Title: FanimeCon 2013 Swap Meet: Official Thread (with FAQ)
Post by: StillMyWords on April 22, 2013, 12:31:00 PM
Hello everyone!

My name is Matt and I'm the Head of FanimeCon's Swap Meet this year.

First of all my apologies that the registration is not up and running yet. We'll be announcing the date for registration to live soon. In the meantime here is the FAQ for this year, cross-posted from http://www.fanime.com/essentials/event-registration/#swap-meet (http://www.fanime.com/essentials/event-registration/#swap-meet) (where you can also find our Seller's Agreement for 2013).

That said, here are the Frequently Asked Questions for this year's Swap Meet. Please contact swapmeetATfanimeDOTcom if you have any questions. I will also be keeping an eye on this thread and will do my best to answer any questions you may have.

Where is the Swap Meet located this year?
The Swap Meet will be held in Exhibit Hall 1.

Where do I go to sign up for a swap meet space? When do signups begin?
Swap Meet space sign-ups have not yet been scheduled. We are working hard to get Swap Meet Registration online. Please keep an eye on our website, facebook, twitter, or forums and you should be notified by those means as to when registration will come up. Sign-ups are done online ONLY.

How many Swap Meet spaces can I sign up for?
Each seller may have a maximum of ONE Swap Meet space. You may also add one other seller to the space. However, there may only be a maximum of two sellers at each space. You may not swap spaces with another seller or take yourself out of your own space so that another may occupy it.

I am part of a group. How is that handled?
There are no group sign-ups. Groups are handled as seating requests; during the Swap Meet sign-up process, please include a request to be seated together. Please be aware that while we do our best to accommodate such requests, they are not guaranteed.

What do I need in order to sign up?
During sign ups you will need to provide general information including your name, email address, a FanimeCon 2013 membership and answer some questions about what you are selling and when you would like to sell. Payment for your space will be collected during registration. You will also need to print and fill out the FanimeCon Swap Meet agreement. Once the process is completed bring your completed form, and your California seller's permit (if applicable), to the Swap Meet check in on Thursday or Friday to receive your space.

Is there a minimum age for participating in the Swap Meet?
The minimum age for any seller is sixteen (16) years of age at the time of signing the Swap Meet Agreement. Any seller under the age of eighteen (18) at the signing of the agreement must have the consent of a parent or legal guardian while selling. An adult friend is NOT considered an eligible legal guardian. The parent or legal guardian will need to sign and complete the space agreement as well and include a photocopy of their identification.

Do I have to preregister for FanimeCon as part of Swap Meet?
Yes, preregistering for Fanime is a requirement in order to secure a space at the Swap Meet. You must have a valid FanimeCon 2013 attendee membership to sell at Swap Meet. Those without a 2013 attendee badge may inquire about a space at [email protected].

Do I need a California Seller's Permit at the time of my Swap Meet registration?
No, but you are required to have a Sellers Permit if you are selling (even temporarily) new, collectible or handcrafted items, or used items you have purchased for the purpose of reselling to others. You are not required to hold a permit if you are only making occasional sales, or selling products that are not taxable when sold at retail or selling on behalf of a section 6015 retailer (e.g. Avon, Tupperware, etc.). You are also not required to hold a permit if you are making sales two (2) or fewer times in a 12-month period. Additional Seller's Permit information, including the locations where individuals may obtain them, can be found at the California State Board of Equalization web site: http://www.boe.ca.gov/info/reg.htm (http://www.boe.ca.gov/info/reg.htm).

How do I accept the Swap Meet Agreement as required?
You will be asked to agree to the Swap Meet Agreement online during the signup process by the use of a checkbox. You will also need to bring a signed copy of the Swap Meet Agreement to check-in at the convention.

When will I know if I have a space?
When you sign-up you will be notified whether you are on the main registration for the day, or if you are on the waiting list.

What happens to my sign-up request if the Swap Meet is full?
Once the Swap Meet is full, additional space sign-up requests will be put on a waiting list in order of their receipt. If spaces become available, sellers will be contacted by email with further instructions on how to claim a space. Please watch for announcements as to when the Swap Meet is full.

What are my chances of getting a space if I'm on the waiting list?
It is unknown how many waiting list spaces will be approved. Sellers on the waiting list are encouraged to seek other sellers looking to share a space. A good place to do that is on the FanimeCon forums: http://forums.fanime.com/index.php/board,31.0.html (http://forums.fanime.com/index.php/board,31.0.html)

When is payment collected for the event?
The space payment of $30 per space, per day is collected at the time of registration, we currently accept Paypal payments (a PayPal account is not required to pay for your space). If you are placed on the Waiting List and receive a space, your payment will be collected during registration in cash only.

What is included with the Swap Meet fee?
The Swap Meet fee includes one ten (10) foot by five (5) foot space for your use for one day of the convention. The fee does NOT include Attendee Registration which must be purchased separately and can be found here: http://www.fanime.com/registration/#attendee (http://www.fanime.com/registration/#attendee).

Is WiFi available?
There is no public WiFi in Exhibit Hall 1.

Can I get access to electricity in the Swap Meet?
No. Electrical drops will not be available during the Swap Meet.

Can I play music at my space?
Music is allowed at an acceptable sound level as determined by Swap Meet Staff.

How do I check in at the convention?
On Thursday/Friday, the Swap Meet will open several hours ahead of time for sellers to check in and set up their spaces. The exact time will be announced after sign-ups are complete. In order to check in you will need:

A state ID, driver's license or passport (student IDs are not acceptable forms of identification).
Your FanimeCon 2013 member badge.
A signed copy of the Swap Meet Agreement.
Minors only ages sixteen (16) and up – The Swap Meet agreement also signed and completed by their parent/legal guardian.
Minors only ages sixteen (16) and up – A photocopy of the parent/legal guardian's ID.
A copy of your California Seller's Permit if applicable (See #7).
Can I get a space in both the Dealers Room and the Swap Meet?
No.

Can I send someone else to the convention to sell my items?
No. Your Swap Meet space is reserved for you and your partner seller (if applicable). Please see the Swap Meet Agreement for more detailed information.

Can a parent or friend help me with setting up or selling if they don't have a convention badge?
No.

I won't be able to carry all of my merchandise in one trip in my suitcase. What should I do?
Dollys and handtrucks are prohibited per SJCCF Union Rules. Sellers may only bring their wares into the Swap Meet by hand in ONE trip. You may NOT use a hand truck, dolly, wire mesh cart, or similar transport to bring in your items. You may use normal sized luggage suitcases with wheels that are fully closed/zipped when transporting wares, backpacks, or any closed container, or bag carried by hand.

Are there restrictions on how I set up my Swap Meet space?
Shelving, clothing racks, tables, and anything which might block or obscure the view of other vendors, buyers, security, or staff is strictly prohibited. Taping or pinning items to the walls is strictly prohibited.

Do I have to be at my space 24/7? Is it okay to leave occasionally?
You are free to choose when you leave your Swap Meet space. Once you leave your space you may not return and your space will be considered 'Closed' for the evening.

Can I leave my stuff at my space overnight?
Items may not be left at your space overnight. Each space must be cleared of any items before leaving. Anything you leave in the Swap Meet will be disposed of.

Are there any items which are not permitted in the Swap Meet?
Hazardous items of any kind, this includes but is not limited to all projectile weapons (such as airsoft or bb/pellet guns, bows, crossbows, and firearms), live steel, metal/wooden baseball bats, metal kunai, incendiary devices, lasers, laser pointers, paddles, whips, floggers, brass knuckles, butterfly knives, concealed blades, throwing stars, tonfa, saps, clubs, nunchaku, sai, tessen, jitte, and metal or glass props are not permitted. Balloons of any kind are also not permitted under any circumstances in the Swap Meet. Please refer to the Swap Meet Agreement for more detailed information.

Can I have food at my space?
You may not sell or hand out food or candy to attendees. You are allowed to have food or beverages at your space for your personal consumption only.

What restrictions are there on selling prop weaponry?
Weapons, except for cosplay prop items thatare not already licensed in any form, are not permitted. Any weapon-like props must be authorized and peace bonded by Rovers immediately after sale. A copy of the FanimeCon Weapons Policy must be provided with every sale. Please contact the Swap Meet Staff upon registration request to be appraised of other restrictions that must be adhered to. For more information on FanimeCon's Code of Conduct, including cosplay rules and weapons policy, please visit: http://www.fanime.com/essentials/code-of-conduct (http://www.fanime.com/essentials/code-of-conduct).

What restrictions are there on selling adult material?
All material that is inappropriate for minors must be covered and/or stored away. A maximum of 1 long box (L 27.25 x W 7.5 x H 10. 8) of adult material is permitted, and it must be covered with an opaque lid and clearly marked indicating the contents. Customers must be of legal age (18) to view or purchase said material. It is the responsibility of the seller to verify legal age prior to the viewing or purchasing of said material by attendees.

What can happen to me if I'm found to be in violation of the rules?
Depending on the infraction you may be given a warning or you may forfeit your Swap Meet space and will no longer be able to sell. Please be aware that all persons at your space are responsible for following all of the rules of the Swap Meet.

How does the San Jose plastic bag ban affect me as a seller?
The Bring Your Own Bag Ordinance is currently effective since January 1, 2012. For sellers the new law states: "You are unable to provide free single-use carryout plastic bags to customers at check out. You may sell reusable bags or 40 percent post-consumer recycled content paper bags. Post-consumer recycled content paper bags must be sold for a minimum price of 10 cents each, and the sale must be itemized separately on the sales receipt." For more information please visit: http://www.sanjoseca.gov/index.aspx?nid=1526 (http://www.sanjoseca.gov/index.aspx?nid=1526).

Can you clarify what merchandise is not allowed?
Per the Swap Meet agreement, reproductions of any existing licensed merchandise in any form are not allowed. While this applies to all categories of art, there has been some confusion with merchandise in particular. If there is a legal licensed merchandise of that type it is considered a "knock off" or "bootleg" and is not allowed to be sold in the Swap Meet. This also applies to hats, props, pins, pillows, and other such items. These items are considered knock offs.

Does Swap Meet have a list of all the legal items out there?
Sellers are required to abide by the Swap Meet Agreement. This means you are responsible to know if there is licensed merchandise of the type you intend to sell or not and whether or not your items are bootlegs (ie. EverAnime, Aliors, Elfin, fansubs, etc). Anyone caught selling such items at your Swap Meet space, you(and everyone at the space) will be warned, or may immediately forfeit the space for the remainder of the convention. Swap Meet staff will have the final say on what may be sold in the Swap Meet.

What sellers may sell in the Swap Meet?
Only sellers with a regular membership badge may sell in the Swap Meet. Those with Professional, Industry, or other types of badges are not allowed to sell.

If you are a member of FanimeCon staff, you need to get approval from your Head and the Fan Services Division to sell in the Swap Meet BEFORE paying for a space.

Please feel free to email swapmeetATfanimeDOTcom if you have other questions or concerns.

Hello Matt,

I have a question about space assignment.  Last year, it was first-come first-serve and assigned in person.  How will the spaces be assigned this year?  I think I read somewhere that it would be random.

What if paypal does not accept my credit card?

Paypal accepts all major credit cards: Visa, MC, AMEX, and Discover.

If there are problems with your account specifically, then you would need to contact your bank or paypal.

Space assignment will be doled out ahead of time by Swap Meet staff but you will not know your space until the event. We'll be taking in to account all requests for people to be placed near each other (though we cannot guarantee they will happen 100%), medical conditions, and other factors (ie. evidence of dealers present last year in the swap meet) to determine where people will be placed. It is still a first-come first-serve registration.

If we're planning on selling, will we be required to have our badges even on Thursday?  I've had issues in previous years with being able to make it through the registration line and then up to line up for the Swap Meet in the past, which was remedied two years ago by the Swap Meet staff giving us our badges at the actual Swap Meet, and then last year by not requiring us to physically have the badge on us for just Thursday.  Is there something similar that will be implemented this year, like sellers potentially being included as eligible for the Special Registration line?

I am currently investigating what options I have at my disposal regarding this as I know it is incredibly difficult to pick up a badge Thursday and then make it to Swap Meet in time to check in (I've done it before, not fun). Once I'm able to hammer everything out I will post an update here.

I have a question about carrying my things; do bags also need to be close-able, or will an open top bag be alright?

Also, I have a wallscroll I was hoping to sell but it does not actually fit inside any sort of container, can I have it sticking out of a bag or zipped up backpack?

Both of those situations should not cause any problems. An open top bag is acceptable and you can have a wall scroll in said bag or backpack.

Question!
I noticed you're cracking down on items matching what you've listed on your form this year, and additionally that you're requiring a copy of said form when registering.

How strict are you going to be on that? Do I need to list each item separately? Can I list things in general categories (i.e. plush, trading cards, action figures, manga, etc.)? And if I found extra items, could I list them on the form I'd be handing in day of, or would I simply not be allowed to sell those things?

Thanks in advance for your response!

This is mainly to prevent people from sneaking in items that are not meant to be sold as listed in the FAQ. You are required to fill out the form and bring it in during check-in, it does not need to be mailed/submitted to us before that. If you give us a general listing of the items you are selling that is acceptable, and if you find anything extra and list it that is fine as well.

Hopefully that clears things up for you. If you have any other questions please feel free to contact us at [email protected] and we'll get back to you. Thanks!

You are free to choose when you leave your Swap Meet space. Once you leave your space you may not return and your space will be considered 'Closed' for the evening.

In regards to this, what about bathroom breaks?

We apologize for the unclear verbiage, in this instance we mean that once you pack up your items your space is considered 'closed.' We won't consider you closed if you need to go use the restroom.

Yes plastic bags can be used to carry your items. How you got those bags in the first place is of no concern to us.

Since it hasn't been stated in the FAQ or mentioned anywhere here on the forum, how will the actual check-in process happen? I realize you guys are probably still ironing out the last wrinkles on this situation, but I kind of liked last years process that was in place. As long as there is SOME process put in place, I would be happy.

Just thought I'd ask, seeing how we're under the 2 week mark now, and hadn't seen any info on the matter

I'd love an significant update with actual content before they close con registration on the night of the 12th. I'm a broke bastard with little free time so I plan on showing up Friday to get a single day "at con" badge just for swap. This worked out pretty well last year, as from what I remember, they had the swap meet reg up hella early so I at least knew I had a spot and wasn't wasting what little time I had checking back multiple times every day down to the wire to find out if there is even a reason to take time off to even attend the con itself.

To be completely transparent, what I'm getting at is, I am only attending this year to sell my shit. I will sell that shit out of the back of my truck in a shady parking lot around the corner if it comes to it. One way or another, I need to get it out of here. So please, help a son out so I don't have to end up doing that.

I appreciate you setting this up, working on the back end, or whatever it is that needs to be done for this event, and I hate to be so blunt but I've been waiting on you since the 22nd of last month to throw out some news so I can get the ball rolling.

Yes, preregistering for Fanime is a requirement in order to secure a space at the Swap Meet. You must have a valid FanimeCon 2013 attendee membership to sell at Swap Meet. Those without a 2013 attendee badge may inquire about a space at swapmeetATfanimeDOTcom.

You can email, but that is for other inquiries. The bottom line is that a full weekend membership must be purchased. Sorry!

I saw that. It was exactly like that last year, I only had to be preregistered on the main site. I believe it had to do with how you registered on the swap meet site for a spot or something. I had an unpaid account and I was allowed to go and pickup a badge the day of. Perhaps I found a loophole, but I did follow through and emailed last year about it and was given the OK. So, unless you are telling me now, and not just quoting verbatim, as in you actually know first hand, that my scheme won't play out in my favor this year. I will attempt to hold out till the last minute to try and save some money and prevent buying an overly useless full weekend badge for someone only going Friday.

Hi Everyone,

I have been testing the Swap Meet registration process today. And after the IT guys get in a few more tweaks we'll be ready to roll.

The Swap Meet Registration will open on Monday 5/13 at 12:00PM (PST). It will only be open until the 20th, so please make sure you register as soon as you can as spots will fill up quickly.

In addition to this there will be an extension to FanimeCon's Registration, it will now close on Tuesday 5/14 at 11:59PM PST.

Hi there,

In your case Devereaux, I can guarantee you will not be able to reserve a spot as you did last year. The current registration system in place requires that you have a full weekend badge in order to register for Swap Meet.

Currently what would happen in your situation, would be you show up on Friday, get a badge, and then you would enter the stand-by line for Swap Meet that will be processed after all individuals that have pre-registered, and wait listed are processed. Only then would you be able to sell.

This is due to a requirement of badge check by our registration system and is in part a reason why we're late to open Swap Meet registration this year as it had to be coded from the ground up. We respect people's personal time outside of FanimeCon obligations and unfortunately things come up. The current registration system is not perfect and I can guarantee it will be revised for next year, though that offers little consolation in the here and now, I wanted to be transparent about what is happening here.

Thank you for being equally transparent. The con badge setup has never been overly flexible, but this year, in my situation, a $30 savings is more than enough to fight for. Well, it is what it is.

I just found the times are 8pm-1am for Friday and Saturday, but I still would like to know what time we can set up.  What happens if we're late (I have work until 9pm that day).  Thank you for your help! :)

Set-up/Check in will start 2 hours before the event (6pm). We're trying to make this as quick and efficiently as possible, so that you can just walk up and have your spot ready to go. In the case of Thursday it just depends on how early we can get inside and do the prep work for the spaces.

Information that will be required when registering:

Your name
The name of anyone else selling at your space
Badge numbers for each person at your space
Any medical needs/special requests.
A rough listing of the items you will be selling.

The registration will go live at 12pm at this URL -

http://apps.fanime.com/2013/swapmeet/

Hopefully that answers your question. Also to prevent people from squatting on spaces we will be instituting a time-out feature. You must complete your registration withon 20 minutes or you will lose your place in line.

So, check in and setup is at 6pm for Swap Meet? What about the time for badge pickup? Looking at the Attendee Registration FAQ, it says "Thursday: 7pm – 10pm". Is the time to pick up a pre-reg badge that day actually going to be earlier at all?

Also, I will have an artist alley spot this year, will having my badge marked for artist alley make it so I can't sell in there? (not selling any of my artwork for swap meet, just cleaning out my collection of anime goods :3)

Hi guys,

Just a heads up it's easier to get questions answered (for the next few hours) via email at [email protected]. I am currently in the process of cleaning up any technical problems people had because Dreamhost decided 12pm a good time to test fixes/have outages. I apologize for the problem.

Also regarding the Seller's Permit application forms. Please bring them with you when checking in, you do not need to email them to me, though I appreciate the effort. Thank you!

That should be acceptable. Please check with FanimeCon staff when you check in to be sure.

Also Michi, we're working with a new database that doesn't allow for easy exporting of the data. I'll try to get it ready before the convention but odds of that are fairly low.

The names aren't as important! I was mostly just wondering how full Swap Meet is now. :)

Though I have another question! Can we only take cash as payment? Square makes it really easy for non-shopkeeps to accept credit card payment with their app and card swiper attachment. Would that be allowed at all?

A note to sellers with a lot of stuff... Beware of shoplifters.

We'd all like to think that people who attend conventions are nice and have proper manners, but unfortunately there are some that don't. I've had stuff taken from my space when I wasn't looking before. Make sure to have all your merch displayed in front of you as much as you can, and stay aware of your surroundings so people don't pull a fast one on you while you're either in the middle of a transaction or are looking away.

you can probably adapt it to your selling space, but lots of our dealers, especially the weapons dealers, use clear plastic and zipties to secure their items. You may be able to use those methods with you higher value and easier to grab items.

Sellers are free to collect payment however they see fit. I have personally used a Square reader in the past, just make sure that you and your buyer are aware of who is responsible for the transaction fees associated with the reader.

Also in the next day or two I will be sending out an email to all sellers with some additional info that is ESSENTIAL to your experience at Swap Meet. It's nothing difficult or time consuming, I just want to make sure everyone is able to check in in a speedy and efficient manner.

I have a permit for AA/Fanime anyways so I'm not worried but my friend who is only doing Swap Meet has not gotten a response from BOE on her permit yet. I read over the FAQ's but it's a little confusing.  Will she need a permit if this is her only event and she doesnt sell anywhere else?

If this is the only event she is selling at then she would qualify as an Exempt status due to being an 'Occasional Seller.' Please email [email protected] if you have any other questions. Thanks!

I am copy/pasting the email I sent out earlier to sellers who have registered, in case you somehow get here before you get back to your inbox, here you go.

In an effort to alleviate confusion on what you need to bring with you to check in to the Swap Meet I am creating this handy-dandy email. Hopefully you read it before Thursday or Friday (I really hope you do). Please make sure you read this completely and don't be afraid to ask questions if you have any.

If you are coming in Thursday and don't want to pick up your badge before checking in to Swap Meet, that's okay! Please bring a photo ID with you and you'll be fine. Friday though everyone must have their badge to check in. Also please be aware that if there are multiple sellers in your space, all sellers must be present at the time of check-in.

Now, on to the paperwork, you will be turning in the following.

First up, please print and bring a completed copy of the FanimeCon Swap Meet Agreement (found here - http://www.fanime.com/wp-content/uploads/2012/11/Fanime-Swap-Meet-Application-Form-2013.pdf).

Next is the BOE-410-D form (found here - http://www.boe.ca.gov/pdf/boe410d.pdf) OR a Seller's Permit. If you have a Seller's Permit please bring a copy of that in. If you are an Occasional Seller and qualify for exempt status. Please print and complete form BOE-410-D to the best of your ability, in section 3 you will mark that you are an exempt seller because you are an occasional seller. In the field of Vender/Exhibitor information, that is where you fill out your information, not Fanime's. This form must be completed for each seller.

As always if you have ANY questions please feel free to email us at [email protected]. I'll be watching my email carefully but will be traveling and prepping for FanimeCon over the next few days. I look forward to seeing you all and I appreciate all of your patience in this transition year. I know it hasn't been the smoothest process but I can assure you we'll make things better in the future.

Just a word of warning as a former artist alley attendee in Exhibit Hall 1; wifi signals inside there are very weak (my carrier was AT&T) and I had to walk out of the hall to take Square payments.  I would bring some loose change in case this happens as I'm sure it'll be difficult to leave your swap meet booth.

Posting here rather than submitting an email so any answers may help others who might be wondering the same things...

I think a lot of confusion is being caused by the way the information is being presented on the Swap Meet seller registration form:
QuoteIf you are selling items previously bought/used, and are selling infrequently, you can claim "occasional seller" status, as defined by the Board of Equalization.

Most Swap Meet sellers fall under this.
Enter in the word 'EXEMPT' for the Seller's Permit number below.
However, you must also contact the Swap Meet staff, and submit California's BOE-410-D form to claim this status.

I'm still not really sure why, after completing the registration process, we're required to contact Swap Meet staff via email.  Isn't that who this information is going to?  What exactly are we supposed to say?  "This email is to let you know I've followed your directions for registering as a seller, and you already have all of my information.  kthxbai"
And then those of us who are Exempt, Occasional Sellers need to note our exemption on the website, then on the BOE form as well.  And when it mentions the submission of the form, it's not clear to how or to whom we're supposed to send it.  Having read the email that was sent out, I now know I just need to fill it out and bring it with me, but when I first came across it I wasn't sure if I needed to send it as an attachment in an email to staff or if I need to submit it directly to the CA BOE.  And it still seems a little silly that we need to note our exceptions twice; I'm just assuming that you need the one official claim on the BOE form and then another way for staff to track that information internally.

And to echo another question/concern that someone else had posted previously, assuming we're there early on Day 0, would Swap Meet sellers even be able to pick up their badges that day without having to leave the event early/arrive late?  Per StillMyWords earlier post, Set-Up/Check-In will begin at 6pm.  Badge Pick up doesn't start until 7pm.  Give the option, I'd much rather have my badge on Thursday, since I'm going to be there anyway.  How is that going to work out?  If I'm forced to, I'd rather make sure I get checked in with Swap Meet and just come in earlier on Friday to get my badge then, but I think most people in this situation would rather be able to enjoy Friday as soon as possible without having to wait in the badge pick-up line.  Again, all Day 0 sellers are going to be right there in the convention center on Thursday anyway, and we all need to have preregistered for the con to get that far.

I completely agree and wish I had the time to rewrite those instructions on the registration form before they went out. I am attempting to make it less confusing, and had hoped my email would alleviate that. I can say that in the future this will be fixed and the instructions will be more straightforward. Please bear with us for the time being.

Regarding badge pick-up, that is something we would need to work out with registration to see if it can even be done from a logistics standpoint. It is something we will be discussing and hopefully we can work something out so that people don't have to make this choice. I understand your frustrations believe me, as I have been there before as a regular attendee, it has been a painful transition year with me picking up this position and I hope to make it a better experience for you all going forward.

I understand your frustrations believe me, as I have been there before as a regular attendee, it has been a painful transition year with me picking up this position and I hope to make it a better experience for you all going forward.

It's been said before, but not yet by me and it deserves repeating regardless: thank you for taking up the mantle of running Swap Meet this year.  It's become one of the things I most look forward to come Fanime, and I'm glad somebody was there to carry it on for at least another year.

I staffed last year for a different department (which really helped out in terms of picking up my badge before last year's Swap Meet, but doesn't do me much good this time around) but I can't even imagine the weight of responsibilities that come with heading such a large and complex aspect of the con.

While I won't throw hollow, feigned flattery your way by saying I'm sure Swap Meet is going to be pulled off flawlessly before the con even starts, I will at least echo my earlier thanks to you for stepping up and making sure we have a Swap Meet in '13.  Fingers cross, though, that we do wind up with a fantastic meet in a couple of days, and that you're willing and able to do it again next year.

Oh, and do keep any updates (especially regarding badge pick up!) coming our way!  I know I won't be the only one checking back regularly right up through Thursday.

I want to give some insight about this issue. SM must be on Thurs and Fri. Mainly it must be two days so that you are exempt from getting a sellers permit, but also there are scheduling issues that require it to be only those two night. Because it is in the evening, check-in must begin in the afternoon.

Reg can only open at 7. This is for logistical reasons like availability of the rooms and in the interest of not killing the wonderful reg staffers that are only required to put in 24 total hours, but often end up putting in 50+ hours. (Minus 6 sleeping hours....Fanime is only about 72 hours long....) We have tried to alleviate this with a pre-con badge check so that you do not need to pick up your badge. Next year we may explore giving priority to SM sellers, but this year we are only implementing that for a limited group of people. So we are working on it.

For example, a few years ago, we tried to hand out badges along with swap meet. You can mention that to any of the staffers in charge, and they will shake their heads in frustration. More time and effort was lost to confusion and logistical issues than was benefit conferred upon the SM sellers. We're trying different things, but you'll have to be patient with us as the con changes and we attempt to implement the best solution for the issue.

Thanks for your feedback and patients!
Eric

It was definitely a confusing and frustrating experience, and that's coming from a seller who was there and registered among the first 20 people.  I remember it took probably eight times as long to get everyone into their space.  People were already filing in looking for stuff to buy and only about 1/5 of the sellers had been processed.  I was lucky I managed to get in with the second group allowed in, but even that made for a slow process to actually check in, get my badge, pay for my spot and have all my items inspected.

So to answer my question, it seems like the best solution this year would be to coming in early and pick up my badge on Friday, correct?

Just a word of warning as a former artist alley attendee in Exhibit Hall 1; wifi signals inside there are very weak (my carrier was AT&T) and I had to walk out of the hall to take Square payments.  I would bring some loose change in case this happens as I'm sure it'll be difficult to leave your swap meet booth.

Do you mean Wi-Fi or 3G?

Oops, sorry about the confusion.  I meant the 3G.  The wifi that the registration area had available did not extend into the room.

Swap Meet spaces have been assigned. I tried to get everyone's request to the best of my abilities and spaces available, but some people are going to be disappointed because I only had so much to work with.

That said, please look for an email tomorrow that will have some finer details regarding check in. Thanks!

That kinda sucks.>.> i know you guys are doing the best you can and that you are running to problems. That i get. As sellers, it just sucks. We need a badge to sell at swap meet and swap meet opens at 6. We can't get our badge until 7. So there will be a hr of waste for swap meet. Il'' try and get my badge early so that we can go straight to swap meet and sell our stuff. I'm sure by then it will be 8pm and closing might be at 10pm. Not sure. Just seems unfair that i'm paying the same amount to sell for 3 or even 2hr on thursday and for friday they get even more hours to sell.I registered only for thursday because of schedule conflicts. I hope you guys extend the hours thursday. Because if i only get 2hrs to sell, i might as well ask for a refund or something. Honestly, i'm not sure if i might do it next year. I understand you guys run issues with the convention building and have to follow their policies. But if this continues, more people will get frustrated and maybe it will be time to look for a new place to set up fanime.Just saying.

Working hard to make it all work, but again, with 21k+ people and super overlapping events, we just can't make it perfect for each and every person. We will continue to explore options to improve the experience.

Honestly, I'll be interested in seeing how the prearranged seating is going to work. What about the people who don't show up?

Additionally, I'm curious as to how you decided who got seating requests versus who didn't. As someone who didn't get their seating request and was one of the people on the site registering when it went up, I'm wondering why someone who might have registered after me might have gotten seating in a space I requested first. (Because looking at the seating chart, there were plenty of spaces that would have qualified for my request, and I doubt everyone before me requested the same thing.)

Regardless, I do appreciate you taking up running the swap meet this year, even if thus far I'm not particularly impressed.

I understand that there will always be people unsatisfied. And i understand issues come up and scheduling things is difficult because of work hours, restrictions, etc. Some solutions may sound good but they tend to cause more problems from what i've read so far so i understand. I just hope thursday goes well and things go smoothly because right now it will be difficult to do things.I know i'll have a good time Friday and the other days. But Thursday will be very difficult with hours given and schedules overlapping.

No problem.

If anyone has ANY questions regarding their placement I will be happy to answer them. Also to those that have the map, for Thursday, please remove the back 6 rows, and for Friday remove the back 3 rows. Hopefully that will give you a better idea of the actual layout of the Swap Meet spaces.

Are you unable to come in before 6PM on Friday?  As long as you are registered to sell and have pre-registered for Fanime, you do not need your badge on Thursday.  You will need a photo I.D. as well as all the appropriate forms.  This way you won't miss out on any selling time on Thursday.  On Friday, however, you will need to Fanime badge to get it.  All of the specifics can be found in the seller's registration page as well as the emails that were sent out by StillMyWords.

I just skimmed over it briefly just now, but it doesn't seem like the FAQs on the OP have been updated to reflect these details, but if you've been approved to sell, you should have had the information available in one way or another.

Really? couse that makes things much better. And i checked the hours and closing at 1 seems very good. As far as Friday i'll still be at Fanime.I just don't have that much to sell for 2 days and don't wanna pay another 30$. I'm still going to try and get my badge first in thursday because Friday morning will be even more crowded for badge pickup. But knowing so far that Swap meet will close at 1am makes things better. I was afraid the buildings regulations would force it to close early like at 10pm or something.

And i haven't received a email saying my spot number. I checked Fanime.com and it says i do have a number spot and that i'm all set.I also checked my swap meet info and it still says i need a badge once i'm at swap meet so that might be the confusion. The other emails i got but i was a little confused so i came here looking for answers. I found most of them but i guess the updates cleared all of them now. And thanks for telling me.:)

I'm sure StillMyWords will reach out to you at some point, but I might as well keep this thread going.  Per his email, if you've been confirmed as a seller but don't see your space number, you can email him and he'll let you know where you're stationed.  Also, Swap Meet staff will have that info for you when you go to get checked in, so it's not super imperative that you have it before hand.  The important thing is that you got confirmation as a seller.

Again, don't forget your I.D. and paperwork!

Are there more people registered for one day than another or both days are about even? Trying to decide whether to skip Thursday and show up on Friday instead, from my experience 3 and 2 years back Friday tends to  be busier. Of course how seller attendance is on both days is TBD.

Helpers are not allowed but we will have volunteers on hand to assist those with medical needs that prevent them from carrying their items. Dollies and hand trucks are not allowed. This is covered in our FAQ. Due to union rules in the SJCC people selling at the Swap Meet must be able to do it in one go.

This was my second year selling at swap meet, and overall it went really well! In the future it'd be more helpful to register further in advance, just so I could prepare more stuff to bring with me. But I was happy to see that there was an easy check-in, spaces were already assigned and sectioned off, and that we had a good amount of time to get everything ready before people came in. Also staff was really helpful and generally awesome.

That's really great to hear!

As we were having the pre-reg system programmed from scratch this year, it too a while to bug test and get finalized.  Next year we're going to have it opened far in advanced.

Thanks for the feedback, let us know if there's anything else that you can think of.

Swap meet registration and setup went so much more smoothly this year than it has in previous ones.

Even though we didn't get our first choice of spots, I want to thank you for pre-assigning them. We were able to save hours of time by not having to wait in line to ensure we got a good spot. This allowed us to spend more time enjoying the con, and reduced our stress significantly. I really hope that in coming years swap meet spots will continue to be assigned before the convention.

The venue, being inside the convention center, felt much safer this year than last year. We didn't have to worry about transporting our items around outside after midnight.

Overall the swap meet was much less stressful, and consequently more fun, this year.
