Hey folks! Once again Fanime will be hosting a swap meet - where some fans unload some of their old merchandise and collectibles and some fans hunt for great deals on said old merchandise and collectibles.

There will be two separate events, one on Thursday night and one on Friday night. You will need to be at least 18 years old to sell and have a valid con badge to sell (that means full-weekend for Thursday). The full list of rules for selling can be found here:

***TIPS FOR BUYERS AND SELLERS***
- Bring Cash and don't be surprised if you find yourself needing to make change.
- If you're over 18 and want to look at adult materials, bring your ID. Sellers are required to check.
- Be prepared to carry or bring your own bag. If you're selling, you may want to bring bags you would otherwise recycle to give to buyers.

It's currently being proofed by the powers that be. I'll send out an email to everyone pre-regged when it goes up!

Oops. I've added the link to the first post. It sounded like Fanime web staff is in overdrive, so I'm not sure when it will be up there. I'll add it to the form proper once things quiet down.
I suspect spot #0 will indeed host items from staff helping out at swap meet. ;)

Submit the simple webform (name, email) if you haven't already. The application PDF is a bit more complicated, so come to the con/line with it filled out already. it was down earlier, but it's up again now. :) and now there's 33 people signed-up for it!

In case people need a " space" when the sign up ends, just find someone who is willing to share one with you and split the cost. Just don't break rules or anything =P. We want to see as many unique fans as possible. I, on the other hand, hope to find some good stuff as well in the process =D

The site should cut off automatically at 60 slots. Because the awesome folks who run gaming are expanding a bit this year, we do have a little less space than last year, but unless something goes wrong/seriously differently, there should be enough buffer that we can place everyone on the list.
Splitting spaces can be a good idea - especially if you don't need that much room to sell your stuff. Several people go for half-spaces every year. However, it's one person to a half-space, two people to a full-space. Any more than that and it gets a bit crazy.

That's why you need to be organized and watch your stuff. Adding on, "you" as in swap meet people when you share a spot =P
Keys: Maybe you can help with a question I have. Previous years, it was said that those who pre-reg. didn't need to be there until before it was time to go in, where they would call your # and you would go in. We were told this last year, to show up like 30 minutes or so before the Swap Meet room was open, and have our stuff (and registration-forms) ready to go. But right before they room opened, they told EVERYBODY to line up against the wall, and then they'd call people by their #'s. So even if you were in the #1 spot, you still had to stand in-line, even if it meant going allll the way down the line with all your stuff, and when your #'s called (if you could hear it), you had to take your stuff alllll the way to the front and then you could go in. That was a hassle last year, i have to say.
Since the swap-meet doesn't start til 8:30pm that night, does this mean I have to get there at 5:00pm (or earlier) and line-up, if it's going to be like last year? I have cosplay photography plans all day until the swap-meet begins, and I don't want to get there too early if it means having to show up and wait in-line.

As long as I've been participating or volunteering in this event, we've -never- called people by their numbers. That would really slow down the process. The numbering indicates where your spot is and makes it easier to keep track of which spaces are no-shows/empty which comes in handy when we get to the stand-by. We do the pre-registration line first in the order they are in line and then the stand-by line.
I know standing in line is tedious, but we've generally processed the whole pre-registration line in under an hour, and that was with a cashier bailing on us last year. (This year: more back-ups!) We're also going to do more form checking while in line so the cashiers really only have to deal with the money and space checking - and based on feedback from last year, we're adding a few more documents to hopefully make that go faster. Of course, we welcome any suggestions you might have too. We're always looking for ways to make the process better! :)
Back before their was pre-registration, we would indeed get people who lined up super early, but there was more of a need back then because if you didn't get there early, you might not get a spot at all. Now with pre-registration, you at least know you don't have to line up at 5pm just to make sure you get a spot. If you want to be the first person in the room to setup, then you could line up early, but honestly I don't think so much more selling is done in the first half an hour that it's worth putting off other things you want to do at con. (Other people feel differently of course.)
We could abolish spot numbers all together, which would help out a lot of people who I know don't care about where they are in the room - they rather just be next to their friend who is five spots down on the list. However, I fear this might cause more of a line panic for those who do care, but they might be those who are inclined to line up early anyway. How do you guys feel about it? We have no rule anywhere that says that the spot numbers mean anything, we just happened to have been using them that way for the past 2-3 years.

I don't know if you can tape any #'s on the wall outside to make it easier for people to know where to stand, else a staffer could help line up people by #. Else, the line could look like this: 26, 17, 16, 6, 12, 19, 2, 45, 37, etc. One line in-order would mean everyone moving ahead smoothly.
Again, it's just a suggestion, and up to you how you want to do it this year. Thanks for listening!

I agree with Al. That would definitely make things go faster, and everyone could get into their spots ASAP.
I participated last year, and it was pretty okay, although with that suggestion, it would seem much more efficient.

true, it's up to Keys. :) But i will say that the sellers usually bring paper, pens, and tape for their goods, and can easily make signs with #'s to post on the walls, showing people where to line-up. And as for staff, when it comes time to announcing the #'s, you'd just need someone with a LOUD voice. :D

Here's where I don't think we're following each other. The way it should work now, it doesn't matter what order the people are in as long as pre-reg is separate from stand-by. It wasn't matching people with numbers that was the rate limiting step last year, it was time at the cashier table. Part of the reason Southwest is so fast is that everyone has paid and done form/check-in work before they get past security.
Again, we are not taking people in order by number at con.
We have been taking them to spaces matching their numbers, but that isn't something we need to be doing either. We could change the list to bullet points and alphabetical order right now and it should work the same way. We can look you up by last name (which is good because sometimes people forget their number, but hopefully not their last name - at least not that early in the con! :))
As Eric pointed out, the Southwest system would be a bit hard to implement with our resources, especially at this stage in the game, though it is something we'll keep in mind. Hopefully though, we'll see a good speed up this year with what we have.
Also, in general, I'm pretty sure we can't tape things to the convention center walls. Please don't do this for any Fanime event. :)
heads will roll if things are taped anywhere. that includes staff and attendees......but seriously, Fanime will prob be fined big time if anything is taped.

Short answer: Yes, that's right.
Long answer: We're aiming to minimize the difference between the front and end of the line. Note that while lining up crazy-early will get you in as soon as possible, at the same time, someone pre-regged can probably wander in after we've started processing the line and have less of a wait. Our goal is to minimize wait time for everyone by 1) processing the line faster and 2) giving the majority of participants (pre-regged) a guarantee of space so they don't have to wait only to be turned away. It's like when someone pre-regs for the con on March 31st - they can still choose to pick up their badge any time registration is open.

I have a suggestion but I've never done (or actually seen) the FanimeCon swap meet so I'm not sure if my suggestion should be taken to consideration:
1. After getting the first 60 people that pre-registered (assuming that the cut-off is 60) send an e-mail to those people with a seating chart and ask for the spot they would want, their second choice, and their third choice. Set up a deadline for everyone to turn in their seating choices.
2. After the deadline do the "first come first serve" method thingamajig: Anyone that e-mailed back their "seating choices" first get first priority. As soon as possible send everyone back their potential seating charts.
3. After sending the seating charts send another e-mail indicating where they should send their information, seller's fee, agreement, etc. and should have it postmark by a certain deadline.
4A. On the day of the swap meet have a table set up with 2 or 3 lines. "Sign-ins" for the swap meet should start around 7:30PM or 8PM. The first line should be those who preregistered AND sent in items needed (indicated in #3). All they do is check-in pretty much.
The second line should be those who preregistered and didn't send in items indicated in #3. This line can be combined with the first line.
However, if anyone that pre-registered doesn't check in by 9PM they give up their spot to any "drop-ins" aka anyone that didn't preregister (or any other time preferred. 9PM might be too late/early)
4B. The second/third line should be a line of "those who haven't pre-registered". Technically this is the line of "drop-ins". The drop-ins must sign the agreement, pay seller's fee, etc.
Another suggestion is to increase the seller's fee (by a small amount, around $5) for drop-ins and those who pre-reg but didn't follow #3. Although I personally think it's a good/bad idea (it has its pros and cons)
Of course, since we can't "tape" anything I would advise having someone show them where their assigned spots are. You can also try putting "appropriate-sized" blankets but, of course, it would be kind of pricey to buy 60 blankets. But hopefully something else would suffice ... ?

Some of what you've suggested we're already doing :) : We do start processing people at 8pm, as stated on the "Procuring your spot (http://www.fanime.com/events/swapmeet-tips.html)" page. Once the pre-reg line is depleted, we go to the stand-by/drop-ins. With much help from the higher ups on Fanime staff, Swap Meet staff also has permission for a very specific sort of floor-taping for the event and we do have volunteers to show people to their spots.
We have considered taking fees ahead of time but we determined the cons outweigh the pros. It would take extra support from other departments to process the mailed in materials and it would decrease flexibility in terms of fitting people as we can. (Since Artists Alley has tables, their layout is more rigid.)

And I've been a customer of the swap meet before, but not a seller. Are you usually able to get anyone who was NOT able to reserve a spot in to sell things? Just trying to decide if it's worth it to pack the stuff if I'm potentially only selling one night.

Yes, Thursday is first come, first serve.
Last year we were fortunate enough to able to fit everyone who was in the stand-by line but it's not a guarantee. (This may have been in part due to some people giving up because they didn't think they had a shot with our more conservative estimate last year.) This year we have a little less space to work with and it's hard to gauge until we're all set up and have an idea how long the stand-by line is.
Also, keep an eye on the pre-registration page. When reminders go out closer to con, sometimes kind folks give us the heads up that it turns out they can't make it, so a spot or two may open.

Quick question for the swap meet: I noticed that it said second hand cosplay items were acceptable (got some of that I'll probably be selling in addition to all the manga I have), but what about raw fabric for others to create cosplay costumes? I have TONS of interesting fabric I've picked up for costumes I never made, and was wondering if that would be ok.

Is the swap meet on Thursday completely open to anyone with a badge and a swap meet permit thing?
It says that friday is full, but thursday is walk-in.
So If I have an early-Reg full weekend badge, how do we get in for Thursday's swap meet?
Or is it only avaliable to people who Pre-Registered for Fanime 2009?
Thursday night swap meet selling spaces are first come first serve to anyone with a four day badge:
1. While we didn't last year, we could run out of space on Thursday, so in that case it wouldn't be open to everyone anymore.
2. We will stop accepting sellers at 9pm on Thursday night, so if you show up at 10 you won't be able to get space.
3. Because a valid badge is needed to sell, only those pre-registered will be selling on Thursday night.
So, I was looking at the rules again, and I'm a bit confused on the seller's permit part.
If I'm not planning on doing any other swap meet or selling of sorts over the next year, and managed to sell both nights, would I need to apply for a seller's permit or not?

You would not need to apply for a seller's permit. It's like when people have a garage sale some Saturday morning maybe once a year or so, they don't need a seller's permit.
Ah, That sucks.

Are we allowed to have any hand made free standing displays? Such as a free standing cardboard backing to hand a cel on or a free standing rack for hanging cosplay garments on?

What do you me by "hand made"? While some people have propped things up on the boxes they brought or organized small goods on cardboard no more than a couple feet wide, we generally frown on anything large. I certainly don't want to see people building temporary shelving and certainly no Allen wrenches and Ikea pieces.
As a cel collector myself, I don't recommend a free standing cardboard display of cels at swap meet. With the crowds and short supply of free space, the likelihood that it might fall down and damage the cel is more risk than I would assume. It's probably best just to keep them in portfolio. Most cel collectors will know what's in there and you can tape a big sign saying "CELS" on the cover, or leave it open to the cels you want to feature (though I always worry about light damage.)
A small garment rack would be okay for cosplay outfits.
I have a little 2.5x3 "rack made out of plastic that you push together that holds wigs. There are no tools involved just hands ^_^ Does that pass?
Also I remember the ruling out of bringing chairs of any kind from a few years ago. I almost died standing so i tried to sell my stuff while laying on the floor LOL! Is it possible to use a chair thats already in the room and belongs to the hotel if you are declared disabled by the state of california?

The rack is probably getting on the large end of what we would allow and it's hard to tell without seeing it, but if that's the container you carry the wigs in, it should be okay. I've seen some pretty big snap together racks that are fairly extensible and we're trying to avoid getting to the point where people are using these to have something akin to a dealer's room booth. Those sound a bit like the assemblies that I see in the dealer's room a lot.
If you have a documented disability, you can bring whatever chair you need to accommodate that (and have forms handy in the off chance anyone from the venue should give you a hard time). I don't know what the availability of chairs within the room itself will be and how much they can be moved around without violating union rules.
Any set decisions regarding swap meet for this year will be on the website, the application form, any emails sent from swap meet, or in this thread. We're not asking people to remember rules from the history of Fanime. :) (...unless there's some Fanime 15 Year Anniversary game show asking about them that I don't know about.)
Hi, I wanted to know what was the general selling price for stuff?
I know it's kinda like a garage sale, where we make our own prices.

I think this is a good question for everyone to jump in on. :) The more perspectives, the better.
In general, it depends on the item, the item's condition, the item's popularity, the item's rarity, and how fast you want to get rid of it. I've seen things going for 20% of the original sale price and 120% of the original sale price.
Some people will come to swap meet and haggle with the sellers and you can always re-price stuff throughout the night, so you have a lot of flexibility as well.
In general, whenever I sell my collectibles, I keep in mind both what I would pay for it and the minimum amount I would want for it or would sell it for without really regretting it. A natural thing to do is think 'what's the most I can get for this,' but I think keeping the other two values in mind is a good way to determine if the item is really worth selling. Yeah, it sometimes strings to think about how much of a 'loss' you're taking, but really you're ending up with money you otherwise wouldn't have had for an item you don't really want so much anymore.
People will bring a bunch of stuff just to get rid of it - and thereby are willing to offer very attractive prices because a bit of money for it is better than it collecting dust. Then on top of that core stuff, they might also bring some less-likely-to-sell items at less attractive prices to see if they get any bites.

All of my stuff is in very good condition, so I won't worry about that factor. But popularity and all will help me make a decission.
I'll have to have my sister help me scout other sellers prices. XD
I'll be selling a lot of different things.
Some figurines and anime plushies. Anime DVDs and PSP games, possibly a PSP, X-Box Game cube and PS2 games, Lolita and FanPlusFriends clothes, Some Anime T-shirts. Totes and anime purses. Panda hats and shirts.
Maybe Anime OST's and other things like that.

How far ahead of time do people generally start lining up in the non-reg line?
I don't know much about the swap meet, as I've always just had more than enough money on me for the past cons.
But with the economy, I really have to sell some older stuff if I want to get everything desired this year. XD
I've been planning to pre-reg for Friday for the longest time, and then... I failed to do so :(
I'm panicking over the Friday slot, because I'm worried that it'll fill up and I won't be able to walk-in register.
For last year's swap meet, were people turned away? Do you think that any non-registered people have space for the Friday swap meet? I'm planning on doing it with a friend so we would most likely need a full space =/ half-spacing this doesn't seep feasible at the moment.

Last year there were a few people turned away, mostly those who came quite late. However, it's really hard to judge what it will be like this year. This year we will have less space available and it seems that a lot of people are saying they want to sell because of the economy.

One year the swap meet was full the organizers asked sellers to share space. I shared space with another seller about a hour after I sold half my goods. Has the staff thought about asking registered sellers to share spaces?

The sharing of space has always been an option provided there aren't too many people crammed into one space. (It tends to work better if a group of friends with few items just leaves their items with one person. Trying to fit two people and their stuff into a half space is not permitted.) Many of the registered sellers are already intending to share space with another as we only ask one of them to preregister if they are going to do this. Since a half-space costs less than a full space, we recommend it to sellers who appear not to have so much stuff that they require a full space. Other than that, we leave the coordinating of sharing up to the attendees themselves.

With a week to go, i just want to besure I have a good understanding about how the lining-up will go for the pre-reg. line on Friday. There are 60 spots for the pre-reg. people. Looking at the list, #1 is Andrew W. and #60 is Rico D. Let's say Rico D. decides to wait in-line at 3:00pm (or earlier) and then more people show up behind him. Andrew W. arrives later and is told he must wait in-line and he will be helped after everyone else is helped in-front of him. When it's time for set-up to begin, Rico D. goes in first, and here's my question(s):
1. Where will Rico D., #60, be placed? Will he be setting up against the wall, in the spot right next to the Fanime staff who are selling their stuff? They're usually spot #0, and then next to them is spot #1, where Andrew W. should be. Does that mean that Rico D. will now be in spot #1? And when Andrew W. finally gets in, where will his spot be?
And,
2. Will the spaces be numbered so that those who pre-reg. will know where to go? Previous years for the Swap Meet, staffers had pieces of paper with #'s on them, which were located on the wall or on the floor, telling those who pre-reg. where to find their spot. A couple of times, a staffer led the pre-reg. person to his/her spot, told them how far their area could reach, and then went back to help the next person. :) So will the spots #1 through #60 be labeled before people are let-in?

2. This year instead of trying to insert everyone at numbers, we will place them as they arrive. This way if Edward Elric is #9 and Al Elric is #15, they can just stand next to each other in line and get spaces right next to each other. It will not be exactly in order as we may need to move people places so as not to split up friends, keep track of half-spaces or seat people more efficiently (maybe starting from multiple sides), but it will be close. We will be having taped space markers and staff or volunteer escorts again as well.
So it is slightly different from before - more like Thursday night only with a preferred preregistered line. Right now the numbers on the webpage are only there to keep track of how many people are on the list. We're trying something a little different to see if we can make it faster for everyone.
Is there a limit to how many boxes we can bring? I have one large box, three medium ones and two small ones. Will I be able to bring it all in?

I'm bringing about 6-7 boxes, which include 2-3 suitcases. ;) There's no limit to how many boxes you can bring in, but it's just a matter of how much you can display in your section. The suitcases i'm using mainly for transporting the heavy comics, and the empty boxes remain behind me until it's time to pack-up each night.

Thanks for the info. I have friends who are also participating, and this way if we all wait in-line together, our sections can be side-by-side and it'll be like a party. :)

I've got a fair amount of stuff to sell, and I think it might be easier to carry most of it down when I have a spot set up for it.

It's best if you have all of your stuff with you when you wait in-line, and if you have friends with you, they can help you push/carry your stuff as the line moves, and into the room. And then when you get your spot, they can help you set-up. It's going to get very hectic and once you get your stuff and start setting-up, people are going to coming over and oogling at what you have. So you want to be ready when it comes time to start selling.

If you want to share space with another seller you met in line, you won't each have half spaces, you will be sharing a full space with that person. How you and that person decide to apportion your space is up to you. (Similarly how your friend and a fourth person decide to apportion their space is up to them.) People aren't permitted to scalp half (or all) of their space. Also, you and the person you met in line would be considered a group sharing a space for the application of any rules.

Last year the spot sizes were approximately 7' x 10'. (They're the width of two of the exhibit hall divider panels.) We expect them to be similarly sized this year.

So with only a couple of days left (really one, given how late I'm posting this,) before Fanime '09 begins, I wanted to double check and make extra sure about one thing: are we able to participate in Thursday night's swap meet as shoppers, even if we haven't pre-registered? I'm pretty sure that was the case last year, and I missed the pre-reg cutoff date this year, although I did still sign up with the early registration. I can understand not being able to sell without a badge, but it'd be a bummer to miss out on some potentially great deals.

In previous years we didn't fill up on Thursday. This year I'm sensing more demand based on the volume of messages I've been receiving. I don't know when the line has started. It wasn't too early though because badge-pick up doesn't happen until the evening.

I'm going to the convention center pretty early in the afternoon, like 2PM or something to get a spot in the pre-reg line and then get in line for swap meet.
Will I be there for a long time? Yes. Will I care? Not really, lol.
i missed out on the registration for the main day (friday).
i dont even have that much to sell.

Since we're off to the convention center, forum and email access will be limited. I may not get to check either until after Thursday night Swap Meet and again I probably will have limited access for all of Friday.

Hey everyone! This is your Swap Meet head live from Fanime. Our staff just got done marking off spaces in Exhibit Hall 2. We were able to scrounge up approximately 75 spaces, which is less than last year (Arcade has quite an impressive setup this year!), but more than our pre-registered 60. Unless that floor space ends up being needed for something else, I intend to use it all to hopefully accommodate as many of you as possible on Thursday and from the stand-by line on Friday.
Once again, while I'm here I won't be able to check these boards or my email as frequently, so I can't guarantee any responses until after tonight's event. If you have questions about Friday you would like to ask tonight, I request that you please wait until after we've placed everyone on Thursday, so we can get everyone set up as fast as possible.

it's $20 per-day, if you plan to buy a full-space. :) If you plan to buy a half-space, then it's $10 per-day.

WATCH OUT FOR SHOPLIFTERS!!!
I had three items (that I'm aware of) stolen from me tonight: 2 shitajiki and a poster.
I even saw the person who stole the shitajiki holding them, but since they were looking at my other stuff, I thought they just weren't ready to pay yet. I made a mental note to keep an eye on them but the next thing I knew, they were gone.
The poster I realized was missing as I was packing up.
Yeah.... I'm really pissed about it but nothing I can do at this point.
A friend suggested that next time I hang on to the merchandise the person is interested in buying and set it off to the side while they check out the other stuff. Sounds like a good idea and I'll use it tomorrow.
Keep your eyes on your merchandise, everyone!
Thursday night went pretty well for me but I really didn't need more than a half spot but oh well.

That sucks!
I didn't have anything stolen tonight, but it was really hectic when it began.
Right when I opened my cases, people swarmed like crazy, and it was hard to keep an eye on everything.

Luckily it sold okay. I didn't sell everything, but I made over $300.
Swap meet was better on Thursday for me than Friday. Still a very good haul this year. Still at con so can't upload pics :3
I actually found the poster I thought was missing, so yay for that at least.
Friday was muuuuuuuuuuuuuuuuch better for me. I mean, I still have tons of stuff left but that's because I came with tons of stuff, LoL.

One of the things that really bothered me was the island. I specifically asked for a wallspace due to this reason alone; if you're an independent seller without backup keeping your eyes open during transactions and bartering makes things difficult. Though in the future it's better if you put up a sign that says "Please let me assist you" or something along those lines.

I only did swap meet on Friday, and oh man, I made a real killing this year! :D I couldn't have done it without my awesome two friends who assisted me: I handled all transactions, while another friend handled all the money. Then I had another friend standing with the crowd, looking like she was shopping, to keep an eye out for shoplifters + straighten the goods when needed.
It was really hectic but I sold pretty much everything I brought with me!
