late notice and lack of forewarning have been issues in the past, but we should be able to let everyone get in even if registration opens later than we might want.

Yes, an update would be great.

I am flying in and will be bringing less than two suitcases' worth of items to sell.
Am looking for someone to share a space with on both nights. I did the same thing
last year and it worked out well for all parties, plus the spaces are bigger this year.

No problem!

1) It will check your name against your fanime registration in general, not whether you have a 4-day pass or not. Since Thursday technically isn't even part of the con, it would make no difference if you had a 4-day badge or a 1-day badge. Basically we're just making sure that you're actually attending fanime and not just a random person looking to take advantage of the thousands of potential buyers at the swap meet! :D

2) Yes you are allowed to bring helper(s) with you, but only one other person can share the space with you. So if you bring a few guys to help you carry everything that's fine. In fact it's recommended as swap meet staff are limited in how much physical labor we can offer for help. However, once everything's moved in and in place only one person can stay in the space with you, sit, etc. There will be a spot on the registration form to identify this person so that if you have to leave (meal run, whatever) there is still someone responsible for the space sitting there.

I hope this helps!

raffles are not allowed in Swap Meet, just like in Artist's Alley or other places.  Sorry about that, but it is considered a form of gambling and is not permitted at Fanime.

Alright, everyone!  Thank you so much for your patience with the Registration timeline for Swap Meet.  We are just about ready to go on this.

SWAP MEET REGISTRATION WILL OPEN ON TUESDAY, MAY 5th AT NOON PACIFIC.

There should be a link in this thread as well as on the main Fanime site and hopefully through other Social Media as well.

When you register online for Swap Meet, you will also pay for your spot.  Once you have registered online, there will be a Swap Meet agreement that you need to fill out and sign, which includes the rules and regulations.  This agreement functions as your temporary seller's permit and is required before you will be able to check in at Swap Meet.  Please print it and fill it out before arriving at Swap Meet each day.  We will try to have extra copies, but there is no guarantee.

Further updates will be posted as they become relevant and/or finalized.

Yes. If you are buying on Thursday you will not need a badge. If you are selling you must at least be registered for Fanime, whether for 1 day or 4 days.

It will be a badged event on Friday for both buyers and sellers.

I'd like a partner for both days so we can split the costs of $40 each day. It'll be my first time selling at the Swap Meet so it will be nice to be with someone who has experience selling at the Swap Meet. I can meet in the SJ area anytime to pay for the costs before and after Tuesday registration.

You're more than welcome to have people help you move/carry stuff in, but once you're set up you can only have one other person in the space with you, whether they're selling something or not.

I hope that answers your question

Seconded! For the exact same reasons mentioned above.

My friend and I have been fortunate to get a spot for as many swap meets back as I can remember.  Even when we had the 10'x10' spots, what seems like ages ago, we've managed to have enough stuff to make getting two separate spots worth it, which is why we don't opt to share a space.  Last year, we somehow still managed to wind up with spots more or less within view of each other on both Thursday and Friday, so we were somewhat able to keep an eye on the others' items during a bathroom break or shopping lap.  Being able to request (and understandably not guaranteeing) neighboring spots would allow us that small piece of mind that we don't have to remain there for the entire duration should the need arise for us to step away for a minute, lest we risk leaving a bunch of anime goodies unattended.  We have some pretty great folks that attend Fanime, so while theft is always a possibility, what I noticed last year were people walking away upset if there wasn't someone there to answer questions or even take their money for something they wanted to purchase.

Besides having too much stuff to squeeze into a single space, it's also usually just the two of us who attend Fanime.  We could mark each other down as a secondary seller for the other space, but we don't have anyone else to help out   Having more than two people per space hasn't been an issue, as we can't even get that second person to begin with.

We are definitely not considering combining our powers to form one massive, all-mighty swap meet singularity.  The concern of vendors using swap meet rather than the dealer's hall or other sellers otherwise monopolizing space is definitely a valid concern, but I think this can be mostly addressed through clear communication of the rules and the consequences of breaking them before hand, followed up by monitoring by staff.  For the vast majority of us sellers asking to be allowed neighboring spots, if not where specifically on the floor our spots are, is a reasonable request that shouldn't be overly difficult or disruptive to grant.

Assuming we don't use that random-number method from last year again.  Please don't do that to us.

This is definitely something we've heard in previous years, and definitely a valid concern regarding having a friend possibly watch a spot for long enough to cover a bathroom break.  It was my intention to allow at least some choice regarding spot selection, though perhaps not of the entire hall at once.  Probably a column at a time progressively down the hall.  Keep in mind, though, that the Seller's Agreement states that spots will/may be randomly assigned, so if we notice an issue or it seems as though spots are being combined into a single mass of merchandise, we will take steps to correct it.

I really don't like the random assigning. Last year, my friend and I were one of the first few in
line. She got the absolute best spot, very front, middle, end row, while I got nearly the opposite
at the very back.

Registration for Fanime Swap Meet 2015 is now open.  Please follow the link below and follow the instructions to go through the registration process.  Please keep in mind that if you are Staff, Press, or Industry and thus do not have a badge number, you will need to put which one you are in the field where it requests a badge number.  Following that, your application will need to be manually approved.  This will take some time, as Swap Meet will need to check with the head of the appropriate department or division before receiving the authorization from them to pass you through registration.

If any other details or issues arise, please send an e-mail to [email protected] and we will respond as soon as we can.  However, this is not likely to be before 6 p.m. Pacific, since I cannot do some of the likely necessary work from my work computer.

Getting an error "Badge Information Does Not Match" so I just emailed you guys. I assume by the time this gets sorted through, all of the spaces will be gone? Double checked everything and it should all be good, so not sure what the deal is.

My bro is getting this too and sent an email. The badge code is legit...I bought his badge so I should know! Here's hoping you don't lose your spots.

It is my belief that there will still be more spots than sellers.  Regardless, I think it should save your spot at that point.  Make sure your name and Badhe number match how Fanime has them.

Phew, swap meet registration is all set.  One less thing to worry about.  Didn't have any issues with my badge number, for what it's worth.

I did notice under the section for the seller's permits, occasional sellers are required to contact staff in order to claim exempt status.  They had that last year, but when I emailed I got a response saying it wasn't necessary.  Is that something we're required to do, or is claiming EXEMPT status and having a completed BOE-410-D form sufficient?

I also had trouble at Step 5 due to the secondary seller showing "Balance Due" but within a Group Registration. The primary group leader (who is also the primary seller), is showing as "valid".

Secondly, if changes need to be made to dates we chose (thurs/friday) is that possible? I selected to register for both nights but as it turns out I may end up not being able to attend both days. Is there a menu to cancel one night before or after making the last step's payment?

If we file the BOE online, do we still have to print the physical form when we arrive?
Also, since I am from out of state, I may have gotten this message:

"Please submit a copy of your identification to the nearest BOE office."
I have completed both BOE e-file and am able to print it.
I have been issued a Temporary Seller's license.
What do you suggest I do?

Hi, I have problem with badge number info.
I sell on thursday night only.
The system ask for badge number on page 5. Though I have a fanime online reg account,  but seems online registration won't send me badge number unless I pay for a full membership. So I just fill it as "no full membership", but i'm not allowed to go to the next step.
I just e-mailed you. thank you!

Hi I have finished my register earlier today around 12:20. At that time it shows "wait list" for my "Friday Space", so I paid for my "Thursday Space" and moved on to step 7. Now it shows both "Friday Space" and "Thursday Space" as "In Process", so I am wondering do I get both days? Is it the same issue as what Aishasama posted? If yes how am I gonna pay for my "Friday Sapce"?

I will double check both of these.  Swap Meet staff is currently working our way through the applications and questions that we have received as quickly as possible, so hopefully it will clear up the questions you might have.  If you have reached the point where you are "In process," your space should be reserved (not that we're yet close to selling out on either day, still a good number of spaces available each day) and the application might just need to be cleared on our end for one reason or another.  If you have paid, you should be completely done and have your space.  Once the backlog is done, I will post here again stating that it is cleared out and that if there are further issues, to e-mail [email protected] to make sure something hasn't fallen through the cracks.

EDIT:  Also, clarification on the BEO vs. the Swap Meet Agreement vs. temporary sellers vs. seller's permit is forthcoming as well.
Title: Re: SWAP MEET Official Information Thread: REGISTRATION IS OPEN
Post by: Zelyhon on May 05, 2015, 06:10:12 PM
To answer some of the questions we've received about the need to fill out a BEO or to obtain a temporary Seller's Permit for Swap meet, here is some clarification.

Prior to selling at Swap Meet at Fanime, you are required to possess either a valid seller's permit (temporary or permanent) or qualify under an exception.  The most common exception for Swap Meet vendors is that they are classified as "occasional sellers."  An occasional seller can be defined as someone who makes sales of their personal property less than twice per 12 month period.  If this is an accurate description of your selling pattern, you need only fill out the Swap Meet Agreement and check the box at the bottom indicating that you are an occasional seller.  If this does not, you will need to apply for a Seller's Permit on the BOE site, then fill in your permit number on the Swap Meet Agreement.

In either case, a printed, filled-out version of the Seller's Agreement must be brought to each day you intend to sell at Swap Meet.  If two sellers are selling as a single group (single stock of merchandise), they must either both be on the same seller's permit (if applicable) or both be able to qualify as occasional sellers.  If the sellers are selling separately (separate stocks of merchandise), they must either individually have seller's permits (if applicable) or qualify as an occasional seller on their own.

I am not aware of any reason this might be different for those out-of-state, so this should hopefully be a rubric for everyone.  Please post further if you have additional questions on the permit or lack of need for a permit.

As long as the items are not from the inventory of the vendor that will be fine. If he's looking to sell his own personal belongings (used anime, manga, etc) that's not a problem.

If it's asking for the address where you'll be selling you can use the convention center address: 150 W San Carlos St, San Jose, CA 95113

If it's asking for your address, list your permanent/home address.

If you find someone else who has a spot registered on Thursday who would be willing to share their space, you do not need to pre-register.  You will simply need to arrive with them, with your badge, government issued photo ID, and your half of the Seller's Agreement filled out.

If you want to sign up for your own spot on Thursday and to redo your registration, please e-mail [email protected]

Alright, Swap Meet Peoples!  Things seem to have been going rather well with registration so far!

There have been a few minor changes to what we may have discussed earlier.

First and foremost, SWAP MEET SELLERS WILL BE ABLE TO PICK UP VOUCHERS TO GET INTO THE SPECIAL REGISTRATION LINE.  What this means is that if you register for Swap Meet on Thursday or Friday, on the appropriate day, you can come by Swap Meet prior to the opening of Swap Meet (plan on about 5:00 p.m. each day), you will be able to pick up a voucher to get into the "special registration" line at registration.  This will be a faster line than normal registration (which should still be as fast as last year, I hope) and will help Swap Meet sellers to get their badges easily and have them prior to the start of Swap Meet.  That ties directly into point number two...

YOU WILL NEED YOUR FANIMECON BADGE IN ORDER TO SELL ON THURSDAY NIGHT.  Previously, we had said that you would not need to have your Fanime badge when checking in on Thursday.  However, in light of the Special registration vouchers and the ability of sellers to get their badges more quickly, we have decided to revise this policy.  Now, Sellers and seconds will be required to have their Fanime badges when checking in on Thursday.  If this is going to present exceptional hardship for anyone, please e-mail [email protected]

SELLERS WILL BE ABLE TO CHOOSE WHERE THEY ARE SEATED IN ORDER OF CHECK-IN, WITH SOME LIMITATIONS.  The way Swap Meet will be set up this year is that there will be sixteen blocks of 12 spaces, four columns of four blocks.  It is my intention to fill the hall in from the front, column by column.  However, within that, we will be allowing for some freedom to choose which spot you take from those that are currently available.  Thus, all of you who made requests to be near people will hopefully be able to coordinate that.  However, nobody is guaranteed any spot.  If Swap Meet staff deems it appropriate (colluding to make one giant spot, creating a problem for others, etc.), we can place you as we see fit.  This is particularly true on Friday for those selling both days.  If we notice a problem, we will take steps to correct it.

I sent a special request in the registration portion for Swap Meet, and since I'll probably get an answer faster here, I figured I'd give it a shot. I'll be 34 weeks pregnant at the time of Fanime and I won't be able to sit on the floor or stand for extended periods of time. I know tables are not allowed, but there's nothing about being able to bring or use chairs. I know that we're able to choose our spaces within limitations, but if I'm not going to be allowed to bring a chair, what other accommodations can be made?

I know tables are not allowed, but there's nothing about being able to bring or use chairs.

As always, wait for an official response from swap meet staff and keep in mind that rules and allowances can change from year-to-year, but I have personally brought in and used a folding camping chair at previous meets.  I didn't get to use it much except for lulls in the action, as I'm usually standing up to make sales or answer questions.  I have also seen other people use them on more than one occasion, so I don't think it'll be an issue.  Usually the big no-no's are no tables/shelves/tall displays and no tape.

Accommodations are made for people with disabilities and as someone who will be 34 weeks pregnant, that will most certainly qualify. You can bring a chair of your own, and we will most likely have a few on hand if you don't. Please email [email protected] so we can be sure to make the right preparations for you.  :D

EDIT: To clarify, in previous years chairs were not permitted, typically due to the venue that we were provided. This was the case last year from what I can recall. I'm not sure what the policy is on chairs this year for the South Hall location, but whether they are allowed or not, reasonable accommodations are made for any person who needs one for medical reasons.

http://forums.fanime.com/index.php/topic,19909.0.html (http://forums.fanime.com/index.php/topic,19909.0.html) - There's a thread on the Buy/Sell/Trade forums for swap meet sellers looking to preview their wares! In past years this has been pretty successful to help line up buyers for some of the bigger ticket/rarer items you might be selling, or to drum up excitement for the selection of goods overall! Feel free to utilize it.  :D

I'm not sure about checking this part or not: No sales of tangible personal property are being made or solicited at this event.

Can someone clarify this for me and how it will factor it with filing for taxes next year as an occasional seller if I have to?

Hi, I registered for the swap meet, but now that I've gone through everything that I'm selling I've realized that I might not have listed everything on the form I submitted.  I'm currently on step 7, is there a way to go back and edit it, or should I not worry about it?  Thanks!

Not easily.  Fill in the complete list on the Swap Meet Agreement that you will be bringing to the convention and that should suffice.

Chairs for sitting in are permitted pending Swap Meet staff approval (I.E. just don't push it.)  For a medical issue such as this, a chair will certainly be allowed.

I'm currently filling out the BOE form...what do I put for "Table/Booth/Location ID#"? I don't have that information yet, do I?

Also, do I have to print out the form, add a proper signature where it says Signature, scan it in, and THEN email it? Or just type my name in? (I've never done Swap Meet before...I just wanna make sure I get everything right!)
If you're an occasional seller, you do not need to fill out the BOE, just the Swap Meet Agreement and rules.  Please see the explanation earlier in the thread.

You will need to bring a filled out copy of the Swap Meet Agreement with you to the convention.

I just read over the seller's agreement again, and this year I'm not seeing anything against hand carts. My box of merchandise is quite large/heavy, definitely more than I can carry without some sort of wheels involved. I have a hand cart type thing I use at home for animal feed (I have chickens and horses). Would it be okay for me to bring that along and use it to transport my items, or is it still against the rules? If all else fails I'll buy something else wheeled (not a cart) to put my items on, but I just wanted to check on the policy regarding that before I spend extra money just to transport stuff to and from Swap Meet! Thanks. I know it's a union-related issue (not a rule the convention itself makes) so I understand if we're still not allowed to use them.

I'm worried about using a cart too after what PacificPikachu said. I was planning on using a RockNRoller multicart to transport my items and use it to sit on.

As far as I know, it's an issue that affects the entire convention center, which includes South Hall.  I have not heard anything indicating that we would be able to use carts this year as opposed to last year, so the default answer is to say "still no carts."  I'll double check with those more in the know to see if that answer will change.

Okay so I'm registered for a space on Thursday, but my boyfriend wants to help sell in the space with me. I know I have to have him fill out the "secondary seller" part of the swap meet agreement, but does he have to fill out a second BOE-410-D? Or is it sufficient if I fill it out? We're selling from the same stock of merchandise if that helps.

EDIT: I'm confused. In this thread, it says that you don't have to fill out the BOE form if you're an occasional seller. But on the Swap Meet Reg site, it says "A copy of your seller's permit (if applicable) or BOE-410-D form declaring "occasional seller" status." So do I even need to fill it out?

Quote from: Swap Meet InformationYou are required to have a Sellers Permit if you are selling (even temporarily) new, collectible or handcrafted items, or used items you have purchased for the purpose of reselling to others. You are not required to hold a permit if you are only making occasional sales, or selling products that are not taxable when sold at retail or selling on behalf of a section 6015 retailer (e.g. Avon, Tupperware, etc.).

If you fall under the "occasional sales" category (you sell two or less times per year), all we will need from you is a copy of your swap meet registration.

https://www.boe.ca.gov/formspubs/pub107/ (https://www.boe.ca.gov/formspubs/pub107/) Here is a link from the Board of Equalization site clarifying when you need a permit.

Our apologies if the registration site is confusing. I hope this helps :)

As ben mentioned in an earlier response, we are of the mind that carts/dollies are still not allowed to transport items this year. Rolling suitcases are permitted, and as I mentioned before, you are welcome to employ some muscle of your own to help you bring your goods in. Swap meet staff will be limited in the amount of support they can offer in this way.

Chairs will be permitted for all sellers as well, so you don't have to sit on the floor all night :)

I was checking out the website and there no badges for Thursday... so does that mean there will be no badge checking to enter swap meet?

Ben addressed this in an earlier post:

Quote from: ZelyhonFirst and foremost, SWAP MEET SELLERS WILL BE ABLE TO PICK UP VOUCHERS TO GET INTO THE SPECIAL REGISTRATION LINE.

So, buyers will not be required to have their badges on Thursday, but Sellers will, because we will have a system in place so they can receive "vouchers" for an expedited line. If last year is any indication, this shouldn't be necessary as registration moved exceptionally fast, but even if there are some delays in the main line, we have made arrangements so that our sellers can access the "faster" line and get their badges in time for selling on Thursday night.

As Ben mentioned, if this will present an exceptional hardship, feel free to email [email protected]

:D

I see that sellers will be able to start checking in an hour to an hour and a half before the start of swap meet each night.  I assume we'll be lining up at the main entrance of the South Hall, the one facing South Market Street.

Will there be any particular order that sellers will be checked in, say by their registration number as in years prior, or will it be first come first served like last year?

I also don't have any of my helpers in the system as I am unsure which of my friends will be finished with registration beforehand. Is it alright to just enter them manually in the sellers agreement or should I contact swapmeet ASAP?

At this time it seems like it will be first come, first served. With the amount of space we have this year I don't believe we've even filled all of the spots so there will be room for everyone. Additionally, we will be allowing a bit more freedom with placement and the selection of spaces as has been done in previous years. :)

Given how much space we have for sellers I'm guessing we will still have your space available for you at 8 PM Friday. However, I would email [email protected] so we can make a note of your later arrival in the event all spaces are filled.

On Thursday, only active sellers (and seconds) will be required to have their badges. If you have a few people helping you carry stuff in, they will not need to produce a badge. If you do have an assistant who will be staying in the spot with you to help sell, that person WILL need a badge on Thursday. As a reminder, all parties (buyers and sellers) are required to have a badge on Friday night.

Helpers do not need their own sellers permit. As was mentioned earlier, the majority of swap meet sellers do not need to fill out a BOE form because they qualify as "occasional sellers". As a result the swap meet registration form is sufficient. There will be a place on the registration form to list your designated "second" or helper for the evening. This is all you have to do to "authorize" your second. Remember, they also have to be in possession of their badge for Thursday night as well. So yes, it's alright to enter them manually in your sellers agreement right up until the point you check in.

Hope this helps! :D

Early praise: Nice job getting everyone in quickly and orderly, Swap Meet Staff.

Thanks! The venue helps tremendously, but it also means having more sellers to check in.

Hi,

On Wednesday, I requested to cancel my reservations on both days for a refund due to an emergency. Could I please get some assistance? I already sent an email to the swap meet team and got no reply.

Thanks.
