Title: Swap Meet Information plus Q&A! FINAL UPDATE *PLEASE LOCK*
Post by: angeljibrille on February 22, 2010, 02:13:14 PM
Marisa (Angeljibrille) will NOT be reading the Forums or Email anymore (sorry!). Consider this thread locked. I'll see you all at the convention! :D

Answers to a few common questions:

Q: Can I share a space with a friend who is registered even though I am not registered?
A: Yes. However, there can only be 2 people per space. 2 people for either a half or a full space -- you can't have 4 people in a full space; just two. Please wait in line together and show up together when I call your number. You BOTH need to fill out the Swapmeet Form.
http://www.fanime.com/docs/2010SwapMeetForm.pdf

Q: There are not a lot of people on the Waiting List for Thursday. Can I get in line?
A: Yes, please wait in the Pre-Reg Waiting List line. We will assist the Pre-Reg WL people first, then we will take individuals who have been waiting in order of first-come, first-served. We can't guarantee you will get in. Also, we will NOT do this on Friday, only on Thursday.

Q: Can you make modifications to the list for me?
A: No. The only thing I will do is cancel your space and/or downgrade your space from a full to a half space. You can't upgrade to a full space, and you can't add yourself to different days. Sorry!

Q: Do I need a seller's permit?
A: No not unless you meet the Seller's Requirements you see on the Swap Meet form (read the two choices). Just fill out your form. http://www.fanime.com/docs/2010SwapMeetForm.pdf

------
Registration is now CLOSED because we are way (way) over capacity for the Waiting List.

Final List here:
http://www.anime-online.com/fanime_swapmeet/

There will be two lines for the approved entries and the waiting list at Fanime on Thursday and Friday. We suggest you get in line at 6:00pm and we will begin processing registrations at 7:00pm. People will be processed by their number (1,2,3,4,etc.) not by their position in line. The lines will be outside of Exhibit Hall 3. PLEASE do not get in line before 6:00pm.

Please make sure you have the Swap Meet Form (PDF) with you, filled out and ready for processing.
http://www.fanime.com/docs/2010SwapMeetForm.pdf

Thursday: Entries 1 - 98 are approved, entries 99+ are on the waiting list.
Friday: Entries 1- 92 are approved, entries 93+ are on the waiting list.

Why the difference between Thursday and Friday? We currently have 75 full spaces total; the spaces are divided up into Full and Half spaces as requested. There were more half space requests on Thursday than on Friday.

Please note: due to the overwhelming demand for Swap Meet space, we may need to make an executive decision on your space size when you check in. If it appears when you check in that you only have goods for a half space, we will downgrade you to a half space so that people on the waiting list will have a chance to get in.

Due to cancellations, no-shows, and space evaluations it is likely that some people on the Waiting List will make it in.

A full space is approximately 10 feet wide x 10 feet deep, and a half space is 5 feet wide x 10 feet deep.

If you know that you will likely only need a half space, but are listed as a full space, please send us an e-mail at [email protected] so we can adjust your request and allow more people to participate.

Thanks everyone!

We need a seller's permit this year? The same ones the folks in the Artist's Alley need?

They weren't required last year, may I ask why that has changed this year?

Also, do we have to sign up for Thursday as well, or just Friday?

Do we need to be registered or have the permit before we can sign up? Or can we sign up and supply that information later?

Sorry for so many questions...

(Also, Sailor Moon love!)

I messed up :) no permit required (I finally found the rules). I am probably going to do signups for both days though...  Rules will be posted in a few days :D

Thanks!

Question: When you say no bootlegs, what exactly does that mean like ripped off copies of say DVDs, CDs, etc? Cause I have some posters and plushies that aren't officially licensed by any company, but they aren't copies of existing items so are those ok?

No, these are not OK, they are the very definition of what Fanime prohibits. Only officially licensed items are allowed; that's Fanime policy and it has been since long before I started staffing and will be true long after I'm gone. Fanime has a very strict anti-bootleg policy. Sorry!

I believe it's when we get to the con. That's what I did last year.

Hi there :)

Yeah, sorry, Fanime doesn't sponsor a database for me, so I host it at anime-online.com (which I own). I'm also the Masquerade coordinator, and I've been using my site for Masquerade registrations for the past 5 years. I promise it will not go past use for Fanime, and I delete it every year after the convention has ended.

Please let me know if you have any questions.

Thanks,
Marisa

That's correct; Marisa is using her own web resources for Fanime - for both masquerade and swapmeet. No need to worry - but great catch! Keep those eyes peeled.

If we pre-registered, how long will ours spots be held for? I usually don't get off work until 7 so it might take me a while to get to the convention.

We seat everyone in the pre-reg line first. After that line goes away, we start from the waiting list line, then anyone else. So, it takes a bit to seat everyone. We try to start at 8:00pm, but we will be seating people from the WL line until 9:30pm. After that, you are out of luck.

Thanks :)

I've sold video games and systems with no problems last year, so you should be fine on that front.

As for spaces available, I believe the sign up website said there were 40 full spaces and 20 half spaces.

I'm already pre-registered for the swap meet. Is there any order that people must line up in (in accordance to the pre-reg listings, ect.) or is it who ever gets in line first and is pre-registered for the swap meet is checked in first?

Last year there was a pre-reg line and a wait-list line. First in the pre-reg line will be first in the door, regardless of their spot on the list.

Last year I don't recall their being a sign up for Thursday and I did the at-the-door registration. Does this mean that chances of at the door registration for Thusrday's swap meet will be much slimmer this year?

you should still get there early to get in-line, as people (like myself) will go stand in-line after they finish pre-reg. to at-least save a spot.  Then later if you have someone helping you, he/she will wait as you go get your boxes/suitcases, etc.  The longer you wait before getting in-line, the longer the line will eventually get, and as it gets closer to the time when the Swap Meet opens, you might still be in-line while the staffers are checking people-in.  And that's when the attendees are already inside, buying stuff from those already set-up (once they are allowed to start selling.)

On Pre-Reg. evening the main event (to me) is the Swap Meet, so that's where most people will be hanging-around that night.  Attendees who don't want to wait until Friday to buy stuff from the Dealers' Room might be interested in what you have to offer, so try to get there early!  :)

I THINK a full space is 10' by 10', and a half is 5' by 5'.

I could be wrong on this, but I'm fairly sure those were the measurements from last year.

Not sure about the measurements, but the half space would be bigger then 5' x 5'. If the full space is 10' x 10' a half space would be 5' x 10'.

5' x 5' would be a quarter space.

Most likely.  People will be waiting as early as 4 (or more) hours ahead of time, since even if you are pre-registered, if you're the first in-line and have say, spot #30, you'll still be let-in among the first bunch and put you where spot #30 is.  (that's how it's been the last couple of years.)

I'm probably going to wait in-line around 4:00pm, or ask my friend to wait in-line for me sooner.  I like to walk-by that area in the afternoon to see when people start lining-up.

Sometimes they can lower the price for you if the  item has'nt been sold within 30 minutes - 1 hour! but everyone knows that within the last hour of swap meet thats when the items became more cheaper ^ ^!, except theres a huge chance that you might miss the good items from the start!

Most of my stuff is anywhere between $5-10 (sometimes more) off the retail price you would find it in-stores.  Example:  I'm selling Borderlands for the Xbox360, and you can buy it new for $39.99+tax but I'm selling it for $30 at the Swap Meet.  You save about $15 and don't have to go to the store to get it.  So I can't really go any cheaper with the merchandise I have priced.

We don't have a specific time for the registration to start, but we will call the reserved people by number from the final list. You WILL be seated by number if you are on the final list (the fnal numbers will be ordered by who registered first). If you are in the overflow line ("the waiting list"), we will also call you in based on who registered first.

A full space is 10 feet wide, a half space is 5 feet wide. The other dimension is a bit flexible and we don't have precise measurements yet; we should have that after May 1st's meeting.

You REALLY don't need to wait in line for hours. I'm literally going to post the numbers, and then call them out "Number 10, please step up". We will have them organized by who has a full space, who has a half space. If we see you have a half space worth of stuff, and you asked for a full space (a full space is BIG), we are going to place you in a half space.

I'd suggest getting in line at 6:00pm (updated), as we will be walking around checking your forms while you are in line.

Please don't wait in line for 4 hours, there's really no need ^_^;  Even if you are in the overflow line, it's going to be based on your position on the waiting list as we are not taking people who are not on the list this year.

Thanks for clarifying this. :)  I look forward to seeing how the new system will be like this year.  Since it is first-come first served for Thursday, I still plan to wait in-line early (there's not a lot to do on Day Zero.. haha) but for Friday I will still walk-by throughout the afternoon and see who's waiting early (there are people who may not read these forums and be unaware of the new "call out by #'s" system)

Ok yeah thanks for clarifying this. Name's on "the list" now. We'll see how things go. I signed up for a full space because I'm going to have a lot of wall scrolls and such to sell. Still, I'll go where I'm told lol. Question: If we bring 20 for a full space but get put in a half space, we only pay for a half space, yeah?

QuoteIf we see you have a half space worth of stuff, and you asked for a full space (a full space is BIG), we are going to place you in a half space.

Will this apply for Thursday?  I'm bringing a good amount of stuff, but nowhere close to the amount I brought last year.  I would like to get a full-space for Thursday and don't mind paying for it.  Friday I'm sharing a space with my friend, so hopefully what I have left for Friday will be enough for a half-space to join with hers.  Thanks for the info! :)

QuoteThanks for clarifying this.

It's absolutely not first-come,first-served for Thursday- we have a list, and that's who will get in. Once you are in (it's served by 1, 2 , 3, 4, etc.) you can indicate where you want to be in the room. It's purely by who registered first. There is no at-con registration, and we will be processing the waiting list people in order as well. We suggest everyone get in line no earlier than 6:00pm. There is no advantage to getting in line any earlier on either day.

The final list is here:
http://www.anime-online.com/fanime_swapmeet/list.php

There are instructions on that page as well!

Thanks :)

I will send out an e-mail to everyone on the list closer to the convention.

oh, i see it now.  I wasn't aware that there was a list for Thursday, and that you needed to pre-reg. for Thursday, as with previous years you only needed to pre-reg. for Friday.  Thankfully I have a friend who will let me share her spot on Thursday, even though it's not as high-up on the list as on Friday.  Thanks for clarifying this!  :)

Yeah, the demand is just overwhelming this year >.< so we needed to make reservations on both days. When you registered you had the option of choosing Thursday, Friday, or both.

Could I go back and change my request from a Full spot to a half spot and would that improve my chances of getting a spot?

I didn't decide to sell stuff until the end of March, and thankfully my friend is kind enough to let me share her spots on both days.  :)  Else, I would've been among the Top 5 when the pre-reg. for the Swap Meet opened. haha

I have a question on the possibility of more spaces.  I seem to remember making extra spaces last year when we had way more people show up than we thought we'd have room for originally?  Is there any chance something like that will happen again?  It was a bit packed last year, but with so many on the waiting list, I was curious if it was still a possibility.

Also, since I know that there will be people who didn't preregister and will want to show up and just sell, what will be the policy for them?  Will we only admit them once all the preregistered and waitlisted people have been placed if there's spare room?  If so, what order?  Will we just flatly deny them?

Thanks for the info!

I'm sharing my full space with a friend (I'm on the registered list, not the wait list). The karaoke contest starts at 6, same time we're going to line up. My name is on the spot, but can I at least have my friend save my spot in line? When I'm done with the karaoke contest (hopefully before 7!) I can run over to the swap meet, but...

Yes, I considered this. It's extremely unlikely that you would be able to get in on Friday, so I am not going to allow any non-pre-regged entries, but on Thursday people are welcome to line up in the pre-reg line for the possibility of open spaces. I will make sure people on the list get in first, but then I will do first-come-first-served for anyone left in line.

As soon as we fill the 75 spaces, that's it though. Thanks :)

i don't know if your allowed to bring a small book case (maybe or maybe not sure..)
but I can tell you this.. Cosplay swords can be sell if they are used! (i already sold my Keyblades for a dollar since they are damaged. and those are made out of foam boards!). I also sold my ichigo bankai sword (lol, that sword has soo many safety bondage proofmarks from all 3 anime conventions back then) but i can't tell if its wodden or plastic so i assume its both!..
Just make sure its used ^ ^! people like used stuff....erh right????

Regarding the rules for any adults-only box, everything seems pretty clear and logical... but what qualifies as a "lid?"

So far all of the other boxes I'm planning on bringing that are rated E-for-Everyone are regular brown cardboard shipping boxes.  They all have four flaps that fold over to cover it up - is this sufficient for my ecchi box?  I plan on having it set off to one side of my space, clearly marked, with the flaps closed until someone of legitimate age asks to see the contents.  If that won't fly, I can empty out one of those white file storage boxes with a lift-off lid, but that would be kind of a pain.

With Fanime and the swap meet finally coming into sight, I've been wondering what people are LOOKING for.  It looks like I'll wind up with four or five good sized boxes of anime-related goodness, and I'm hoping I'll be able to sell most of it (if only to then turn around and buy other people's stuff).  I'll have a fair number of monthly manga anthologies like Young Ace and the various Dengenki magazines, but would anyone be interested in buying them?  Not everyone will be able to actually read them, but that didn't stop me from looking at all the awesome illustrations.

I would think so. I think it will be taken day at a time. For example if you can't make it thursday you'll just lose your spot to someone on the waiting list, but Friday night they'll go through the other list and if you're there, you're all set. Same the other way around I'd guess...

So I was reading the form and I noticed that the occasional seller form emphasizes "USED" material. Last year I sold largely new/factory sealed DVDs without a problem. Are you guys going to look at my stuff and ask for a seller's permit? Would it be easier if I just opened all of my DVD's so they look used? lol...

We do allow people to have a few items which are "unopened". But if EVERYTHING or the majority of what you are selling is new.... uh... yeah you're a store. This is a garage sale, a swap meet, not an occasional seller of store goods. So, yeah, if you have all new DVDs and nothing else, we are probably going to call you on it and not allow you in. We aren't a replacement for people who couldn't get into the dealer's room. There are a ton of people who want to sell used goods and that's who we cater to.

We ARE going to inspect your goods as you come in, and this is something that we would look at and not approve.

"No retail businesses, dealers, stores (or persons representing them) are allowed to participate as sellers in the swap meet. "

"All products brought into the swap meet will be inspected and all items that are in violation of these rules will not be permitted into the swap meet."

" Any questions regarding the implementation or interpretation of the rules above are subject to the final discretion of the Swap Meet Staff."

Just wanted to point out a mistake in the pdf file for the swap meet registration. In the part where it says "Please bring all of the forms with your fee ($20 cash only) and a valid 2009 FanimeCon Attendee Badge." it should be 2010 FanimeCon Attendee Badge.

There's one other error in that it is in Exhibit Hall 3 instead of Exhibit Hall 2.

No big XD

I'll try to get it fixed, but it's not like you need to print out a new one.

I asked earlier but I seemed to have been skipped over -- my friend and I are sharing a space, but I have to be elsewhere when it's time to line up. My name is on the spot, not his. Is it okay if he waits and claims the spot (we're pre-registered and on the list)?

I have another question now, too! Is it okay to sell non-cosplay apparel? I have a lot of shirts that range from Japanese-inspired characters/designs (like Gama-Go) to straight-up video game designs. Is that okay to sell?

For the first one, I doubt that it will work. They're going to go off of the list and since the people  you share your space with are "unofficial", swap meet staff have no way of verifying that your supposed assistant can actually speak for you or your space. I'm not staff, but I would assume this is the case.

As for the second part I see no reason why you couldn't sell non-cosplay apparel. I've seen numerous used shirts for sale in the past at swap meets, from the nicer button up silk anime print shirts to regular cotton t shirts. Also I'm sure buyers would love to see some  gaming apparel, heh.

No; the person who is registered MUST be the person who shows up, or we will give the space to someone who is there and waited. Sorry. You are welcome to share your spot, but YOU have to be there at check-in.

I have a box of doujinshi that I'm preparing for Swap Meet with labels.

On the labels, I have:

The ones that are already clearly marked R18 or Adult Only on the doujinshi themselves, those are the ones I'm setting aside in the Adults Only box.
However, I've marked the labels of the ones that I feel are somewhere like PG13~PG15 as Yaoi. Do those also need to be put into the Adults Only box?
They do have some sexual interaction of varying degrees, but nothing explicit like the R18/Adult Only ones.

What would be a good standard to go by?

First off, Angel has the final word, but I would say better safe than sorry. What sort of "sexual interaction of varying degrees" are we talking about? Are we talking a range between groping and intercourse, or the range meaning different positions? I think that you should have a good idea of what is ok to sell to minors and what should be set aside in a covered, 18+ only box. If you're not sure, always err on the side of conservatism. Better to deny a sale to a minor and be safe at the end of the day then get busted for pawning off softcore (or not so softcore) porn to a minor.

The latter, as in range between groping and intercourse. I do have a good idea of what's for who, but I'd rather know what the rules are when it comes to Swap Meet. I don't mind putting it in the 18+ only box though, to be safe.

Card for ALL doujinshi. Put the clearly "hentai" or uber-yaoi (just by looking at the covers) in one box that has a lid, and put the other in a box that gets carded just by route but doesn't need to be "hidden".

Apparently, I'm not old enough to sell at Swap Meet. Can I still bring my manga and old cosplay to trade?

Card for ALL doujinshi. Put the clearly "hentai" or uber-yaoi (just by looking at the covers) in one box that has a lid, and put the other in a box that gets carded just by route but doesn't need to be "hidden".

Thanks :)

Makes sense. Thanks for the clarification!  :D

You cannot have a space, but you are welcome to offer trades to the people selling stuff. You can't just set up a booth and start selling though...

Last year I don't recall their being a sign up for Thursday and I did the at-the-door registration. Does this mean that chances of at the door registration for Thusrday's swap meet will be much slimmer this year?

There is no at-the-door registration this year due to the overwhelming pre-reg demand. Sorry :(

Okay, to be clear because the answer seems to have changed...
I am NOT pre-reg or on the waiting list, but it is ok for me to show up thursday and try to get an open spot if there happens to be one?

Should I not be able to get in thusday since I'm not on the list, does anyone that have a full spot on friday, that only needs a half spot now? Or in other words, does someone have a full spot they can share with me thurs or friday? I really need to unload this stuff.

This might sound silly, but are we allowed to have balloons at our selling space?

Thanks ^_^;;

I know the folks in Artist Alley aren't allowed to have balloons, so I would assume the same goes for Swap Meet

I don't believe the facilities allow balloons anywhere inside the convention center. Please leave them at home.  :)

But...BALLOONS?! *makes pouty kid face+bambi eyes*

@h-chan: People who did not pre reg for a swap meet space/are not on the waiting list are on the very bottom of the pile and THEORETICALLY if somehow swap meet staff make it all the way through the main list + the wait list and the 75 spaces aren't filled, anyone who is interested in selling, who has the proper paperwork/ID and is waiting for a spot MAY get one. Again, I'd wait for Angel's word on this, but from my understanding they won't let swap meet spots sit empty if they get through the main list and the wait list and there are still spots open.

The facilities will do to balloons what they did to Bambi's mom.

And then they'll charge you for the cleanup.

Will the swap meet on thursday night be open to everyone like it was last year, or will it be only to people with pre-regged badges?

We are definitely going to do this on Thursday, but it's unlikely we will be able to fill all of the people on the waiting list on Friday (it's like .... 90 people).

Err.  Probably everyone >.<  You know, this is more of a con thing and not a me thing, so I don't really have a 100% answer -- so just TRY to make it in, it's probably not a huge deal.

Friday we are definitely checking all badges.

No. Sorry!

Note to all:

You can bring:
A blanket, your boxes for your items, and a folding chair for people who can't sit on the floor. That's it. This isn't a dealer's room.

Use your boxes wisely. If you go to the comic book store and buy some long boxes, you can use the lids to display items and you can flip over the boxes and use those to set things on. Or set things on empty boxes. The boxes ARE your best resource.

What about a suitcase? Or are boxes the only proper mode of transportation for our goods?

I believe suitcases are fine.  I've been bringing in suitcases each time, and they're just the carry-on luggage size.  Last year I brought a big one in to hold my manga, but since those didn't sell I'm not bringing that this year.

It's much easier to pull a suitcase (with wheels) full of comics & items than it is to carry them.. oofah!

Suitcases are fine, as long as they are easily opened for our staff to inspect before we place you in a spot.

However, if you have adult material -- I do require a box, with a lid.

Thanks!

Is that a new policy this year?  Usually after check-in, we're allowed (or taken) to our spot and begin setting-up.  It's later that a staffer or security walks-around, checking for bootlegs, and that any hentai is covered.

Thanks for the info!

I've never been to the swap meet as a seller or buyer before, and I have a few questions:

1. I'm on the main list for Thursday, but due to work and transportation, I might not be able to make it to the Swap Meet until around 8pm.  Will I lose my spot to someone on the waitlist if I can't make it by around 7pm?  If so, should I still go and try my luck for a spot on Thursday?  It's an hour's drive each way for me.

2. On Friday, I'm on the lower half of the wait list.  Does this mean I most likely won't get a spot and should just make other plans?  If I still want to try for a spot, do I need to wait at the Swap Meet for 2,3 hours until a spot opens up for me, or can I just show up around 10pm to see if there's almost a spot for me?

3. If some sellers leave at around 11pm on Friday, and I manage to get a full spot, do I need to pay the full $20 or can I get a discount rate?  I assume there will be a lot less buyers from 11pm to 1am, and I only have a couple of hours to sell things.

4. I'm a petite girl, and I was wondering if I can bring a large plastic bin on wheels to help me carry stuff?  I think it might allow me to carry everything in one go.  The bin I have looks something like this:
http://www.lowes.com/ProductDisplay?partNumber=314139-61896-314139

Thank you for your time.

Need 4 marsh flats, 3 arid mesas and 4 scalding tarns + 4 goblin guides. Also need some random frog commons. Message me or reply back to this if you have any of that. Trades + cash. Thanks.

Not sure how she did it the past two years -- this is how we did it 3 years ago when I last ran it ^^; It's just my policy. We are going to do a superficial look-see at check-in.

We will not hold your spot if you are not there when you are called. You are always welcome to get in the "overflow" line we are going to have on Thursday, but there's no guarantee that you will make it in.

It's extremely unlikely that we are going to be able to place everyone who is waiting on Friday. Our desk closes at 9:30pm, so all spots will have been assigned by 9:30pm.

We will not be placing anyone at that time, we stop taking people at 9:30pm. Everyone pays the full price, sorry.

As long as you, the person who is on the list, checked in at the start time then it's not a problem.

However:

A. He must be there before 9:30pm
B. He must have his form and turn it in before 9:30pm or he will not be able to share your space.
