Hello Fanime Artists!

Thanks for your interest in being part of the Artist Alley at FanimeCon 2008.  We have compiled your suggestions and comments from last year and hope to improve on this year's experience.  We hope that with these adjustments your experience this year will be a positive and fun one!

There have been a lot of artists that have signed up, but don't worry, there are a lot of tables still available this year. In order to have a table you must fulfill the following requirements:

· You must have a full convention pass.
· You must have a valid sales permit, either for the year, or the weekend of the convention.
· You must have a completed and signed Fanime 2008 Artist Alley Contract. (See next post)
· You must have your table paid in full by the cutoff date. This fee is non-refundable and time sensitive, so the payment must be post marked by the appropriate date.

How to reserve a table:

In order to reserve a table you must have the following mailed in to the Fanime office:

· Proof of purchase of a full convention pass (the confirmation email is fine).
· A completed Fanime Artist Alley 2008 Contract.
· A photocopy of your sales permit, or proof of sales permit registration.
· A check or money order made out to: Anime Resource Group. (Cash or Paypal are not accepted).

Below we have compiled a few of the frequently asked questions concerning the Artist Alley:

How much is it for a table at the Artist Alley?

The price for one (1) table for the entire duration of the convention will be $15 if fully registered on/before 12/31/07, $20 if fully registered on/before 5/16/08, and $25 per day at the convention itself.

Why do I need a sales permit?  Other conventions don't ask me for one.

A sales permit is required in the state of California for anyone that intends to sell or lease tangible personal property that would ordinarily be subject to sales tax if sold at retail.  If any party that participates at this convention does not follow this, any state/federal official has the ability to shut down the exhibit hall at any time.

How old do I have to be to have a table?

The age limit for a table is 16.  If you are between the ages of 16 and 18, you must have the sellers permit under your parents name. They will be able to help you acquire a permit.  You will also need a letter of expressed written consent signed by your legal guardian stating that they assume legal responsibilities for the selling of your artwork at the convention. 

How does the seating chart work?

The seating chart will be passed around in order of registration.  Please note that the seating chart is subject to change as the other events that are held in the Exhibit Hall are also subject to change.  Be assured that by being accepted into registration you will have a table, but the exact location of the table cannot be guaranteed.

Can I change tables?

Once you have chosen your seating arrangement it will be locked down until convention time.  At the day of the convention you can discuss changing locations with the other artist involved.

I have friends that I want to sit by, how can I be assured that I'm sitting next to or near them?

If you wish to sit by other artists you must follow these instructions very carefully.  Failure to do so will not guarantee that you will be all sitting together.  If you have a group that wishes to sit together please inform all parties involved that you wish to sit together.  The seating chart is passed around in order of registration, so the first person to receive the seating chart will be the spokesperson for your group.  When responding to artist alley management please inform them of the block of tables you wish to reserve along with ALL of the parties involved.  Failure to do so will result in incorrect seating, and you will not be guaranteed adjoining or adjacent seats.

Another way this can be accomplished is if you are a group of artists, you may all use one contract to sign up (all participating artists must sign the contract).  Please contact Artist Alley Management if you wish to reserve a block of tables this way.

How can I get power for my table?

If you are interested in obtaining power for your table it will be available at an additional cost, and must be authorized by Artist Alley Management.  Please contact the AA Staff if you are interested in purchasing a power outlet.  The cutoff date to request power is April 1, 2008

Where is the Artist Alley going to be?

The Artist Alley will be held in Exhibit Hall 1.  This is the room on the concourse next to the dealers room.

Will there be tables on the Concourse?

No, there will be no tables available on the Concourse this year.  The added events on the Concourse will contribute to a decreased walkway and will produce a fire hazard if additional tables are added.  We will continue to pursue this suggestion, but for Fanime 2008 these will not be available.

What are the hours of the Artist Alley?

The Exhibit Hall hours will be:
· Friday Noon to 6 PM
· Saturday 10AM to 6PM
· Sunday 10AM to 6PM
· Monday 10AM to 3PM

We will try to have the room opened an hour before opening so that artists will have time to setup and prepare.  Artists must be out of the room by 6:30 Friday to Sunday, and by 3PM on Saturday (Hours are subject to change).

Can I leave my stuff at my table overnight?

The rooms will be secured after hours, but the facility access corridors will not be closed or locked.  FanimeCon is not liable for lost or stolen goods.  We suggest that you take any valuables with you when you leave for the evening.

Will there be power available at my table?

Power will not be available for individual tables.  We will have a few outlets available at the AA Manager table for recharging and printer hookup.  This will be on a first come first served basis, and will only be available for printing or recharging.

Hi, some quick questions:

Is there a version of the agreement that is slightly higher resolution?  When I printed mine out on 8.5 x 11 the text is very fuzzy.

The "Event Place" on the table agreement is the San Jose Cultural and Convention Facility located at 150 West San Carlos Blvd, San Jose CA 95118.  There is actually a place caled "San Jose Cultural and Convention Facility" located at 801 N 1st Street, San Jose, CA 95110.  The only reason I noticed is that when I checked my seller's permit address against the agreement, the zip and street type doesn't match.  I checked the location again on the Fanime website and it's listed as "San Jose McEnery Convetnion Center".  A web search gave me this adddress

150 West San Carlos St  (not Blvd)
San Jose, CA 95113 (as opposed to 95118)

Please let me know which address is the correct one, thanks!

I also have a question, some friends and I are looking at doing a table together, I just would like some clarification; we all have to sign the agreement form right? Do we all have to have our own sales passes too or can one of us get the pass and the others be listed under that person?

I have a seller's permit.  If I get a table, but my friends want me to sell some of their items on the table for them, do they sign on my contract, or each a separate contract, but can they use my seller's permit number?  I don't think they will actually be sitting at the table, I think I'll be the only one.

Of course, they may also try to get a table themselves ...

I went ahead and sent in the money and the form.  I'll sign a new contract if you make changes on it and need a new copy, but I'll also need to fix my permit if that's what ends up changing ^_^;; I will keep checking here for the info.  Thanks!

Hi, I'm new around here and this would be my first time selling prints at the Artist Alley. Hopefully I would get some questions answered.

I'm confused on how to apply for a seller's permit. I'm trying to get a table soon instead of when the month of the convention. Should I apply for a temporary or a regular if I'm planning on applying for a table? Please fill free to give me any additional information that I need to know.

Sorry, if I'm asking much, I just want to go through this smoothly for my first time. ^_^

You should apply for a temporary permit.  Regular is if you are opening a business that does transactions more than 90 days in a year in California in a regular location.

Yeah, me too.  I e-mailed them wondering about my registration, if everything went out okay.  I haven't heard back from them in a long time. 

I heard though that you won't get to do the seating chart ti'll somewhere near the con date...  I wonder if they would contact you from there?

EDIT:  I actually heard back from them as of recently.  Said the confirmation e-mail won't come ti'll after the next Staff Meeting.

With my fear of things getting lost/misdirected due to air mail, I just want to know if they received my payment/paperwork for the table or not. I understand that the seating chart being emailed will be an indication of whether you got a table or not, but when will that be? Are they not going to let us know til a specific deadline for table registrations? A week or two before the con? a month? Are they waiting for a specific percentage of tables to be filled up before they make a seating chart and send it out? The seating chart isn't an issue here, far from it, they can take all the time they need. I just don't think it's fair to make people wait not knowing if stuff has been received or not. I'm not asking them to make a seating chart right away, just to confirm whether or not stuff has been received. And which is another reason why I don't understand why tables couldn't be purchased online the same way passes were purchased.

When is the next staff meeting? 8D

Pardon the OCD impulses. I like to have all my ducks in a row... 8D

I have a new update for you all.
Concerning those of you who signed up last fanime, and those who have sent their papers in and have not received word back yet, once fanime office hands us the first wave of contracts we will send out confirmation e-mails to everyone who's papers we received as well as everyone who signed up last Fanime.

I will post to let you know when those e-mails go out so that if you'll know if you don't get one.

Goodness I feel a bit overwhelmed just reading the information about the artist alley.

It should be apparently obvious that I'm a newbie at this whole thing and just the thought of trying to sell art at the convention gets my heart racing. I guess what i'm most curious about is what sort of tips do people have for new artists wanting to sell?

I really looking foward to participating but I would love to get some advice and tips to help me out. I'm kind of on my own at this so ANY advice would be greatly appreiated.

Yep! But like any other business, it's up to you to report the income and pay the taxes. (That's why they ask you to estimate how much you'll make on the seller's permit application.) ... or risk the IRS getting all upset with you.

when will we recieve a confirmation for our tables?  I sent in my registration and my friend's together but my statements show that the check has yet to be cashed...you guys should have recieved it Jan. 31st....

I guess to be on the safe side... Have the person you're sharing with at least 18.  Then, to make things hassle free, you can sell under that person's permit.  Of course, you'll have to pay taxes to the state depending on how much you make... Other than that, you would need a parental consent form (You can make it up; This is if you're 16 or below 18), signed by you, your parents, and your partner, and that's it.

That's basically what I am doing this year with my friend.

wow i never thought there was actually a thread for the Artist alley since i was posting on the general discussion boards.

Well i screwed up my estimated tax. I put down $50 dollars. because i was not so sure if I can reach $100.
My concern is decorating the table,and how much electricity will cost!! So far I still think $250 is too much!! even if its the entire weekend!
(was hoping the price to be like around/slightly over $100).
Anyway, my big concern aside from electricity is the table layout..
was hoping to do something like this kind of table layout

I mean, last year I saw bleedman's Table have a wireframe display, but mines more of a spot light thing (JUST INCASE I CANNOT AFFORD electricity, i can always use a battery operated spot light)

What are the limits for Table decorations, (and no its not a giant tent (really don't like those ><) and it will be unfair to anyone).

wow..pretty fancy set up youve got there...im not quite sure if you could do that cause the only place i saw something like that was in the dealers room...most of the artist alley tables are fairly simple

he hang his table, and put his images there!!!!...I can get those at daiso but I want mines above me...

well ya a lot of people had a wall or something behind them. if you want them to hang above you im not quite sure. |D some people did hang pictures but they were like on a clothes line sorta or they had a small wire frame on the table. sorta like the yours only a lot smaller

Okay im happy right now....
i got my table designs comfirmed!!!

BUT THE problem is that there are only 2 chairs so getting a third chair can be crowded.......and the tble is abit larger than my desk so I assume its like 5ft-6? guessing hre!!!.. Problem is fanime does'nt want stuff behind chairs bcause it can frustrate your neighbors space......
Im happy i get to do something with the table XD!!! now the only thing I should start do is getting the table, and getting the materials..so far I arleady have what i need with materials but its going tobe hard!!! XD......

I soo can't wait! although im kinda concern if people will like my artworks....

HAHAHA OH WOW.  I FAIL SO HARD.

...No D: Haven't started, and now that you mention it, I really do need to get going... Hopefully I'll  be able to start on my digital art by this month. 

I'm so retarded, though.  I've been making list after list of what I'm going to be bringing to the convention, but haven't started on any of it XD

What i was hoping for *that would be a nice idea* (besides selling fanart and ideas) would be selling made up supplies so other people can use it..

I was thinking of making a special Shikishi board but I don't know if anyone would be interested on buying!... (translation:: I made a shikishi board using a special ply paper and rice paper combined, then used a plastic tape (colored metal plastic shimmer tape) and then wrap it up in designs. its an idea though but i was wondering if people might ran out of supplies... that reminds me. is asking/loaning a part of supplies illegal? (I know loaning electicity is illegal -_-...)

Are there still tables? I kinda forgot to check back here (which was kinda absentminded on my part ^^;; ) so I don't want to get the permit and register and all that jazz only to find out there are no tables left. I haven't seen any sold out signs, but at the same time it helps to be sure=)

Depending on tables..I recall there are AT LEAST 40-60 tales!. AT LEAT 40-60 tables...so knowing the people who are registering the tables are from either the bay area (or around the outside area of the bay) PLUS some deviant art artists..so knowing them i THINK we should have at leat 2/3 of tables full...so by the time it hit march i don't think there are going to be tables left!......

are you really interetested on selling work, i really recommend to do iT! otherwise it will be too late >_<!....
if you miss your chance then theres always swapmeet...however theres a line for, first come, first serve!!!! and the spaces are kinda limit to 40 people!~..i think...40 O_O!.....since there was a chunk for arcade as well!These are assumptions anyway but for artist alley I was pretty sure there was like 40-60 tables total!

As for progress, I'm about halfway done with my bookmarks, planing on working on three more prints, brainstorming on the keychains and button designs. Plus, balancing schoolwork along with it. @_@ Debating whether of not I should have the keychains and bookmarks laminated.

I'm just worried about setting up templates for the bookmarks since I'm going to get this printed at: Catprint.bz I met of the AA artists from Fanime last year and she said that they're really cheap on prints, bookmarks, etc. ^_^

OMFG.never mind...i just found out something...5/16/08 is the final day to pre-registered for tables.... just found this out now...but the pre-register for 50 dollars is the end of march 31st then it wil raise to 55.........

AND IM STILL WAITING A RESPONSE from fanime T_T...if its taking this long (already pass 2 weeks and not one word) i assume that tables might be full already O_O.....
WHICH im hoping not T_T!!!!, anyone got a response from them about confirming a table? if so how long it took you?

I sent mine last December and I haven't gotten a reply yet.  Last year the table registering didn't really get rolling until March/April.

i received an email that they have received my check and my info for the table (copy of seller's permit, art alley contract, id? ). i'm assuming that's confirmation enough that they got my stuff. the check has yet to be cashed (i've not seen in it in my files) and i sent my stuff at the beginning of december. so good to all who are currently waiting and those who are wanting to get a table.

Yeah, my due date is around your date too...  You need a lot of time to consider the making time of the keychains and stuff.  It's going to be tough, but it looks like we both are managing well.

Never heard of them.  How much are they charging you?

fanime is definitely beginning to send out confirmation emails to some people that registered for tables. i got mine today confirming that we got a table!! i was so happy!!!! >w<

i turned in my forms around christmas or so, so all you patient artists will get your confirmations soon, i think!!!

Well, from what I seen on the website, the quality of paper, size, color is calculated on their self quote calculator. Its on the front page: http://www.catprint.bz/

They also have free templates to use.  ^^

This is concerning, in that our group had registered for the Artist Alley LAST YEAR during fanime07, but have received no confirmation. However, people who have registered afterwards have started receiving confirmation. What happened to their so-called "first-come first-serve"?

I'm still working on my seller's permit (it's taking longer, as it's with two other people and one of them is from Canada), and wanted to see if we should even bother finishing the process. Please tell me that they won't cash checks for table applications that don't get spots!

We have no record of any e-mail regarding badge pickup but near con you will receive an e-mail with an electronic post card. You will bring this postcard and a valid form of government issued ID to pick up your badge.

We cannot give you any more information regarding your Artist Alley registration as we are waiting on our next submission of data and that comes from our finance department. We have continued to lean on them to no avail. But, as of now we have not received anything from you. It may be sitting in our office waiting to be collected, but we do not have access to that. Please be patient and we will get back to you as soon as we have more information.

They are so disorganized, I send them an e-mail concerning about my table and here's what I got:

Sorry for the wait it'll be a little while longer till our latest registrees list gets out of finance, turnaround on that is usually about 3-4 week (slackers).  But we will be sending out another mass email soon to notify you of your registration. Also if you know the check number that you sent in as payment, you can see if it has cleared with your bank, that means you are marked as paid and registered and are good to show up at fanime.

I contacted Western Union number on the money order receipt (I'm a San Jose State student and got my money order there) and the money order has not be cashed. >_<

I'm starting to get a little upset at how everything is. >_<

I would be interested to know as to whom has received the seating chart, and if the 10 aforementioned tables are the official artists for Fanime. if that is the case, it would make sense that they have tables set-up for them first.

However, the answer seems to have still been danced around/or ignored as to individuals that purchased their tables AT CONVENTION last year in regards to when we will be receiving the seat list and it seems no confirmation (I can not remember if they said we would be, or if our receipt of payment is sort of our confirmation). I would be extremely disappointed if the papers are buried below others that have recently registered after the convention and that promise of receiving the seating chart first was not kept...
Really, it seems like we are just as much in the dark as the people still waiting to know if they are accepted.

A bit more light of an update would be really appreciated, coordinators, as to the ETA and the progress made for Artist Alley other than 'soon' or 'ASAP'. Since nothing has been posted here, the LJ account or the Myspace account.

mer.. I just think that ASAP is far too ambiguous of a term. As Soon As Possible for us, might not be for them. We are not sure what else they are trying to get together. They may be in the back end trying to get as many tables as possible, or figure out a better table layout or something.  I wouldn't say they are not doing a good job, or anything though. They may just be behind. I'm as frustrated as the next artist...It would just be nice for them to come in and say as to what is holding them up, other than being busy or 'behind', ya know? As in.. what is making them behind? A lot of registrations, another department giving a final ok? What?

nope, they are'nt doing a good job....3 of my friends (who are volunteer)s are in a WTF mood, and is waiting orders from the other Admins.

THEY already made the table assignments already (just read the past posts i made regaarding how the table layout is going to be), they wont change their layout. I already talked to one of the head admin of the art alley....

I think something happened..and I hope they can fixed this..
also The reason why I am still upset is not because of The technical problems but fearing that Fanime is no longer going to be an anime fan service but more of a business making TERM!....WHICH IS A VERY BAD IDEA!!!!!!! jtaf did it, AOD done it..and I am certainly fanime might be....!!!!

This is Stacy the AA Head this year
i just wanted to give you guys an offical update/apology

as far as confirming they your all registered
as most of you know all your contracts go to HR and Finances first
and this year afiew things had to be changed around and were working out the kinks
we are very sorry but we are not getting your information in a timley fashion because of backups in the office and me and my staff are working as hard as we can to get things to you

as far as the seating chart
in out hall we have other events that have to be cordinated
all i am waiting on is the ok from the other events and afiew other minor kinks
after that the seating chart will be sent around in the order in witch we have receved all your info

once agian
i am very sorry that we have had a bumpy ride (agian) this year
but be assured that we are doing everything in our power to make things move smoothley

I second ramy's question, how is the seating going to work if not everyone is assigned before the con? I sure as hell don't want to be seated in some dark corner while a last-minute registerer gets a prime spot. (no matter how much i like the dark, lol vampire)

Hello all! Kio from staff here~ (introducing myself because Ijust joined) and I'm here to answer questionsss and relay questions and whatnot back to the head.

It can't be that hard, can it? I could do it, during college finals even. But i think it's really miscommunication that's the problem, huh?

We won't be in this situation until about 2 weeks before Fanime, but, if it does happen, everyone that did not get to choose their seats will be seated by the AA head. Meaning, it will become assigned seating.

We have sent out a confirmation e-mail to every one we have registerd at this point
(( if you sent things in less that 3 weeks ago we probly dont have you on our list yet so dont panic))
but if you have sent your contract in and havent gotten anything from us please
1. check your junk mail folder - we did send a mass e-mail it may have ended up there
2. if its not there please e-mail us at fanimeartistalley2008[at]gmail.com with your full name  and we will see if you are on our list

we keep having issues with not having the correct e-mail adresses or having old e-mails
so please keep us up to date
if we dont have your e-mail you will not get the seating chart and we will assigne you a table

on another note
if you registered at con 2007 for your table this year and you have not recived the seating chart yet, it means we dont have the correct e-mail adress for you eather
please e-mail us at fanimeartistalley2008[at]gmail.com so we can update it and get you seated
if we do not have a correct e-mail you will not get the seating chart and we will assigne you a table

meaning that artist alley is completely filled as of 4/1/08
another meanint to this means that
there are alot of payment sent and forms signed, but the department did'nt gone all through yet.
However there will be some empty spots if no one shows up.

Im sorry to burst the news about this v_v.....
but if you want to you always welcome to stop by at the tables and check everyone out or hang around in my table ^ ^ ^! *thinking of bringing a foldable chair if we are going to do portraits of anime versions..... (although i am in the process of practicing like hell!!!!!....

Just letting you all know that there's a mistake on the fanime.com AA site, which says:

"The price for one (1) table for the entire duration of the convention will be $15 per day if fully registered on/before 12/31/07, $20 per day if fully registered on/before 5/16/08, and $25 per day at the convention itself."

The price for tables is not per day. It is actually $20 for the duration of the convention if fully registered on/before 5/16/08, and $25 per day if fully registered at the convention.

Have you tried emailing fanimeartistalley2008[at]gmail.com? If you gave your name and information, then AA should have your email now and the seating chart would be on its way~ :] Otherwise, maybe you registered later and the chart just hasn't reached you yet? So no worries!

Is anyone out there willing to share?  My friend and I need to know if it's worth paying the $300 plane ticket to fly across the country from our little Pennsylvania solely to be in the Fanime AA - meaning we can't risk showing up on Day 1 and praying someone doesn't show up.  We were counting on this for a substantial portion of our summer income. :(

We each need at least half a table (3 ft), but we don't mind being split up, say, across the Alley.  Fanime would be the 11th con I've AAed at (and her 8th), so suffice to say, if you're new, we can teach you a lot - from art tips to business tips.  We've worked large and small cons, notably Otakon, Anime Boston, Katsucon, and AnimeNext.  We are highly organized and will bring our own PVC rigs and help you display your work.  We are excellent table partners and will actually SELL your stuff while you're off at the Dealer's Room/Bathroom/etc. rather than just "watch" it.  Remember, we BOTH need space - neither of us is going to travel to California alone.

I'm really surprised the tables sold out!  The last couple of years I've gone there's always been some tables left until Saturday or Sunday.  From the map it doesn't look like the number of tables got reduced.  Were there just a lot more people interested this year? O_O

Yeah, from a friend, I heard that this year's table filled up quickly, but there is likely going to be some people dropping out as usual (Come on, can an artist work on deadlines? lol, I can but some of us can't) XD

But, from where I was on the map, it seems like the sheet should be done going around...  Since there wasn't much space left on where I was. D:

We're both in the process of getting our own California Seller's permits.  The office contacted me today and said I'd have it within the next week.  So, yeah, I mean, other than plane tickets and tables, we really are all set. D:

And uh... if it helps... On average, I spend about $60-100 on materials.  Since I'm hitting Fanime and Akon in one go and re-working a large portion of my inventory, I'm expecting it to get to somewhere around $300.  As for the prices I sell for, I wait until the con to actually decide.

Already gone abit over from that, so far i already spend $245 on materials thats including the table and the badge!.....
but i need an average on those prices because im trying to tallying all my materials......

I'm a big button buyer (I loves them so) and for a button like that (they look to be very well made) I'd say $2 each or maybe 2 for $5 would be my limit.

Not sure if this counts but for once i would like to see some pokemon gym leader buttons..ya know, the emblem as a 3/4 view and have the gym leader there (all the regions..and the other version from the emerald saga....
its a silly idea but not sure if they would sell. its just an idea since .i always thought the badges are actually Pin ideas from the olympics XD!!!!! who knows XD!!!

This will be my first time selling at Fanime and I was curiuos if someone could tell me the size of the crowd? Is it like Anime Expo? Is it busy on Friday even though kids are in school?  What is the crowd like on Monday?

Just trying to get some good numbers on what to bring since I'm coming from Texas :)

Also, does anyone has any good suggestions about how much stuff to bring?  ^^

Well, never have I been to Fanime or even  a four-day con before, but wikipedia says Fanime Attendance last year was 12,000 people, so I'd expect around 12,500 this year.  In comparison, AX is around 42,000.

kinda in the wrong area to ask this question but in the artist alley it kinda depends..its not crowded on certain mornings but maybe somewhere around 1pm....not sure but its a huge guess!!!! most people becomes crowded on the dealers room and artist alley is kinda second crowdest..but you can still walk around and check other peopels artworks....
CARRY a backpack!!!!!!! its easier to carry and less hassle than those plastic/shopping bags. your first item your going to get is a badge.then comes coupons or some pamphlet from organizations and Sponsers and schedule of events...also a map !!!!!......

.......Thats all I can think of unless you bring a camera and see a nice cosplayer you like to take a picture of!

for the Artist alley i recommedn to bring at least a folder!..that way if your interested, you can prevent having fold markings on the picture you bought ^ ^!...........or keep them neatly organized..

oh and one more importnt thing..

BRING MONEY XD ..serisously....most of the items people sell is like over 7 dollar range O_O! (i think i recall one figure 7 bucks..and a keychain is like 3 or below o_O......)

The seating chart has finally come out, so that's exciting. Though we were told to pick our top 4 tables so I suppose it's not truly official yet ^^

I'm new to Fanime and was curious....is the layout set up so new people are in the back and the returning veterens are up in the front? ^^

That bums me out, being in the back and frankly, I'm a little worried :-\  I do hope people come back there and have money left to spend :'(

Can any one offer some insights to what it's like selling there? And what the crowds are like in the artist alley?

I'm kinda nervous, too, about who will be at the tables next to mine.  This is my first time in Artist Alley so I'm already thinking that my items won't be interesting enough for people to even want to look at.  Must be more confident!  Must have fun!   :-\ ;D

Due to uncertainty over academic obligations I wasn't able to be certain of attending Fanime until now, so I didn't register until recently, and wasn't able to find the AA information until now. (I don't understand how the background work goes, but wouldn't it be much easier if AA registration is next to/combined with attendee registration like Anime Expo?)

My roommate who's a regular artist at Fanime's AA assured me that they always had tables left over so I shouldn't worry, but just my luck, all the tables had sold out D:

Fanime's far for me, and the only way I can really justify the transportation and lodging costs of going there is if I make back some of that money in AA. Would any kind person be willing to share half a table with me? *3* I cosplay and can help draw attention to your table, I also tend to have snacks and drinks with me that I love to share, and I can help watch over and sell your stuff while you're taking a break or going to the bathroom, etc. =) Also, being the procrastinator that I am, I don't have that many things to sell so I won't be taking up much space (hahaha).

Due to gatherings and lack of things to sell and such I also probably won't be at the table for the entire day, probably only 4~6 hours each day, so you'd still get the entire table to yourself most of the time. I'm more than willing to pay $10 and split the cost of the table with you too. I've also got some AA experience under my belt, so if any of you are totally new to the Artist Alley thing, I can help you out as best I can too. So...if any of you are willing, please let me know! (shuura [at] gmail . com) I'd really really appreciate it, considering that the badge fee for Fanime isn't refundable so I might as well go. :O

I don't think they're trying to screw the new people that way, but they did sell this year's tables during the last day of the convention LAST year, and those people got first dibs at the seating chart, so that's how that went. 

I think this year you should just be happy to have a table XD  I kind of like having a full-up AA since I was kind of on the edge last year and it was even sadder to see the random other people occupying their own row and people kept passing them by ;_;

As far as I know about thefts in the AA, I don't recall there being any. I'd still be very wary of my belongings. For example, backpacks/art supplies generally under the table where nobody can see them or abuse them. Yay for tablecloths! :D

Like, upon arrival to AA? XD? Do we need to sign in or anything/show our paper work, or can we just go right to our table and set up?


I've been going to fanime for a few years now, but this is my first time doing artist alley, I'm excited but also nervous!

Normally, the day of, you head over to the Artist Alley BEFORE it opens. If there are staff people there, let them know you are an artist and they'll normally just let you in. From there, you'll locate the main table where the AA Staff are (There will usually be a line).
What you will have to do is head over to the line and 'Check-In'.
My experience of the process is, if you haven't paid yet, give them your money.. Be sure to have your seller's permit with you just in case, and any papers you still have to show them. They will normally scan in your seller's permit (Just in case a gov't official shows up and wants proof that everyone has a permit. It is easier for them to give a file than both all the artists one by one).
They will give you a name placard that is your name/artist groups name, and from THERE direct you to your table.

The check-in process only has to be done once - the first day you are selling your art. So don't worry about the other days, just go in and set-up your table stuff.

I'm not a seller, but I can tell you a little bit from what I recall from a buyer's perspective.

The room is very big so there's plenty of room to move around.  Some tables do get a little crowded, but it's NOTHING like AX.  AX is INSANE.  I've always been a Fanime girl, so when I went to AX for the first time last year (Long Beach) and visited their Artist's Alley, I felt like a sardine.  I was worried my art that I was buying was going to get squashed.  Fanime's AA is much much better than that (although I still got whacked on the face by some overenthusiastic cosplayer that made me want to punch him).

I know alot of people are willing to stop by and would like to be with yourassistance but then again you better watch out for the people incharge..hopefully they wont know. Reason i brought this up because i was'nt so sure if bringing a guest will qualify for..yua know what.....i hope someone stops by at your table because i doubt they would double check the listings on each sellers permits..al they do is check and give you a table and thats it..if you get caught, tell them they are helping out with business!

Im going to offer some free stuff too, since i know alot of broke people cannot afford things but then again..im kinda worried that people will stop by and just grab candy and not look or be interested on the artwork!..its not a bad thing its just i hate greedy people!!!!!!!!!!!!

Hello there fanime artists I have a big important question that I hope you can help me out with. Right now I'm helping two of my friends set up their table for fanime, its their first time so I'm making sure that they have all their bases covered. Now I ask all you experienced artist ally veterans for help.

Do you/how do you factor in tax while selling your work?

According to the stipulations of a California seller's permit an artist has to character 8.5% in tax for every transaction however throughout all the years I've been buying artwork I've never seen people actually follow this rule.

It's actually not a Federal crime to not file a Sales and Use tax since the rules and regulations for this tax is under the State Government.  If you do not file taxes you are guilty of a misdomeanor under the Revenue and Taxation Code (State law).  Your permit would be revoked, you could pay up to $5000 in fines PLUS what you owe and get locked up for a year. 

If you evade Federal income tax that's another thing since that's a different tax.  Though remember, if you earn enough money from AA during the tax year you are ALSO responsible to file both a Federal and State *Income* tax!  No one will remind you, and in all reality no one will probably realize there's a problem for now, but by submitting a state sales tax form, you've created a paper trail documenting your income and for "them" to come after you if you should ever slip up... so look into income tax if you're earning money! 

Even if you don't make a single sale you still have to file a "0" on your Sales and Use Tax Return form.  If you don't, good luck trying to get a permit next year since this will be the FIRST thing they ask you about when you try to request one.

The going local tax rate a the San Jose Convention Center is 8.25%  To avoid making yourself go crazy trying to make change, set a flat price for everything you will sell.  There are several different ways to bookkeep how to do your sales tax, I'll give you the example of how I do it.  You'll have to do some math crunching no matter what method you select in order to get whole dollars prices when you do the sales transaction.

Okay, so now I've set tentative flat prices, now I have to figure out if I want to raise the amount to include sales tax in it or to just absorb it.

Let's say I have a $2.00 button.  With Tax it is $2.17.  Rounding it up to 3 dollars will effectively price out a lot of people for a mere button.  So we'll leave it at $2.00.  What's going to happen now to every button I sell is that $2.00 will be the price that INCLUDES sales tax.  So a cut of the $2.00 is actually sales tax.  In equation form this is

$2.00 = x(1.0825)  Where x is the unit price I get to pocket, 1.0825 is the factor I multiply by to calculate the total sales dollar which includes the sales tax of .0825. 

so x = 1.85 is the unit price I get to keep when I make the sale.  The other 15 cents I will have to pay to the state when I file my sales and use form.  Obviously I'm not going to mark the buttons for 1.85 since that will just confuse everyone.  I will mark them for $2.00.  (Notice since I'm using $1.85 as the pre-tax price the tax is no longer 17 cents like if I had the base price at 2 dollars.)  In this case, I've chosen to absorb the sales tax and lower my profit on the button.

If I have a $10.00 print, with tax that would make it 10.825.  So the tax is nearly a dollar.  I decide to round the price of the print up to $11.00.  So if 11 dollars is the price including tax, to figure out the pre-tax price I use the equation again

$11.00 = y(1.0825) where y is the pre-tax price for the print.  I get

y=10.16.  So I actually pocket 10.16 per print, and pay 84 cents per print as sales tax.  I'd mark the item as $11.00 and everyone is happy.  In this case I've raised my price to include sales tax and a factor of 16 cents to get a round dollar transaction amount.

I repeat this with every item until I have a price list.  I make the sales... and then when I count up the receipts.  Say I made the following sales

50 buttons @ 2.00 each
20 prints @ 11.00 each

that would be $320 in sales.  According to how I set the prices, $320 is sales plus taxes, so to figure out how much I owe  I would use the same equation

$320=z(1.0825) where z is total pre-tax sales.  So I would get

z = 295.61

and I owe 320 - 295.61 = 24.39 in taxes 

You actually have to round to the nearest dollar in every line item appearing on the sales and use tax form, but you should NOT round your taxes in these calcualtions or every sale to the nearest dollar, just to the nearest cent, or you will be charging all sorts of crazy tax rates against your customer. 

When you fill out the tax form, according to the above hypothetical sales and that you did not have any purchases subject to use tax, sales to other retailers for resale, sale of non taxable foods, labor, to the US government or interstate or foreign commerce (and really you shouldn't at an AA), you would put down for line 1 $320, for line 9 you would put $24 (rounding down since 39 cents is less than 50 cents). 

line 12 is 296, multiplying by .8250 per instructions, line 13 is (still rounding to nearest dollar) 24.  In this case you probably did not make any tax prepayments (unless you have a permanent sale permit, you probably didn't get a chance to pre-pay), you still owe $24 (assuming no penalties and interest, remember to file on time!)  You write a check for 24 dollars or call in with your credit card, and all is well.

Thank you for your interest in making the artist alley this year the best it's ever been!  We filled up pretty quickly and are now full with a waitlist!

This year we are doing things a bit differently to give other people a chance to have a table.  For those of you that have already registered we will be opening up registration from 12 to 6 on Friday the 23rd of May.  This will be the registration for your table for the entire convention.

I second how to handle the sales tax that Aya Brea X mentioned.

I normally just round to the nearest quarter, or flat dollar in some cases. As long as you keep a record of your sales, it will be easy to figure it all out. As a money management thing, at the end of each day, I figure out how much the sales tax I owe was that day and completely set that money aside. :x It's very helpful for when your taxes ARE due, that you set the money aside and didn't accidentally spend it on you.. well.. you know . . pocky... or in my case Tomato Pretz... *cough*

Opening Time on Friday?
So.. the Artist Alley will really be opening at 1pm on Friday? I mean.. the website says 12pm on Friday, but if registration for your table opens then.. there will be a huge conflict.
Or are people who got a table OK, go in earlier to set-up and that is just for people on the waitlist?
I don't know about anyone else, but it would be impossible for me to set-up in less than a minute. :x

Also.. someone should probably inform the Web Admin, that they lost their stylesheet on the Fanime AA page with the last announcement...

I really do wanted to be away from the back row due to conflicts i had with the past! (arguements, fights, and bullied around) I really don't want this to happen on everyday life I GO TO!.....

I really dont undserstand your post.  You say you shouldnt be complaing but your not?  Its like you just admitted to complaining then turned right around and said your not.  Anyways as for fights or bullying shouldn't you have gone to the staff about that?  Its not their fault if other artist act out, but I'm sure if they knew they would confront them in some way.  I dont see how being in the back gives you a higher chance at being bullied than in the front anyways.  I'm in the back as well and dont really mind, I'm just happy I got a table becuase I could have gotten nothing, so I'm thankful.  I'm sorry if this sounds rude and uncaring, but you talk about bad luck and unforgiving things, that sucks I agree, but I dont think that means you get special treatment over anyone else. Not everyone can be in the front, but then again not everyone is getting a table this year.  Just be happy you have one out of the two.

It says on the artist alley events page on the Fanime.com website that the artist alley opens at noon.  That means you'll be having registration going on at the same time you have convention goers coming in, not sure how that'll work.  I agree that you should open it up to registered artist earlier so its ready to go when customers come in.  Also I thought the seating chart was a good way to go.  Then people could come in when they are ready, check in and go straight to their table.  By doing it this way as a first come first serve wont there be a huge line?  And some people may be just arriving on Friday and not getting their till late.  I'll be coming on the 22nd so I dont really mind but I was just thinking about all those people coming by plane, then waiting in line for a badge.

I don't think the back seats would be so bad, considering we're expecting a full AA this year.  The biggest reason they were bad in years past is you're most likely in a row of mostly empty tables and people didn't stop by as much since the row is half empty.  Potential customers who only walk in the door and look really quick probably won't be spending money at AA anyway.  Real AA customers will at least browse the "busy" part of the hall, which doesn't necessarily exclude the back if the tables are full and people are beating down the door on the wait list.

i felt miserable and sad after posting that response..but i really really do fear that i will be havinga table and then all of sudden theres NO one around me!!!! every heard of the lonely island with no tourists??? (sounds like pixar's route 66 town).
Anyway, i should be glad to have the table *because i registered before the Chinese Lunar new year*. Anyhow im still nervous and upset! I completely forgot that most of the customers are browsers thats all v-v and that never occured to me!.

Anyway thanks for the info............

RIght now i kinda feel sad that the people who did'nt registered a table are being left out v_v!......

I know seatings closed, found that out the other day when I emailed you to find out when I'd get the seating chart.  =\
I was never sent it but I need to know mine and my friend's numbers (I bought our tables together) so we an find out how far or close we are to our companions.  It's not our fault that you guys forgot to put us on the sent list when you sent out the email.

When will people be allowed to come into the alley to purchase our products?

Speaking of checking in....where do we pick up our badges?  Since we are in the AA, will our badges be somewhere else? Is there a separate badge for artists as apposed to the convention badge?

badges are given out in another room.  Those badges give you access to all the other rooms and con events.  I dont think there are special artist badges.

the reason we dont post teh seating chart is we need to see every artists as they come in
we dont always get all of eberyones requireed materals till at con
so by checking everyone in then we are garenteed that eveyone has everything or they dont sit

speeking of witch just as a reminder
everyone needs to have a copy of there sellers permit with them at there tables as well as a compy handed in to us at teh staff tbale

there will be a staff member at the doors

whoa awesome.  I just noticed the AA is open till 9pm?  Yay more time to sell stuff.  Cause my friends and I get antsy, we probably cant sit there for more than 4 hours without one of u getting up to do something for a bit then coming back.

Well from the way things sound (and please correct me if I'm wrong) they have gotten rid of the seating chart and are doing a first come first server from 12-6pm of friday.  So if your friend is right next to you in line for getting a table you could get them right next to each other.

I really wish you would stop complaining....
It's impossible that you will be alone.  There are 200 table which are all full, and theres a waiting list which means even if 200 people dont show there will be others to make up for it and fill in around you.  There are a good number of people who I bet would be happy to have your table if your not happy with it.  You should be glad that you have a table and leave it at that.  Seriously, Fanime and the AA is a time to have fun so try to be more positive.

the seating chart has NOT been scrapped and yes you must check in on Friday unless you have other arrangements with the artist alley staff.

Checking in will allow us to get to those on the wait list for those that are no-shows. There are still people that are very anxious about being able to sell or not.

Um... I understand the checking in part and having the actual permit at our table, but why do we need to bring another copy of the permit to hand in to you when we've already mailed in a copy?

You can come and go as you please during the open hours of AA.  The only time when you have to be there is during the open window on Friday to check in (you know, just long enough to check in, not the entire time frame.)

One of the Fanime artist last year gave me that link and I went there and got my prints and bookmarks printed that way for cheap and fast. Plus, they also give you extra copies.

Alright i wanted to know the table sizes..

I looked at the notes that said

200 - 6'x 2' Tables wChairs
4 - 8' x 2' Tables w/chairs


My biggest question is what is the standard table sizes for Fanime con...
or does the note means that all tables above 200 is 6 x 2 and all tables with 4 or more is 8 x 2

I need to know this because i am going to print a banner for my table!!!!

please someone respond urgently TT!!!!

So I just printed out the Fanime schedule for pretty much everything and it says the Artist Alley is open on Friday at noon.  I thought that it was suppose to be 1 to give registers time to get in there

lol thats pretty much what I was thinking.  And Dealers room opens at 2pm on Fri... has it always been that late? I didnt think so.  Anyways I'm still excited and glad the AA stays open till 9pm.

Don't worry.. it was probably so that people wouldn't see the seating chart itself. Plus, they may feel that it somehow gives away personal information that they would prefer to not have distributed. The chart should still be in effect. :)

o we had an issue with sceduling
the times for artists are as fallows
Fri 11am-9:30 pm
Sat 10:30 am -9:30pm
Sun 10:30 am -9:30pm
Mon 10:30 am -4:30 pm
any questions just shoot us an e-mail

What happens if you don't have or lost the copy of the AA contract, can you still check in? I thought that I have to check in with just the seller's permit and the badge.

And does this include set up time? (11 AM 12 PM: Prep Time, then 12 open?)

Hrm.. I am in the same boat, really. But I recall last year, they had additional contracts? Not too sure if that will happen this time around.

Yeah, I thought so too? I don't have a copy of the AA contract either, since we mailed it in o_O;.
