Title: Hotel Website Goes Live on February 6th at Noon (and FAQ)

I'm sorry for the (possible) misleading subject line.

This will serve as an FAQ until our hotel room website goes live.

Q: When will rooms be available? (Updated on February 2nd)
A: Hotel rooms will be available on February 6th at noon. As soon as we're complete with the code and checking all of the text to ensure that the information is correct. The original target date was "by the end of January" but this might be missed (continue reading to see why). We are going to miss the January timeframe, but will give updates as we get/have them.

Q: I read somewhere that you won't release the hotel website as soon as it is ready. Why not?!
A: In order to let the word spread about the hotel website opening, we're going to announce the date that it goes live well ahead of time (preferably a week in advance, but it might only be 3-4 business days) so that the word can spread. We found out that it's not really fair to just launch the website randomly and hope that everyone is paying attention to our website 24/7.

Q: I'm on staff. Do I book my room through this hotel website?
A: No. The current information flow is that HR will send the information out to the staff list. The process of booking a staff room differs from the "public" (for lack of a better word) hotel website.

Q: I called <one of your hotels> and was told that rooms aren't available.
A: Yes, rooms have been blocked off and can only be reserved through our hotel website.

Q: Where will information be posted? (Added on 1/22 thanks to Runewitt)
A: The official Twitter (https://twitter.com/#!/fanimecon) account, the official Facebook (https://www.facebook.com/FanimeCon) account, the FanimeCon (http://www.fanime.com) website, and these forums.

Thank you very much for keeping us up to date. ^_^

Even if it gets extended past January I think a week's advance notice would be much more preferable since everyone should have a chance to get the information by that point.

Wishing we could at least get a rate look.... So when you guys go live, we already know where to go. Although most of us already know.

I am wondering, if we are keeping the same hotels as last year? Since Clockwork Alchemy is at the Doubletree which was one of our back up hotels, it would be nice to have as an option.

We've generally "filled" up on the first day or so. The reason the word 'filled' is in quotes is because people will drop their room reservation before the cutoff date, which opens up a slot.

Oh, man. I have a six hour class on friday and I might not be able to book at noon. Just wondering, how fast do the Hilton or Marriott sell out within the first hours or so? I hope they don't sell out as fast as the artist alley tables did. :C

I don't actually have that detailed stats, but I will hope that everyone that wants a Hilton room gets one (this might be impossible).

It's okay, no worries! For some reason I thought the 6th was on Friday but it's Monday, haha. I don't have noon classes on Monday so I can safely book a room without worry. C: Thank you, though!

Also, keep in mind that if you aren't able to get the exact hotel or room type that you want on the first try, get on the waitlist! The housing staff is great at trying to fulfill all waitlist requests should it be possible.

There was some talking that there might be some suites available at the Hilton; any word on this yet? Even if they aren't at a discounted rate, are all the suites taken for staff?

Those two go really fast especially since they are the ones that are connected to the convention center. But a lot of the surrounding ones go a little slower. I'm more terrified that we are going to break the RSVP system on day one.

Oh BTW: There's nothing in the rules that say that you can't RSVP through your phones if you have internet, just make sure you have a CC either in memory on on hand to RSVP and you are done!

Darn, I have class at that time, and won't be able to get on until after midnight. :< I hope I can get a room at the Hilton! I wouldn't be heartbroken if I had to stay in the Mariott, though, as long as I'm in one of the two connected hotels, since that's quite important to me (though the Hilton is certainly my prefrence!). I just hope it doesn't all fill up in those 12 hours and I'm stuck at the Fairmont (which I am -never- staying in again!).

I'm just hopeful that I can get to the computer in time, or a room mate. Trying to fit 4+ people in a room with only a king would be a nightmare.

I'll have to have my mom reserve the rooms for me. I hope we can manage to get five rooms, because I refuse to room stuff ever again!

Question: Will there be two-bed rooms available at the Hilton for Thursday night? I'm pretty sure there will be, but last year my friend had an issues getting a Day Zero room, so I wanted to make sure that would be available.

If you get in on registering more or less when the reg site opens and get all the days you need at once, you -should- have no issue getting what you need. The key is to not delay, and do not expect that the Hilton or Marriott will be available after day 1 because they are the popular hotel.

Still a little paranoid, because if my mom doesn't get Hilton rooms on Day Zero, I can't be here on the forums to ask questions until at least 3, and by then, it could be too late. I'm sure it'll be fine, but I don't like not being in control of a situation.

I believe this maximum occupancy only applies to regular hotel rooms. I think for suites the maximum occupancy is more like six? (I've never gotten a suite, so don't quote me on this. I'm only estimating based on what I think I remember from past forums. :P)

I believe this maximum occupancy only applies to regular hotel rooms. I think for suites the maximum occupancy is more like six? (I've never gotten a suite, so don't quote me on this. I'm only estimating based on what I think I remember from past forums. :P)
Maximum occupancy usually goes with the amount of beds, despite it being a suite or not. A Junior Suite at the Marriott can only "occupy" four, as it only has a king bed and a couch bed.

You can technically fit three average-sized people in a king if you like being close, but it's not encouraged to stuff your rooms and have people sleep on the floor and such, for Fire-safety reasons.

I emailed the ramada about their suite the other day and didn't get a difinitive answer. first they said that the suite was part of the fanime block out, then when i asked if they knew anything about the pricing for the year, they told me it was unavailable.

.... will it be available this year?

Unfortunately, I don't believe that we have suites at the Ramada.

DEBIT CARD POLICY: If you choose to use a debit card for the payment of your room, the Hotel will take an authorization for the amount of room and tax for your entire stay plus the applicable deposit of up to $100.00 per room/per night. These funds will be temporarily unavailable in your checking account. FanimeCon Housing recommends the use of cash or a credit card if you wish to have access to all of the funds in your checking account throughout the weekend.

Does this get charged when we book the room or when we check in? I asked this in another thread as well but I wasn't sure if more people were wondering the same thing here.

is the 100 dollar deposit for all hotels. last year the fairmont charged a lot more then 100 for my deposit and i heard the hilton doesn't charge anything.

YESSSSS, Convention Plaza Friday through Tuesday, all booked! *fist pump* And I managed to also snag a Marriott room just in case my friends want an alternative this year, hehe.

I hope I did that right! I couldn't find an option anywhere on the registration form for booking two rooms so I went through it twice and booked them individually. Not how I would have preferred doing it but it seemed to work.

I was hoping to get a room at the Hilton but they sold out already! I thought I saw it on the list but when I checked again, it wasn't listed anymore. :O I really wanted a room at the Hilton, too. :C I managed to get a king bedded room w/ rollaway bed at the Marriott, though, but still.

One of the problems is there are no nights open for Thursday (Day 0) and Monday for those staying through the con for some of these hotels. So if you only book Friday arrival, checking out Monday, you can get something booked.
I hope there are plans to re-negotiate for the Thurs and Monday nights at the con-rate?

Last year I booked a room in 10 minutes, for Thurs through Monday.
This year it's taken me 50 minutes of frustration.
I have to come home from work to do this, because we can't use our computers at work for things like this, and now this isn't even a finished reservation. I have more work to do to contact people to get the other days added.

Surprised by the fact that there were very few hotel block options for Thursday set up -- it seemed to throw a lot of people's plans.  Hopefully the waitlist can address that like it did for me last year.

Heading to the Fairmont this year.  The elevator situation at the Marriott last year really soured me on it.

I also did. I found it weird that it went up five minutes earlier than they said, because I feel like we wouldn't have gotten the room that we wanted if he hadn't noticed it. The Hilton sold out immediately.

No promisses, but there is hope.

Two years ago I missed my chance to get a room at the Marriott; I checked back every day and especially on and around the deadline to cancel and I got a room that someone released. It takes a little patience, persistence and luck but it CAN happen.

Well, -kind- of. The big issue was not the weekend overall, but Thursday specifically. I spent several minutes cursing under my breath scrambling with Thursday before I got my Friday-Monday reservation. If you didn't want Thursday, I am gessing things were a little easier.

But yeah, five minutes is an eternity in these situations. What is more interesting is I remember seeing an error message that noted 11:55AM rather than 12 noon as to when to contact them about housing. I guess for them it was opening early so that things would start on time, but I think some people lucked out there.

Is it me, or did Marriott and Hilton rooms go faster than expected? I booked right after my 12-1:15pm class ended, and everything was literally gone especially for a weekday. Luckily the old Crowne Plaza was still open and I'm excited to see the new hotel since the last time I was there in 2007.

Is there a reason the cancellation deadline is a further away from Fanime this year? Previously you could cancel within 7-5 days of the convention and not be penalized, but this year you have to cancel almost a full month beforehand.

Also, for those who missed out on the hotels/rooms that you wanted, be sure to email or call Fanime Housing to be added to a waitlist. I've always gotten the room I need with the waitlist option.

What we did was get 3 two-bedded rooms at the Hilton from Friday Night through Sunday Night and 2 single-bedded rooms at the Marriott from Thursday Night through Sunday Night. We only need two Day Zero rooms out of our five because not all our club members can go on Thursday. We're going to make it work, but I'm worried about making people sleep on the floor of our single-bedded rooms.

EDIT: I just sent an e-mail to cmrhousing explaining my situation and asking about the waiting list. Hopefully I get a favorable response!

I know that the Doubletree had a free shuttle daily between the hotel and the convention center, so if you wanted to stay there you wouldn't have to pay for a taxi. However, the shuttle wait times sometimes were long and inconvenient. Still, for a free service you can't really complain haha.

All kidding aside, I was wondering if there was a way to guarantee a room to stay reserved no matter when you check in by paying early. I got a room from Thur-Mon at the Marriott and can't seem to figure out an option for pre-paying.

Perhaps someone can assist me...

I have a room at the Fairmont and am on the waitlist for a suite. The Fanime reservation page lists it as a "Junior Suite" but I do not see that option listed on the Fairmont Suites description page (http://www.fairmont.com/sanjose/Accommodations/SuitesIndex.htm). Am I correct in believing that the "Junior Suite" is an Executive suite, or is it something different?

There should have been an option for those booking multiple rooms. Not that I'm complaining it's just I was booking rooms for a larger group and we're trying to stay in one hotel and that hotel good booked up on the room price level I was booking midway through booking them, so I had to move all of them into another hotel so we could stay together etc.

I got it done and my college's Genshiken (yes that's our club's name) is booked to come, it was jus a slightly annoying experience going through the screen six times in a row.

Got a room at the Saint Claire! I was considering trying the Hilton or Marriott this year just for something new, but they were gone by the time I logged on, so it's the Saint Clare again this year ^^ I'm pretty happy about it though--I stayed there last year and they were amazing.
