This year we're going to try doing things a little differently, splitting up the gathering and the tea so as to make both more accessible to Kuroshitsuji/Black Butler fans. Please note that the Gathering and the Afternoon Tea are being held as related but separate events, each having their own day/time/location. The gathering will be hosted by our wonderful organizer for the past two years, HellAngel. @ ruby19_4 - this event used to be held right after the Kuroshitsuji gathering but people were often busy or got lost when we traveled to the tea party area. For the tea, people volunteer to bring food or utensils, and we just hang out. I hope that clarified what the tea is like :)

I think that the only problem with the balcony is that many other people want to sit there as well. Reserving it for a tea party might be a hassle or not possible to carry out. otherwise, I think the balcony might be a nice place to meet up. :)

I believe that HellAngel is running the gathering on Sunday. As of right now, I believe that the tea party will be on the same day but that may change. Though it does seem easier to hold it the same day...
@ ruby19_4: Thanks for offering to bring the tea. Some hotel rooms have coffee makers that can be used to heat water instead of brewing coffee. That's the only way I can think of heating water for tea. I've never brought the tea for the party before, so I can't really say as to how others have obtained the hot water.
@ livi-chan: Anything at all would be nice. I know that the first year most of what was brought was cake or sweets (haha). I was on such a sugar rush after that. I've decided to bring small sandwiches instead of cake - hopefully that will stave off some of the hyper-ness.
Oh, and people not in Kuroshitsuji cosplays shouldn't hesitate to visit the tea. Both the first and second years we had more than enough food to share. I hate seeing hungry con-goers and tend to make sure people eat. (If nothing else, there will be plenty of sandwiches to feed the guests, the photographers, and a few others)
And, before I conclude this post, which of the following would people be interested in?
1) PB&J (smooth PB and strawberry jam)
2) Cucumber and Cream Cheese
3) Ham and Cheese (sorry, no tomatoes as sandwiches get soggy when they are made beforehand)
4) Apple-Chicken Salad
Depending on how many votes each get will decide what I'm making. You can vote for more than one.
Well. it is a tea party. I will try to ask the cafe if I may use their coffee pot for hot water. Gotta see how it goes.

This isn't anything official, but what are people's preference of times? I'm fairly certain that the tea will be on Sunday afternoon. Would you prefer early, mid, or late afternoon? As of right now, it sounds like the Fanime theme, Hetalia, FMA, and Bleach gatherings will be in the morning/midday.
For convenience, I will try to get a time close to the actual gathering (factoring in the time needed to setup or clean up and then migrate from one location to another). Unless a majority of people attending object to this...
And just so everyone knows, BSapphire has started to take requests for time slots. I'm currently waiting to see when the gathering is, but feel free to post about preferred times.
mmmm...This is really conflicting with my calandar too...but im trying to make it....I could go for 2 days possibly..I might prefer early or midday because I will be leaving Sunday unfortunantly. And I dont think that will conflict with me and my friends panel either. we have ANB to do

Hey there Kuro tea & possible gathering cospeeps! A couple of things to pass the word along.
Sunday is going to be a little more crazy than usual... trust me :P
Now I'm not sure if anyone here is aware yet, but we have a new place for cosplayers were affectionately calling the "Cosplayer Hangout" and it is to be a room somewhere in the Hilton where cospeeps can chillax. I have a hot water kettle that you plug in and it heats 12 cups of water in like 2 minutes. It is only to heat water in so if it would help (providing your using tea bags) I would like to know if it would help to use it? Still have to find out what can and can not be done in the room, but maybe (and right now it is a MAYBE) we could put the tea gathering in there or possibly close by out side and have it picnic like if it helps :)
Next fyi is Bleach is currently looking at 11 am Sunday FiF CE HS if they stick to that time the next two 60+ gatherings left to pm me are Kuroshitsuji and Hetalia. Please let Hellangel know I need her Submission Info pm'd soon so I can place it. A 60+ gathering gets 1 hr in their location.
I know that I have posted some of the smaller gatherings, however returning 60+ gatherings have priority and that isn't going to change. Long standing 60+ gatherings like Bleach, Naruto and Jump take precedent over new 60+ gatherings.
That's it for now... look forward to the pm's and I already feel sorry for the cosplayers who want to do some of these popular titles cause they may have to choose which is the more important to them and let something else go. Looks to be another big year!

While we wait to see what time slot the gathering gets, where would people like to have the tea party?
- The first year the tea was in the Fairmont: wonderful backdrop but a bit far for some to walk.
- The second year we chose the Concourse level Patio Marriott Side: it did get a quite warm and, as an informal event, a little crowded with other congoers - eventually, I believe, some of the party guests moved to a side staircase.
This year we have a few options:
1) Fairmont
+ plenty of space
+ great backdrop for photos
+ AC
- have to walk a few minutes to get there and then back again
- only 4 or 5 chairs (but plenty of carpet space)
2) Concourse level Patio Marriott Side
+ plenty of space (if we get it requested/semi-reserved)
+ in the convention center
- no AC
- may be crowded if other congoers are hanging out there
3) Cosplay Hangout (only a MAYBE right now)
+ should have plenty of space/tables/seat
+ AC
+ close to the convention center
- this is a maybe right now
4) Outside/Picnic
+ plenty of space
+ near the convention center
- no AC
- no chairs which may be difficult for some cosplays/cosplayers.
5) Other: What do you recommend?

Quick question about food; is it alright for us to bring our own food? (just for ourselves). I have a gluten allergy and will most likely not be able to eat most(if not all) of the food that is there, except for tea XD.

Bringing food for yourself is absolutely fine. :) Allergies are always to bothersome and it's best to be safe rather than sorry - I'd hate for your day to be ruined by something like that.

Because of Hotel contracts there won't be any outside food allowed in CH MRH, only food from the hotel, however your party can use CPMS (Concourse Patio Marriott Side) or you can have it picnic like in the tree area down at the base of the stairs by the outside portion of the Hilton Bar.
CPMS:
+ Closer to Fairmont
+ Tables & Chairs are available
+ Some electrical outlets close
+ visible through glass patio doors to the concourse level of the con center
+/- partially shaded area
+/- bbq food provider in general location
- area is open to other attendees
Tree area by CH HRH
+ Shaded area semi secluded
+ Stairs &/or trees provide nice photo possibilities
+/- no table or chairs, but blankets would be needed making it picnic
+/- Close to Cosplayer Hangout (use outlet if needed)
- area is open to other attendees (much more limited #'s than the CPMS)
So those are the pros & cons to both areas. Let me know what you decide :)

Ok, so the Hangout spot isn't an option. What location would be preferred?
1) Inside or Outside?
2) Chairs? (I know that some cosplayers will need/want chairs).
3) How far from the convention center?

I dont mind to be outside or inside. Any where is fine. Preferable near the convention. I know they might wanna go somewhere after that, like the ball. I could bring some blanket for the floor, so our clothes wont be dirty.
Inside might be a good idea, since it will most likely be pretty warm outside
Inside is best for those of us with long wigs. Eheheheheh...

I'd really like to attend, although I don't own any Kuro cosplay. However, I do own quite a bit of Lolita (the fashion kind). Would that be acceptable to wear?
Fans of the series are welcome to join, just be mindful of photographers who want photos of only certain characters. :)

Let's talk location:
In the past, we have had the tea in two different locations. The first tea (2009) was in the Fairmont which, though it's a bit of a walk to get there, is quite beautiful. The 2010 tea was held on the Concourse level Patio Marriott Side. We can also choose to have the tea elsewhere.
Given the time of the tea (4PM) I assume that an air conditioned area is preferred.
What are everyones' thoughts on walking and the availability of seats? Please also remember that having the tea inside one of the hotels/hotel lobbies means that we must be mindful of how much noise we make and of the needs of other hotel guests.
That said, discuss and put forth ideas.
I'm cosplaying as Ciel Phantomhive. However, I am unsure whether or not I will be able to attend both gatherings since it is early before the convention. I shall see what I can do.
I'd like to come to the afternoon tea too! ^_^ As Ciel, though I'm not sure which costume to wear~

I'll be bring bringing a silver teapot and platter. I just polished/cleaned both so that they're shining. If anyone wants to take pictures with them and/or to put tea in the teapot, I'm more than happy to let you as long as I get them back when the tea is over.
EDIT: Make that 2 teapots, a sugar bowl, and a creamer all silver-plated. Plus 12 tea cups with saucers. Since I'm bring all this, I don't think I'll be bringing the sandwiches I promised earlier (but who knows). I'll also provide hot water (in the teapots) and a pitcher of cold water.
Moony, I do not know where my strainer is, so if you wish to bring yours it would be much appreciate. Otherwise I can provide tea bags.

How are we doing on utensils and tea cups/sets? I'm bringing two pots of tea with tea light warmers (so no plugs ^_^), but not sure about the tea cups. And what kind of utensils would we need? I'd assume tea spoons, but do we need to have the full knife/fork/spoon deal?

Thank you to everyone who has volunteered to bring things for the tea. As for utensils, most goodies that are brought have, in the past, been finger foods, thus napkins have been enough in terms of utensils. I will be bringing 12 tea cups with saucers, but that leaves us short by a dozen.
Right now I think we're set for drinks and it's good to see that people are offering to bring things other than dessert. :) Thank you once again for all of the volunteers!

I support the stereo idea as long as it's not a bother to you. :) As for the location of the gathering, I'm fine with whichever is decided.

Well its going to be a HUGE gathering,
but people will already be bringing tea
sets and tea utincles for the cosplayers.
If 12 tea cups is all you have, I wouldn't

^_^ I think Chaos is bringing 12, so we'll have a total of 24. Btw, I'm only bringing one tea pot with a warmer. The other pot will need to have water heated, so we kinda need to figure out where our location is going to be, because that'll determine whether or not we can get water heated with relative ease.
My tea cups are smallish. They are the type you think of when you think tea party.
As of now, I think we're set in terms of beverages.
I guess I will see what kind of finger food to bring. I will update with that later. When I get some idea about it.
My mom accidently went out and bought a bucket of biscotti instead of scones. :/ Will those be okay?

I don't know about the Fairmont, I think I remember something being posted about hotels not enjoying having their lobby crammed full of 30+ people (and Kuro looks like it'll be bigger this year and the Fairmont lobby is tiny). We could do concourse patios, there's shade, tables and chairs! Or we could use a picnic spot and have people bring blankets to sit on. :3

Ah, busy busy. Lists updated.
The tea has grown quite a bit since the first year it was held. I think it would be best if we held it on the Concourse level patio Marriott side. It's the patio on the second floor (main convention floor) where the tea was held last year. If we are able to reserve it, it should be less busy than last year.
Then again, where we held the tea the first year was the ballroom lobby.

The actual lobby for the Fairmont is quite large, more than enough for 33+ cosplayers.

Not sure if they will allow tea lights, but I'll have a thermos of hot water with me if you need more. In metal tea pots, the water shouldn't cool down too quickly.
@ manik_semiramis - I'm not sure why I put you under undecided..... Well, I'll go fix that. I remember now. You mentioned a friend coming as either Ciel or Madame Red, so I put down "manik_semiramis's" so that I could do a head count. So your name under Undecided refers to your friend.
So when it comes time for tea Ive decided to just fallow some one cus I won't know where to go...I feel like I should bring something but I have no money....*sigh*
I think we have quite a bit of food already so don't stress about having to bring something. :)

I'm curious if anyone coming to tea was planning on wearing Ciel in Wonderland costumes? I was thinking about wearing my Ronald-mouse for tea and then changing between gatherings if there were going to be others? ^_^;
I'd bring Cheshire Grell, but I'm already changing between the gathering and the tea.

Um... when you say convention lobby is it the ballroom lobby or the fairmont lobby?
Oops, I suppose I was a bit vague there. The main gathering is on the first floor of the convention center. It is in the lobby area which has large glass windows and 2 stair cases (one on each side). This is where we had the main gathering last year. It is close to where you check in for your badge. If you get at all lost, just look for all of the Kuroshitsuji cosplayers. :)
mmm...... so its a small place. Aww....I was hoping it is a bigger one. O well. Hopefully I can find you guys. I will check on you guys later. Gotta study for the finals.
O_O I don't know if you've been on the bottom level of the con center, but it's a huge place. There was plenty of room for ~30 people taking pictures and all the Kuro cosplayers. It's literally right where you walk into the place.
This is exciting, less than a month!
Ruby, don't worry about space for the main gathering. The first floor lobby is very large, the group photo for last year was not in the way at all - cosplayers and photographers still had plenty of space to move about during it.. Other con-goers just move around our group.
You bet I'll be there as Alois Trancy maid version. I might bring some scones.

I'll be going as Elizabeth and I will be dragging a Sebastian and a Claude along with me (hopefully female Ceil and Viscount too!). ;)
Also, if the tea lasts longer than a half hour, I might have to leave it early, at around 4:45 to head over to the Masquerade, as they need contestants at 5 PM. ^^;

Since your attending the tea, you are in the right place ^-^. I haven't been to the gathering/tea before, but from what I assume, everyone sits around in their Kuro cosplays and enjoys some delicious tea :) It's also sort of like a potluck, since everyone sort of pitches in and helps bring something (tea, napkins, cups, etc...)

Thanks everyone for coming and sorry about the last minute change in location. There was some misunderstanding with the BBQ so we moved to avoid any conflict. All in all, great tea party - and a big thanks to the Pluto who took charge of the crack photos!
Make sure to come back next year for more butlers and more tea.

Hopefully I'll be able to make it next year (if it doesn't interfere with some things I'm planning for next year) but tea was definitely second (the ball got first) on my list of amazing experiences at my first Fanime!

lol. I totally miss the tea party (funny enough it was behind us). Got sidetrack with those photos. Sure made the tea party more fun.
I wish I would have gone to tea, just that due to mild claustrophobia, the number of cosplayers in one area made me feel dizzy, hot, and sick. So I had to leave ): I had fun being Lizzie, and I hope the gathering next year is more like the 09-10 one with less people!
It would seem that every year the gathering keeps getting bigger! Next year we'll be trying something new again - a sit down gathering/tea. It's all in the works still, but we're hoping to find an area with plenty of space and a relaxed atmosphere. As nice as the convention lobby was, we turned into quite the fire hazard.....
