I always thought having it in the video game room meant more random passersby for more sales, but as long as people definitely know where swap meet is gonna be I guess it'll be okay. :) More space and actual prep time is definitely something to look forward to!

Yes, they are moving us over to right next to the Civic. It's a really nice facility.

As a long time buyer/seller of the swap meet, I've gotta say I'm displeased to hear about the move of location. As a seller, lugging everything to and from the hotels and back is a major concern of mine. PARTICULARLY if we're ending the swap meet late at night as usual. I know I personally won't feel comfortable dragging all of my stuff back after around 9PM, much less 12:30AM.
Well, I'll shop there as usual, but I've gotta say this puts a damper on wanting to sell. (Not your fault, I know, but it needs to be said.)
Well i'm glad about the changes made. Having more space is a plus and having a lot of set up time is nice as well. Just have to adjust my plans on transporting my items i'm selling, but its not to bad of an issue.

As planners, we're in a position where we can't win no matter what decision we make (move the location, change the times, increase/decrease space, etc.). As a FanimeCon event, we strive for two major things: your safety and fun.

I will say it did get especially crowded last year. I went to get some coffee at the Peet's kiosk around 9, came back, and a long line had already formed as crowd control to keep the volume of bodies in the room down. So, selfish question first, since I still haven't come across anyone that could give me an answer to this: if I am given a volunteer badge for helping out with a Fanime event, I'm assuming I won't have a specific member ID number like I would if I had a regular weekend badge. Will this be a problem in signing up for a spot at swap meet?
Delays are understandable especially given this drastic change in location, so I am very grateful that we're finally getting some official word on the meet. However, I feel that the new location is going to wind up being a pretty big deal with most attendees. Before I continue, though, I really want to point out that I can certainly appreciate all of the concerns with safety and logistics that the shared space with gaming caused, along with the fact that there really isn't anything you can do about this decision, especially at this point in time.
I think the biggest problem is that it's not actually going to be in the SJCC. Sure, it's right there, but I've always felt that the swap meet has been a huge draw because it was right there in the thick of things. Even being slightly off site means that sellers no longer benefit from the cross traffic that naturally occurs as people come and go from the gaming hall. Plus, on Friday night when the dealer's hall closes, swap meet is, like, right there. I can't tell you how many times I hear people say "I was looking for this all over the dealer hall, but nobody had it!" and that's only from observing my own space and the neighboring spaces to each side. Who knows how frequently that happens throughout the entire meet. It'll be interesting to see if the location has any impact on the number of people stopping by to look for a deal.
I've always thought it was great that the SJCC has two hotels that are physically connected to it (even though I've not yet had the opportunity to actually stay at either one,) and I know people are constantly coming and going from their rooms. It's pretty neat to wind down from a full day on the floor, maybe change out of some cosplay into some PJs, and then hit the swap meet for some late night bargains. Another thing I've noticed is when somebody browsing the floor sees some awesome giant figure, or decides to finally pick up that dance mat they've been thinking about getting for a while, and winds up with an arm full of win. It's awkward to keep walking the floor like that (though it doesn't stop a lot of people,) so they make a stop back at their room, drop off their loot, and they're back at it a couple minutes later. Sure, the new location won't exclude that from happening this year, but it does make it more inconvenient.
And finally, to address the fact that people, especially sellers with possibly left over merchandise and hopefully a lot of money in their pocket, may not feel safe at night is a valid point to consider. I'm sure Fanime staff will do everything they can to keep that area safe for all attendees, possibly with extra security/police presence? I'm actually not terribly concerned about this myself, since it usually feels pretty safe when you're in a crowd of people with similar interests, but I can totally understand people being wary in that situation, that late at night. Heck, I usually don't get on the road to head home for the night until 2am on Friday night/Saturday morning. I mean, do people usually get freaked out when the Musicfest or masquerade get out? Those usually end fairly late as well, definitely when it's dark out, and it seems like the sidewalks and streets are flooded with otaku. Most shady people would be pretty freaked out themselves. Again, though, the fact that there will be people walking around late at night, loaded down with valuables and cash, can't be overlooked.
I hope that these points have at least been considered, and that they are addressed accordingly or wind up being non-issues. I'm still looking forward to the swap meet, assuming I get to attend. *ahem* I guess we'll all find out if this year's meet winds up being another success or if there's any fallout from these changes in a couple of months. In the mean time, I guess I should get started in organizing all the stuff I want to sell.

According to the Main Volunteer Page (http://www.fanime.com/community/volunteers/) Volunteers need to purchase a regular badge and will be reimbursed for this at a later date. I'm not sure if you used volunteer in place of staff but volunteers are required to have a regular badge.

This is unlikely to happen this year due to some abuste of the process last year :( However, don't worry about the not having a badge portion (on Thursday). On Friday, badges will be required.

The venue is decided on by FanimeCon, not by me, so it's best to post it over there where it will get seen. Thanks :)
However, I do think that in the long run this will be an excellent venue. FanimeCon is getting so large that they are going to be doing a lot of events in this new hall (I believe B&W ball and a couple of other things are held in it as well). There are also legal reasons; we need to be able have the hall in compliance, and in order to do that we can no longer host it in the same room as 24-hour gaming, without affecting 24-hour gaming.
Last year's swap meet was quite cramp as I had other sellers taking over space or con-goers stepping into other seller's spaces to see another seller's merchandise. Having more space is quite ideal since Fanime attendances has been growing every year.
B&W ball was held at the Fairmont last year from what I remember. I remember going to B&W on its first year and it was so crowded within an hour. I like the fact that Fanime is expanding its events at different places. It's true that it's not safe at night, but I've seen many con-goers stayed out late at night. It is always best to go out with groups at night.

I have a question. I've never participated in the swap meet as a seller but was thinking of doing so this year, however I confess I've never understood the reason for lining up outside the swap meet room early if you already signed up for it. I was wondering if anyone could explain the significance of signing up as soon as registration is open but having to rush to line up on Thursday night. I understand you should be in attendance seeing as you signed up and will need to have your merchandise ready to bring in the room, but is getting there early or later a determination as to the order you get in? I only ask because my group is devout in getting to Fanime early Thursday morning so we can line up for early registration, will I be forced to choose one over the other?
Wait, is Parkside Hall not part of the con center? Does that mean maybe we can use handtrucks now? ;D
Will we be able to carry more stuff in/make trips in this year to sell? I understood the rules of last year to be whatever you could CARRY in and then got sad when I saw all the trolleys and carts filled 10 feet high.

I am pretty sure that the staffs are thinking in every possible way to keep us safe. Just give the staffs time to post up more information about it.
The best way I can think of is to have your group of friends be with you when you're about to leave and they can help out too.
My friends that I'm going with are planning on selling... I think. I help them out, but It slows down a lot near the end. If I'm still there, I'll walk back with nervous people.
Otherwise, I recommend the organizers posting a big sign or something near the exit saying "WALK BACK TOGETHER MEET HERE"

Neither do we. That's why we prohibit people from getting in line early. We only allow people to get there max 1 hour before, and you go stand in your assigned number block (we have Southwest-style number ranges on the floor). There's also a poster posted if you forgot your Number.

I'll ask about this, but probably nothing more than standard security at the buildings themselves. There are also San Jose police in the vacinity regularly patrolling.
Potentially I can make the Swap Meet earlier this year, if people are concerned. I'm still working on the rules so we'll look into it.

Let me think on this; the hours are not set in stone yet. If we started earlier and ended at say, 11pm, would you feel safer?
I am concerned about the badge pick up timing and the drive and parking situation to unload and set-up. Before we just parked underneath and took the elevator up. Are hand trucks allowed at the new location? Where do we park?

The Fanime page info is a little confusing. It lists that swap meet registration begins at 11:59pm (I think that's west coast time), but also that registration is by pre-registration only, and pre-registration begins at 11:50pm. I'm just going to stay up and see what happens...
As a first timer...uh...where do we sign up? Will the main page of the Fanime webpage have a link or do we need to sign up here in forums? I just want to know before hand so I don't have to dance around for a few precious minutes before finding the right page.

Nothing in my spam folder, either. Only slightly concerned, because my buddy (who I think wound up as #2 tonight...) and I try to get neighboring spots every year, and I'm not quite sure how that will work out now with the new rules.
It might be me being so tired but i registered myself but how do i list the second person on my spot? We filled out a seperate form and got a spot for her on accident. How do we delete her spot?

People will not be able to get neighboring spots this year because of some blatant violations by several people last year to try and create "uber spaces". I'm sorry, but we had to change the rules and we can't make exceptions :(

THANK YOU for finally moving it out of the 24 hour gaming hall. Maybe now you can let sellers in before letting buyers in so we can properly set up and not have to worry about people stealing stuff while we feverishly unpack and set up a good looking display. My main concern now is if the new location will easily be able to hold as many people we saw last year on Friday night.
I'm not a participating seller this year because of how crowded the Hall was last year and how cramped everyone's spaces where. I'm happy to hear a new location is under consideration and hopefully there will be a sizable gap between all seller spots. I felt like some sort of wild animal last year defending my territory.

There will be dealer set up (and close out) time. We are still checking into if we can just let people leave stuff overnight (and lock the rooms).

So I would like to attend swap meet on thursday and I have already pre-regged for fanime. I am also in the Artist Alley. I understand that we just bring proof of purchase of e prereg to get in on thrusday but we dont actually get a badge? I'm just worried because I need to get in line for AA at 10am and I would not have time to go get a badge that morning from actual registration.

You have to have a print-out staying you are registered, not a badge itself (or, of course, a badge if you actually have time to get one). You also need an ID matching that registration.

That's correct. However, on Friday, you have to have the badge itself. We are more understanding on Thursday for obvious reasons :)

Yes, this was due to some blatant rule-bending by several individuals last year to create "super spaces" and unfortunately the actions of a few people caused us to A. be moved out of EH3 and B. we have to change completely how we run the event.

I guess I'm the first one to post about the new location, being at the Fairmont Hotel, inside the Imperial Ballroom. This is just my thoughts on the location, hours, etc. Not trying to cause drama. And sorry for being a little long :) I will say that the Fairmont hotel is kinda out of the way from the convention, not "across the street" like originally planned, making travel to/from the convention center with your Swap Meet items even more a hassle to carry/transport. The Fairmont does have parking as you stated, but that's more of a hassle for me since my car will be parked inside the SJCC parking garage, and leaving it to drive to the Fairmont would be mean giving up a good spot and paying one fee, and I don't know if the Fairmont also charges for their parking lot.
The main issue that people will have with the Swap Meet being at the Fairmont is foot-traffic. With a lot of events and people mainly at the convention center (Friday mainly), the majority of people will want to remain there and not go out-of-their-way. Last year I went to the Fairmont only once to find friends, and I had to ask friends how to get there exactly since I never went there before as-long as Fanime's been at the SJCC. With the Swap Meet being inside EH3, where the video-games are, it brought in a lot of people on both nights.
Set-up time is 6:00-8:00pm, and the event opens at 8:00pm. So that means if Seller #1 checks-in and sets up his/her booth at say, 6:10pm, he/she can't sell anything until 8:00pm when the room opens? Previous years with the Swap Meet being inside EH3, people would be able to walk-around and look at what Sellers were offering. (True, we weren't technically allowed to sell stuff until the staff said it was okay) but this year that's a loooong time for the first group of sellers to wait before the public can look/buy their stuff.
The Swap Meet goes from 8:00pm-11:00pm on Thursday, and 7:00-11:00pm on Friday. I can understand since it's inside the Fairmont this year, the hotel probably wants the room closed by midnight the latest, but that's earlier than previous years where we could sell stuff until 12:00 or 1:00am. For myself, I usually shut down around midnight, but for those who really like to stay until the very end (1:00am) they won't be happy with the 11:00pm closing-time.
What also is tough is for those who have the higher #'s (#100+) and on the waiting list, is that if the check-in time goes beyond 8:00pm, (just saying there's a possibility with the large amount of sellers this year), they will be losing valuable time selling stuff.
I know the staff will do their best to make-sure everything goes smoothly, and while the Swap Meet won't be the same like it has been in previous years, we will have to make the best of the new location, times, etc. :)

However, believe me, the reason this has taken so long is this was the *absolute best* I could do for the Swap Meet. I apologize that I could not do better for everyone. Please don't post comments here about the new location because there's absolutely nothing I can do other than to say that I've done everything I can possibly do to try and make the best of a bad situation. There was absolutely no other good option available to me for you all. It's been a very rough couple of months behind the scenes trying to figure something out.

Sorry for the confusion... there are not going to be assigned spaces for your number. This is mostly because we often have cases where 1 & 2 show up, but 3 - 5 are missing, then 6 is there, but not 7, then 8 - 11, etc. You get my drift. We can't guarantee that every single person who signed up will actually show up, which is why we have a waiting list :) So if I said x number gets y space, it would be a nightmare.
We will fill the front first, and as we go further down the line, full the back of the room. You can give us a general preference as to where you want to be in the room if you like (from what's available by the time we get to you), but you can't pick an exact space, and we can't promise you can be in that area but we will work with you.

Hello! I was wondering if you could clear up a few things for me?
My husband and I are coming from out of town by way of amtrak so we don't have access to a vehicle. If we have two or three tubs worth of items to sell, there's no other way it seems than to lug them by foot to the fairmont. Not complaining I swear lol. I was just wondering if there's another way that I am not aware of?
If there is no other way, are my husband and I able to bring two tubs then the third if I wait in line before the room is opened for setup? I understand the contract states bringing items in to sell then going back for more isn't allowed, but is what I proposed above alright?
And I was also wondering if we would be walking in groups to and from the hotel and convention center? Just figured that would be a better idea than going alone.

Does anyone know if this is a good path to take between the Convention Centre and the Fairmont?
As for people who want to transit in groups for safety reasons, here's a plan: leave from the Fairmont to the Convention Centre every half-hour on the hour & half-hour, and doing the opposite at five minutes past the hour & half-hour. Maybe we could get some sellers to volunteer (swap meet staff is undermanned as is) to help out with this? I plan on attending with friends so I could help out. Even if nobody volunteers, these would be good designated "group times" to leave.

Yes, the waiting in line thing is fine. We only prohibit going back for more once you are in your place. Our problem in the past is that goods have been approved, and then someone will "go to the car" and get another 4-5 boxes of adult material, for example, that doesn't get approved. We then find out about it later from someone who reports that adult material is being sold in bulk, etc. So because of this, once you are at your spot - you can't bring anything else in. However, doing multiple trips while you are still waiting in line is fine.

So about the "Dealer Setup: 5:00pm - 7:00pm" on Friday... Is this an optional set up time, or do we have to be there at 5 pm to claim our spot? It won't take me 2 hours to set up, so I'd love to get there at, say, 6:30 and just get settled, but I don't want to lose a good spot because I didn't show up at 5 pm.

True, the set-up time will be nice. :) Getting all your items neatly arranged, making-sure every item is priced/labelled, and using the restroom and/or get something to eat before the attendees are let in.

In past years, I have always brought some extra plastic bags to hand out to buyers so that they have something to carry the stuff they buy from me with, but a friend just pointed out to me that San Jose has had a bag ban in effect since the beginning of this year. Would that be something to make the swap meet attendees aware of or are we expecting them to know about the ban already?

Ya honestly I had no idea about the ban until I saw a forum in serious business regarding it. I highly doubt most fanime attendees know about this, which could potentially cause problems for both swap meet sellers and buyers alike.

Yes. If we call your number and you are not there, we will *not* save a space for you.
Once you are in your space, you can go to the bathroom and such - or have your space partner go get food - but one person needs to stay in that space. You cannot bring in more goods either, you must have all your stuff with you when you check in.

So, I know we need proof we've registered for Thursday night this year, I actually am a bit concerned since registration isn't opening til later. I know myself and someone else selling this year registered last year on Monday, so without getting in line early to ensure I get my badge, is there any way I can prove I registered? I'll likely e-mail registration again, but I still haven't gotten a reply after my first e-mail.
Just trying to get things finalized before the convention next week. I'm getting excited~!
Also, thank you for looking into another venue for the swap meet. I know I'll personally feel a bit better about going to the Fairmont than going to a building behind the theater.

I actually have not gotten any sort of e-mail confirmation. When I e-mailed registration for another issue (getting my sister's and my badges paired for easier pick up since we both registered last year at con) I never received any response.
I'll be doing my best to try and get my badge, but as the convention draws closer, I'm definitely getting a bit worried. Update!
For those of you who may have registered at con last year and have the same issue, go as though you're going to log in to the registration page, and use the lost password option with the e-mail you registered with.

Yes, you can.
This is more directed at all sellers:
We're not SUPER paranoid about Thursday, if some mishap comes up, we'll work with you on it. However, we will probably note names of people who don't have badges and/or receipts, and if they don't show up on the official Registration list over the weekend, you will be blacklisted for next year.
On FRIDAY, please have your badge, or we won't let you in at all.

What if once we get there my number has just passed? Do I get to wait until all the other registrations have
been processed and then I can check in or I will completely lose my spot?

At 6pm on Thursday, I will open the room (I literally can't open the room until 6:00pm). I will get everyone inside and lined up.
We will start by calling "1" and they will have to come up to the table, show ID, show your form, be verified, have any potential partner on the space verified, and get your authorized sticker.
One of the staff will then escort #1 to the Imperial Ballroom to your assigned space, where you will be able to start setting up. A staffer or volunteer will be by to check your goods before we open to make sure that you are following the rules (no weapons, maximum 1 box of labeled adult stuff, no bootlegs, etc.).
While this is happening with #1, we will be processing #2, and so on. If we get to #20 and you aren't there... we will move on to #21.

I think mlarad was was specifically wondering what the consequences were in that situation. Say a seller is number 20, and you've already moved on to 22 by the time they get to the Fairmont. Does that mean they've lost the opportunity to get a guaranteed (confirmed) spot all together? They now have to wait for you to finish processing everyone else before you get to the wait list?

It's just not entirely clear if someone coming in late could check in with a staffer and get processed with another batch of numbers.
Though this may seem a bit harsh, believe me, I understand why you would have things set up this way after the mob of the last couple of years and all of the changes made to swap meet this year. Not really complaining, just sayin'.
So, to my fellow sellers: better make sure you get your boxes and behinds over to the Fairmont at 6pm. 5pm on Friday.
I can't find this in previous posts but may have missed it, if I have someone as a helper, she needs a badge (or be pre-registered) right? Do I list her as the secondary seller on the form? she'll be helping set up, and watch my space if I have to run to the restroom. I will probably ask this when in line tonight as well, since I'm not sure I'll be able to check for a response here (on my way!)

Again, this is unofficial from me, since I'm not staffing swap meet, but I believe you can have a helper bring in boxes and assist in setting up without needing to have them listed on the seller's form. If they stick around once the actual meet begins and help in the exchange of cash and merchandise, then that would be a problem.
As far as badges are concerned, it shouldn't be a big problem if they don't have one on Thursday, but they most likely won't be allowed into the ballroom on Friday without one.
